Send Federal Work Study Earnings to Anthology Student

This topic provides the information on the Federal work study earnings data sent to Anthology Student and the steps to send Federal Work Study (FWS) earning statements to Anthology Student.

Note: Users performing this task must have the System administrator / CMC: Federal work study administrator / CMC : Federal work study manager role.

Prerequisites

• The earning lines in the Federal Work Study Earning Statement Lines Page should be in the Validated status.

Sending Federal Work Study Earning Lines to Anthology Student

You can send the Federal Work Study earning lines to Anthology Student using the following steps:

1. Select the required Legal entity.

2. Navigate to the Federal Work Study payments page (under Student accounting > Federal work study > Federal work study payments).

3. Review the earning statements for the Payment status and Sent status.

4. Click the Send data to Anthology Student under the Process tab.

   Earning statements with the Payment status as Processed and Sent Status as Pending or Failed are sent to Anthology Student.

After the earning statements are sent successfully to Anthology Student, the award details (Disbursed amount, Pending amount, and Award balance) are updated for the students in the Student awards page in Anthology Finance & HCM.

Federal Work Study Earnings Data Sent to Anthology Student

The following Federal work study payment details are sent from Anthology Finance & HCM to Anthology Student:

• Pay statement date

• Pay end date

• Hours worked

• Amount

• Check number or Electronic file name

• Academic year start date

• Academic year end date

After the Federal work study payment details are sent to Anthology Student:

• The Sent Status of the earning statement sent to Anthology Student is updated as:

  • Sent - When the data is sent successfully to Anthology Student.

  • Error - When an error occurred while processing or updating the payroll details in Anthology Student. The error details can be viewed by clicking the View > Log option.

  • Failed - When the data was not sent to Anthology Student due to integration error(s). The error details can be viewed by clicking the View > Log option.

  Note: For records with the Sent status as Error or Failed, you can view the error details by clicking the View > Log menu option.
