Faculty Workload

You can use the Faculty Workload Management (FWM) module in Anthology Student to automate: 

  • Workload validation for instructors to ensure they do not exceed their teaching or curriculum limits at your institution

  • Pay generation for instructors (such as part-time and adjunct faculty) 

Once you have configured the FWM module from a single location, you can: 

  • First, review and add assignments for instructors and validate their workloads

  • Then, for the workloads that passed validation, generate, confirm, and export the earning lines for paid assignments so that they can be imported into your payroll system

Anthology Student also includes predefined reports for the FWM features.

Integration with External Human Resources (HR) and Payroll Systems

Anthology Student supports data integration with External HR and Payroll systems (for example, Anthology Finance & HCM or any third-party HR and Payroll application). When Anthology Student is integrated, Anthology Student uses the data available in the Anthology Student database. For example, you can use the jobs and positions already in your HR system.

Required Settings

You must configure integration using the General page to integrate with the External Human Resources (HR) and Payroll system. (Select the Settings tile > locate Faculty Workload > select General.)

Integrate HR data

Your institution must have configured Update HR ConfigurationClosed Select Manual Configuration or Integrated HR to determine how HR configurations will be updated in Faculty Workload Management. The default is Manual Configuration.

General Settings for Faculty Workload

Determine how payroll configuration is to be updated

Your institution must have configured Update Payroll ConfigurationClosed Select Manual Configuration or Integrated Payroll to determine how payroll configurations will be updated in Faculty Workload Management. The default is Manual Configuration.

Export earning lines for pay generation

Your institution must have configured for Export Payroll Earning Lines from FWMClosed Select whether or not you want to export payroll earning lines to Azure Service Bus (ASB). If Yes, it will be sent to ASB. For No, it will be exported as a file.

Note: You must have configured all the required data on both side of the integration (Anthology Finance & HCM and Anthology Student) prior to turning on the integration. This helps you to prevent duplicate data issues within the system.

Prerequisites for Configuring FWM

Before you can begin to configure FWM, your Academic Records department must have completed these items.

Your institution must have configured course groups.

(Select the Configuration tile > locate Academic Records > select Course Groups.)

Course Groups When you configure Faculty Workload Management, you select the course groups that you want to evaluate.

Your institution must have configured its courses.

(Select the Configuration tile > expand Academic Records > select Courses.)

Add or Edit Courses When you configure Faculty Workload Management, you associate load types and details to courses.

Faculty Workload Management automatically populates the terms configured by your Academic Records department when you associate policies with faculty members. If you want to validate on another time frame, such as a contract duration of a year, you must also have configured those as terms. (Select the Configuration tile > locate Academic Records > select Terms.)

Your institution must have also added the instructors using one of these options. For FWM, the instructors do not have to be members of the Instructor's group (code TEACH).

Prerequisites for Using FWM

Before you can view or validate workloads for teaching activities, your Academic Records department must have scheduled classes. (Select the Class Scheduling tile.) When Faculty Workload Management validates loads, it automatically includes all the previously allocated loads for the faculty (associated with the other class sections) for which the load validation is performed.
