Exporting the Results
Looking for a way to export the raw survey data from Course Evaluations? If so, this article will show you how, using the 'Survey Results' export.
Log in to Course Evaluations
Go to the Reports Menu > Exports >click Survey Results
Click the Download Results or the Download Feedback icon
Select Saved Settings, if there are layouts saved
Select the export type of Comma Delimited, Excel, dBase III, or Aggregated Export (csv):
Comma Delimited (CSV)
The file will have an individual line of data for each course and faculty evaluated for each submission
The CSV will always have the question in the column header of the export
There no limit of characters in the export of the comments data.
Note: This should not occur, but Excel may truncate long comments. There is no issue if another text editing program is used to view the file.
Microsoft Excel (XLS)
The file will have an individual line of data for each course and faculty evaluated for each submission
Excel files can only support small column names. These file formats will have a question label called Core with the question number. These exports will run faster than the CSV. The Data dictionary supplies the translation information for the question headers
There no limit of characters in the export of the comments data.

dBase III (dbf)
The file will have an individual line of data for each course and faculty evaluated for each submission
dBase files can only support small column names. These file formats will have a question label called Core with the question number. These exports will run faster than the CSV. The Data dictionary supplies the translation information for the question headers
There is no character limit in the export of the comments data
Aggregated Export (CSV)
The file will have a line of data for each course and faculty evaluated that is a overall rating for the course or faculty member. The aggregated CSV is the sum of all the data submitted for a course or faculty in one line of data
The Aggregated CSV will always have the question in the column header of the export
By default, the Aggregated CSV does not include comment based questions. This option must be selected at run time.
The Aggregated CSV export includes a column header for the number of ‘Responses’ received. This number is based on the course questions that are answered.
The Aggregated CSV export is not available on the Feedback Export
Select the column delimiter and text delimiter if exporting to CSV
Combine Overall Questions with Multiple
This option should ALWAYS be checked as it creates a single line of exported data for each course/faculty combination.
Include additional Columns for Assessed Individuals
Includes the assessed individuals username, ID number, and e-mail address
Select Evaluator Data Items
Includes the program, ethnicity, gender,graduation year, and research codes (if they are used)
Convert Unanswered Questions and Answers of N/A to Blanks
This option should ALWAYS be checked as it removes all zero's (0) for no responses and -1's for N/A responses and converts the field to a blank. This option was added to help prevent errors in working with the raw data manually
Use School Question Codes in the Header
If question codes are loaded in the Question Manager, they will appear in the import to save space
Select the questions that you would like to export
Click 'Create Export'
Click the first link to download the raw data
Click the second link to download the data dictionary
The export data dictionary includes a column for school specific question codes enabling mapping between Course Evaluations questions and school identifiers
Option_Val represents the Option Value setting of the response set: L->H, H->L, Mid (for middle-is-best), and blank when this is not applicable
The Windows File Download box will appear. Click 'Open With' or 'Save File.' Save the document to a place that is easy to remember, like the Desktop of the computer
Type in a name for the file in the File Name box and click 'Save'
