Features for International Students and SEVIS

Anthology Student provides the tools to capture the data pertinent to a non-immigrant (NI) student or exchange visitor.

You can record data related to their:

  • Pre-arrival activities
  • Physical arrival
  • Status, while in the U.S
  • Changes in status
  • Physical departure

You can use the features to: 

  • Just record the details for international students

  • Also communicate these details and events to the U.S. Immigration and Naturalization Service (INS) in XML-formatted batch transmissions via the Internet

SEVIS Features

Anthology Student complies with the Student and Exchange Visitor Information System (SEVIS) requirements. For more information on SEVIS and transaction batch processing, refer to the U.S. Immigration and Customs Enforcement website.

When a non-immigrant prospective student contacts an institution, the student can be processed through the normal lead and enrollment actions by the Admissions staff. However, when prospective students contact an institution using the Anthology Student Web Interface, they should be identified as soon as possible as non-immigrant or international students. The campus may or may not want to process these students separately from domestic or other non-international students. If the campus does not host international students, it is obligated to immediately inform the prospective students.

After the student has been offered admission (enrolled) and before the student travels or reports to the institution, additional information must be collected. This information is processed through SEVIS. SEVIS through the institution, provides the students with proper documentation allowing them to apply for the appropriate student visa or to transfer programs from their current non-immigrant status within the US.

Designated School Officials (DSOs) or Responsible Officers (ROs)

Only Designated School Officials (DSOs) or Responsible Officers (ROs) can transmit and retrieve information from SEVIS, dictating a close working relationship between the DSO/RO, the International Student Advisor (if different), and all divisions and departments within the institution. The International Student Advisor/DSO/RO will need to maintain timely and accurate information about the student and report required data to INS/DOS as specified by the law. The International Student Advisor/DSO/RO may or may not have responsibilities associated with the admissions process.

The DSO/RO will use Anthology Student to identify a student or exchange visitor that needs to be documented by batch transmissions in SEVIS. The DSO/RO will report, by batch transmission, updates and changes associated with a student or exchange visitor within 24 hours of entering the data in Anthology Student. The DSO/RO will use Anthology Student to request and process batch downloads from SEVIS. The DSO/RO will evaluate error reports and generate printed documents for approved records.

International

In addition to the Student Profile, there is an International page for the student. The International page provides a centralized location for tracking data, activities, and documents related to international students. (Select the Students tile > select the name in the Students list > expand Contact Manager > select the International tile.)

International administrative support and International Student Advisors can enter data on the International page. The ability to mark a record as Ready To Send will be limited to a staff person with DSO/RO approval authority.

Anthology Student stores and tracks the data necessary to transmit non-immigrant student data through SEVIS (visa types F1, M1, and J1). You can manually extract files to report to SEVIS and import the acknowledged files from SEVIS.

You have the option of processing other non-immigrant types, but only those defined as F1, M1, and J1 are processed through SEVIS. You can manage written documentation and contact information for international students using existing the Contact Manager and Document Tracking features in Anthology Student.

Overview of the Trans Statuses for SEVIS

The table provides an overview of the transmission statuses in the Trans Status field on the International page.

Value Status Description
The field is blank. None The student is not ready to send to SEVIS or your institution requires PDSO/RO review for transmission and they were rejected by the DSO or RO.
D Ready for DSO Review  Your institution requires PDSO/RO review before it is transmitted to SEVIS and the student is ready for review by the DSO or RO.
R Ready for transmission The student is ready to be transmitted in the next batch. If your institution requires PDSO/RO review before it is transmitted, it has been approved.
S Submitted to SEVIS  The student has been transmitted to SEVIS and you are waiting for their response.
A Accepted or approved The student has been transmitted to SEVIS and accepted. SEVIS will also provide their unique SEVIS ID.
E Error or exception

Either the: 

  • Transmission and all of the students in the transmission failed (In most cases, this is due to non-compliance in the XML.)

  • Student was not accepted by SEVIS

On the International page, add the information specific to an international student. When the information is complete, set the status. If your institution configured the campus to: 

  • Require PDSO/RO review for transmission, set the status to D

  • Not require review, set the status to R 

Next

If your institution requires the student information must be reviewed by the Designated School Officials (DSOs) or Responsible Officers (ROs) and you selected D, the DSO or RO reviews the information using the SEVIS Review page. If they review and: 

  • Approve, the status will be set to R.

  • Rejected, the status will be blank again. The staff member will need to make any corrections and set the status to D again.

Create the file that contains student data that needs to be transmitted to SEVIS.

Export the file to SEVIS. If the export was: 

  • Successful, Anthology Student changes the Trans Status for the student to S 

  • Unsuccessful, Anthology Student changes Trans Status for the student to E (In most cases, this is due to non-compliance in the XML.)

Review the status of the exported batch.

Once the file is received from SEVIS, import the file and update the Anthology Student with the information in the file. If SEVIS: 

  • Accepted the student and provided the SEVID ID, the Trans Status is updated to A

  • Did not accept the student, the Trans Status is updated to E
