Update to the Manage Administration Page

This update enhances the overall user experience by providing a comprehensive view of all course sections within a single administration.

For those who prefer fixed-date administrations, don’t worry—the Manage Administration page still supports them. These will be automatically grouped into a single Administration Window, ensuring streamlined visibility and management on the updated page.

The Manage Administration page in Evaluate has been updated to support flexible dates aligned with course section end dates. We've introduced "Administration Windows," where course sections are grouped based on their end dates. This enhancement allows communications and evaluation releases to be scheduled more effectively, moving away from relying on a single fixed date.

This update improves the overall user experience by providing a holistic view of all course sections for the term within a single administration.

The Manage Administration page now accommodates administrations set up with a fixed date and time range. Course sections using this configuration will be grouped into a single "Administration Window" and displayed on the updated Manage Administration page for streamlined visibility and management.

Administration Information

The Administration Information section offers a comprehensive overview of details related to a specific Administration. It includes the Administration name, the selected evaluation type, and the applicable term. Users can also see whether custom instructor questions are enabled or disabled and view the types of permissions assigned to each organizational unit and its sub-levels. Additionally, the section displays the number of course sections included in the Administration, along with any warnings that highlight areas requiring attention for those course sections.

Evaluation date configurations will be presented for users to review:

  • Fixed Dates Administration: Displays the administration's opening and closing dates along with their corresponding times.

  • Flexible Dates Administration: Shows the evaluation's opening schedule based on a specified number of days before the course section's end date, as well as the selected duration for closing the evaluation.

    • The closing options include: 'Days Before,' 'Same Day,' or 'Days After' the course section's end date.

Evaluation date configurations will be presented for users to review:

  • Fixed Dates Administration: Displays the administration's report release date for all source sections for instructors and Administrators.

  • Flexible Dates Administration: Display the Instructor and Administrator report release dates in reflection of “x” days after the evaluation has closed.

Editing Administration Information

Administrators have the option to edit the Administration information to algin with any changes needed to be after the creation of an administration.

*Please note that when configuring the Administration settings, the following data points cannot be modified once they are selected:

The following fields can NOT be updated after the Administration is created

  1. Evaluation

  2. Term

  3. Institution

  4. Organizational Unit

  5. Option: Fixed Date or Flexible Date for Evaluation Dates

The following fields CAN be updated after an Administration is created

  1. Name

  2. Instructor Report Release Date

  3. Administrator Report Release Date

  4. Evaluation Open

  5. Evaluation Close

  6. Sections

  7. Include Faculty Questions

Once an administration has been created, users can manage or add course sections to it. By selecting "Edit," users have the option to either "Manage" existing course sections or "Add More Course Sections" to their administration.

When users select "Manage" or "Add Course Sections," a slide-out window appears, allowing them to manage their course sections.

Editing Course Sections

  • Course sections can now be added or removed while an administration is active. (An administration is considered "active" until the last course section within it is closed.)

  • If a course section's dates have already passed, it will be disabled and cannot be added to an administration.

  • Course sections with end dates that have already passed cannot be removed but will be disabled within a closed administration.

Editing Fixed or Flexible Evaluation Dates:

  • The Evaluation Closed option can now be modified if any Administration Windows are in an Open or Scheduled state.

  • The Open Evaluation and Close Evaluation options can now be edited if any Administration Windows are in a Scheduled state.

  • The Evaluation Open and Evaluation Closed options cannot be edited if any windows are in a Closed state.

  • The Evaluation Open option cannot be edited if any windows are in an Open state.

Editing Report Release Dates

  • The release dates for the Instructor Report and Administrator Report can be modified if at least one Administration Window is in an Open or Scheduled state.

  • The release dates for the Instructor Report and Administrator Report cannot be modified if any Administration Windows are in a Closed state.

  • The release dates for the Instructor Report and Administrator Report cannot be reopened if any Administration Windows are in a Closed state.

  • The release dates for the Instructor Report and Administrator Report were skipped at creation, dates can be added if none of Administration Windows have started.

Response Overview

The Response Overview section provides a summary of response rates across all course sections within the Administration. It highlights four key areas: the number of course sections that have "Not Started," those that have "Started," those that are "Completed," and the overall total of course sections available.

The Administrative Window section organizes course sections based on how your administration is set up. It includes a search feature for locating specific course sections and filters for evaluating their status (Scheduled, Active, or Complete). Each column in the Administration Window allows sorting in ascending or descending order for better navigation.

Each administration window will display the date range, highlighting when the first course section opens and when the last one closes. The status of the administration will also be clearly indicated, using color-coded labels: Red for 'Scheduled,' Green for 'Open,' and Blue for 'Completed.' Additionally, a countdown timer will provide a dynamic update on the number of days until the window opens or the remaining days within the administration period.

  • Administrations with Fixed Dates: Display a single time frame indicating when course sections will open for distribution and when evaluations will close.

  • Administrations with Flexible Dates: Group course sections based on their end dates, distributing and closing evaluations according to the parameters set for those dates.

Expanding each window will reveal all associated course sections, along with the instructors' names and the response rates for each specific section. Users will also have the option to navigate to the course section details and preview the questions for that course section.

Within the Administration window, users can perform a free-text search for course sections and refine their results by filtering based on status—Scheduled, Active, or Complete—allowing for a more focused and streamlined view of the information.

Users can sort their columns in both ascending and descending order. Please note that this sorting applies only within the Administration window and does not affect the order of all records. The following columns may be assorted: Identifier, Subject, Catalog, Section, Enrolled, Close Date and Response.

By selecting the three-dot menu, users can access a list of actions. The "View Details" option navigates to the details page for the selected course section, while the "Preview" option allows users to review all questions available for that course section.

If a course section has multiple instructors, users will see the name of one instructor along with a plus sign and a number indicating the total additional instructors. Hovering over the instructor's name will reveal a tooltip displaying the full list of assigned instructors.
