Creating a Lifecycle
A lifecycle can be created for various scenarios, such as for the admission process, alumni to donor conversion, for enrolling an employee to a specific program, etc. Anthology Reach allows institutions to define and personalize the education path for a student from inquiry to enrollment.
The admissions lifecycle feature in Anthology Reach helps to engage with students during recruitment until enrollment by establishing, building, tracking, and managing relationships throughout the student admission lifecycle.
The following topics describe how a lifecycle is created for a contact based on information available in the Inbound Interest:
Notes:
- When a value is set in the Lifecycle Type mandatory field, auto-naming logic defined in the Lifecycle – Autoname workflow will be triggered to name the record.
- In a lifecycle, the value set in the Contact field will also be set in the following fields:
- Contact (parentcontactid)
- Potential Customer (customerid)
This bidirectional update of contact details in a lifecycle record is done in the following workflows:- Lifecycle - update cmc_contactid when parent contact is updated (on update)
- Lifecycle on create - update parent contact id and cmc_contactid (on create)
- Lifecycle - update customer and parent contact field when cmc_contactid field is updated
- Users can close opportunity records created in xRM Advancement as won or lost. The following options will be displayed in a saved opportunity record:
- Scenarios can occur where an equivalent lifecycle record is automatically created when staff at an institution create an application. For information about how this happens, see stage 2 of Creating an Application Registration Record and the section on the application definition version entity in Creating Records of Application Management Entities.
- When a lifecycle is created, it is automatically named based on the values specified in the Contact, Campus, Expected Start, and Program fields, and the date and time when the record is created. The format of the Lifecycle name is as follows:
<Contact name> - <Campus name> - <Expected Start value> -<Program name> - <Created On - date and time>.
The condition for the Lifecycle Name is defined in the Lifecycle - Auto Name workflow. To change the condition, user can copy the Lifecycle - Auto Name workflow and then customize it to change the naming convention. -
In the lifecycle record, the Trip Activity field is displayed if Appointment, Event Attendee or Trip is selected in the Method field. You need to select a trip activity which contributed to the creation of the lifecycle record.
If the value Appointment is selected, trip activities that are based on appointments are available for selection. Similarly, trip activities based on events are available if the value Event Attendee is selected.
If the value Trip is selected, trip activities that are of type Appointment, Event and Other are available for selection in the Trip Activity field. - When you change the Lifecycle Type in a lifecycle record, the associated BPF of the new lifecycle type will be displayed only when you save the lifecycle record.
Automatically Qualify Inbound Interests to Lifecycles
Using workflow automation, Inbound Interests can be automatically qualified as Lifecycles.
The automation is achieved using the Inbound Interest – Create Lifecycle workflow. The workflow allows an institution to define the criteria when Inbound Interests can be automatically qualified as Lifecycles. Examples of criteria include checking for presence of an existing lifecycle for the contact, presence of an existing lifecycle for the same entry term etc. For more information, see Auto-Qualifying an Inbound Interest Record.
Manually Add a Lifecycle for a Contact
Lifecycles can be manually created for a contact.
- Open the required Contact record.
- In the Admissions Profile > Lifecycles section, click
.
- In the New Lifecycle page, specify the required details and click Save.
- The Lifecycle record is created and is available in the Lifecycles section of the contact record.
