Federal Work Study Earning Statement Lines Page

When integrated with Anthology Payroll, use this form:

  • to view all the generated Federal work study earning lines for a worker with the Student role, and

  • to process the earning lines for payroll.

Note: By default, earning lines with the Validated Payment Status are displayed on the Federal work study earning statement lines page. You can change this display by selecting a different filter condition for the Payment Status column or any other column.

Roles and Privileges

  • CMC: Federal work study manager/ CMC: Student accounting administrator / CMC: Student accounting manager - To view all Federal work study earning lines for a worker with the Student role.

  • CMC: Federal work study administrator - To view all Federal work study earning lines and process the earning lines for payroll.

Process earning lines for payroll

Opens the Process earning lines for payroll batch job page.

This batch job is used to send earning lines with Payment status asValidated, and Status as None or Error to Anthology payroll for processing employee payroll.

After the batch job is run, the Status of the earning lines is updated to:

  • Success - When the earning lines are sent successfully to Anthology Payroll.

  • Error - When an error occurred while processing the earning lines in Anthology Payroll

Note: "Process the earning lines for payroll" generates Import earnings records in Anthology Payroll for eligible hours-based earning lines.

Fields

The following table lists the fields displayed in the Federal work study earning statement lines page.

Field

Description

Worker The worker name associated with the earning statement.
Personnel number The ID of the worker.
Position The associated worker position.
Earning statement number The earning statement number.
Pay group The pay group associated with the Position that is used for generating the earnings.
Pay period dates The start and end date of the pay period for generating the earnings.
Payment status The payment processing status. It can have one of the following values:
  • New - It is the default status, and indicates that earning lines have been generated.

  • Validated - Indicates the generated earning lines are validated against the Federal Work Study awards assigned to the Position of an employee.

  • Processed - Indicates the payroll process has been completed in Anthology Payroll and an update has been received.

    Note: Earning statements / Earning lines with the Payment status as Processed cannot be edited or deleted.

  • On Hold - Indicates there is insufficient award balance for processing the earning lines.

Earnings date The date for which earnings is generated. This date is populated from the associated calendar and the dates must occur in the pay period that is specified for the earnings statement.
Earning code The earning code associated with the Position.
Quantity The amount of work performed by the worker.
Rate The hourly rate configured in the Fixed Compensation plan of the position assigned to the worker.
Amount The amount generated for the earning line. It is a product of the Quantity and Rate field values.
Source The source of the earning line. It can have one of the following values:
  • Position schedule - Indicates the earning lines are generated from the schedule attached to the position.

  • Imported - Earning lines are imported from an external source.

  • Manual entry - Earning lines are manually added to the earning statement.

Federal work study Indicates the worker is assigned to a Federal work study position.
Status The status of the earning lines sent to Anthology payroll after the Process earning lines for payroll batch job is run. This field can have one of the following values:
  • Success - Indicates the earning line was sent successfully to Anthology Payroll.

  • Error - Indicates an error occurred while processing the earning line in Anthology Payroll.

Description The error message description when the Status of the earning line is Error.
