About Google Calendar Integration
Many institutions use the Google platform to track their appointments and meetings. Anthology Reach includes a framework to integrate with Google Calendar, thus creating new ways to engage users.
How It Works
- If an institution uses the Google platform to manage appointments, an administrator can set up syncing of appointments from Anthology Reach to Google Calendar. Appointment syncing is currently a one-way process from Anthology Reach to Google Calendar.
- To set up syncing with Google Calendar in your institution, check with your account manager or the professional services consultant assigned to your implementation. After setup is complete. you will be able to manage and configure calendar related settings in Anthology Reach. To know more, see Prerequisites to Sync Appointments With Google Calendar.
Appointments Displayed in Google Calendar
- Anthology Reach users will need to create or update appointments, which Google Calendar users can then view in real time because syncing from Anthology Reach to Google Calendar is continuous.
- In Google Calendar, appointment owners can view their appointments in the Google Calendar instance that's configured in Anthology Reach. However, attendees can view the same appointment in the Google Calendar instance associated with their email address.
- The following table summarizes how operations on appointments in Anthology Reach will affect the display of information in Google Calendar:
Scenario Description Appointment created or updated in Anthology Reach. An event will be created in Google. Update scenarios are as follows: - Changes in Required and Optional attendees
- Changes in the following:
- Subject
- Start and end dates
- Location
- Description
The appointment will be updated in Google. Canceling an appointment in Anthology Reach. The appointment will be deleted in Google Calendar.
Business Case
Nick, the office assistant at Acme University is required to create appointments for:
- Dan – the accountant in the Finance department
- Amy, Vasu and Parker – students at the university
Nick creates an appointment on behalf of Dan (the appointment owner) with Amy and Vasu as required attendees, and Parker as an optional attendee.
In Google Calendar:
- Dan will view the appointment in the configured Google calendar instance.
- Amy, Parker and Vasu will view the appointment in their calendar associated with their primary email address set in their contact records.
- Parker declines the appointment with Dan because he’s busy elsewhere, but can view any of the following changes made to the appointment:
- Names of other attendees – required and optional
- Location
- Description
- Start and end times, and so on
