Time Periods Control on the Permissions
The Time Periods control on the Permissions page determines which version of your organization's structure you're viewing when you check or edit a user's access. Selecting a period reloads the institutional hierarchy units under User Permissions to match that period's structure, some units, sub-levels, and programs only exist in certain academic years, so a department added for 2026 won't appear in a 2018–2019 view, and one archived since won't show up going forward. The Admin, Creator, and Viewer checkboxes reflect the selected user's access within whichever period is currently chosen.
Note
Switching time periods does not clear your search. The same user stays selected, so you can flip between periods to compare how their access differs from one term to another.
Go to Settings > Permissions.
Search for and select the user whose access you want to check.
Open the Time Period dropdown at the top right, then choose the academic year or term you want to view.

In the User Permissions tree for that period, expand institutional hierarchy units to view or change the user's Admin, Creator, and Viewer access at each level.
Repeat step 3 to check the same user against a different period. Each period is loaded independently, so give the tree a moment to refresh after you switch.
Note
To view the permissions assigned to a user for the selected time period, view that user's Implicit Access and Explicit Access.
Because past time periods should be archived to view-only status, through Time Period Management, you do not need to go back and remove a user's access from institutional hierarchy units in earlier periods. Removing access in the current period is enough, archived periods can no longer be acted on, so the access recorded there is historical only.
