Managing Point Activities

Managing Point Activities in Engage is essential for keeping your program organized, ensuring consistency, and providing students with a clear record of their achievements. This guide will walk you through the tools and features available for overseeing activities you've already created.

Viewing Existing Activities

Once you have created Point Activities, the Activities table will automatically populate with all your entries. This table provides quick access to essential information:

  • Name of each Activity

  • Status (Enabled, Disabled, or Archived)

  • Points associated with each Activity

  • Number of users who have completed the Activity

  • Cumulative points awarded for the Activity

The Manage Activities table simplifies management as your list of Activities grows:

  • Search: Use the search bar to find Activities by name.

  • Filter by Status: Use the dropdown menu to view only enabled, disabled (draft), or archived Activities.

This makes it easier to locate, manage, and take action on specific Activities as your program becomes more robust.

Managing Existing Activities

You can perform several actions directly from the Activities table:

  • View or Edit an Activity: Click the eye icon next to an Activity to view its details. For enabled Activities, you may update only the name and description. For Activities not yet enabled, you can also adjust the points, whether it can be earned multiple times, and the completion criteria.

  • Enable an Activity: For disabled Activities, use the toggle in the top right corner to switch the Activity to enabled. Be sure to save your settings to make the Activity live.

Editing Activities After Publication

Once an Activity is enabled, only the name and description can be changed. To update criteria, point values, or completion requirements, follow these steps:

  • Archive the original Activity.

  • Create a new Activity reflecting the desired changes.

Note: You will not be able to save an Activity that has identical completion criteria of an existing enabled Activity; you must archive the original before activating the updated version.

Archiving Activities

Archiving is a permanent action and is recommended when an Activity should no longer be available in Engage. When you archive an Activity:

  • You will retain a record of its name, point value, number of users who earned points, and total points awarded.

  • You will lose access to the description and completion criteria of the archived activity.

Note: If you need to make changes to an enabled activity beyond what is permitted, you must archive the original and create a new activity with the updated criteria. This restriction helps maintain consistency over time, prevents versioning issues, and protects students' point records from retroactive changes.

Summary

By using the viewing, editing, archiving, and filtering tools described above, you can ensure your Activity records are accurate, consistent, and easy for students to understand. Always remember: major changes require archiving and creating new Activities, preserving the integrity of your program and the student experience.
