Lifecycle Stages and Statuses

In Anthology Reach, a Lifecycle can have multiple stages and each stage indicates a specific purpose to track the progress of a prospect. Reach Lifecycle management provides the ability to define and personalize a student's path from Inquiry to Enrollment for a particular program.

For example, in an admission lifecycle, a contact progresses through various stages of the lifecycle from prospect to admitted student where each stage in a lifecycle is associated with a lifecycle status reason that determines the status of the lifecycle.

The stages in a Lifecycle can be configured and managed using the Microsoft Dynamics 365 Business process flow capability where in the implementation team can create a custom BPF and define enrollment funnel stages based on customer requirements. Out of the box, a sample BPF “Lifecycle (Engage)” is shipped with the Reach solution for reference.

For information on working with the Microsoft Dynamics 365 Business Process Flow, see Microsoft Documentation on Business Process Flows.

Note: The Lifecycle - Close Lifecycle workflow updates the Lifecycle status based on the Lifecycle status reason that is assigned to the Lifecycle's BPF stage.

Example of an Admission Lifecycle

The following table provides a list of business process flow (BPF) for an admission lifecycle with corresponding Lifecycle Status values:

BPF Stage Lifecycle Status
Prospect Expressed Interest (Default)
Not Eligible
Not Interested
App in Progress Incomplete Application
Canceled
App Complete Pending Review
App Requirements Pending
Ready for Decision
Canceled
Admit Admitted with Conditions
Canceled
Deposit Deposit Pending
Canceled
Matriculate Matriculate

When the BPF stage is Matriculate and the Lifecycle Status Reason is Matriculate the contact becomes a student and the lifecycle is completed. However, if the BPF stage is Admit and the Lifecycle Status is Canceled, the Lifecycle is automatically closed.

The following image displays the Business Process Flow Stages created for the Admission lifecycle:

For information about modifying the lifecycle status reason that applies to a default BPF, see Working With Lifecycle Status Reasons.

Lifecycle Stage Progression

In Reach, the following two options are available to progress the Lifecycle stages:

  • A user with required permissions and privileges on the Lifecycle record manually progresses the stages in a Lifecycle record.

  • Automatically progress stages based on predefined triggers on the fields of the related entities (e.g., the Application Status field in the Application entity, the Decision Status field in the Decision entity, etc.). This accelerates the process of tracking the status of a prospect's admission into a program. For details, see Automatic Lifecycle Stage Progression and Status Updates.
