Mailing Center Updates: Scheduled Notifications and Recurring Reminders

Scheduling Delivery Options: When setting up a schedule for notification delivery, users can choose between two options:

  • Fixed Date:

    Users manually select a start and end date for the entire evaluation period using a date and time picker.

  • Flexible Date:

    This new feature allows users to schedule notifications based on each course section’s end date. Notifications can be sent for individual course sections rather than being tied to overall administrative dates.

In addition, users can define relative release dates, such as:

  • Note: If the “Instructor” is selected as the Audience, the user will have an additional option of “Report Release Date

  • Sending notifications a specific number of days before or after the “Evaluation Open Date” or “Evaluation Close Date.”

Customizable Recurring Reminders: Users can set up recurring notifications that are flexible and easy to manage. There’s no need to create multiple mailing campaigns—recurring reminders can be tailored to your needs, providing a streamlined approach to sending notifications.

  • Users can personalize the frequency of reminders, ensuring they receive timely communications about their evaluations.

    • Frequency: Users can choose specific days of the week and set a precise time for recurring reminders.

    • End Date: Users can specify an end date and time for the final reminder delivery.

  • Select "Save" to create recurring reminders or choose "Cancel" to return to the Campaign Creation page.

    • Note: Setting up recurring reminders is optional and not required for campaign creation.

  • Users can select 'Schedule' to plan their mailing campaign and set up recurring reminders. They will also have the ability to edit the campaign as needed.

  • Users will receive a confirmation once the campaign is successfully scheduled and can view its details in the 'Manage Campaign' section:

  • Users can access the Manage Campaign section to view delivery details or make adjust to their delivery dates settings.

  • By choosing the 'Edit' option, users can update the delivery details.

  • Users can adjust the recurring reminder schedule as needed.

    • Note: Once the campaign begins sending communications, the recurring reminder schedule may be modified.

Manage Campaign Mailings: Users can update and access additional detailed information within the mailing list.

  • Selecting “Details” will provide the mailing content and the delivery schedule.

  • The delivery schedule will display “delivery dates”, “audience count”, and associated “administration name”.

  • Users can easily update notification content by selecting the "Edit" button

  • To update the content, simply edit the text and click the 'Save' button

  • This is the first of several upcoming enhancements to mailing campaigns. Soon, administrators will be able to schedule and send notifications based on course evaluation open or close dates, allowing messages to be timed relative to each course section's schedule rather than all at once. Previously, mailings could only be scheduled based on the administration start and end dates but soon users will be able to tailor communication timelines by aligning mailings with each course section's specific start and end dates.
