Determine the Built-In Tasks to Select

Use this topic to determine the built-in tasks to select for users or groups.

It contains guidelines and information about which built-in tasks authorize staff members to take actions for features.

Authorization for All Features

The All Operations built-in task contains all the built-in tasks for Anthology Student and its integrated products (such as Regulatory). It grants a staff member or group full access to all features.

General Guidelines

Built-in tasks that end with View or Get display the item. If you specify a task that ends with New, Add, Edit, or Delete, you should also specify the task that ends with View or Get so that the staff member can display the item they want to edit or delete or an item they added.

Built-In Tasks for Features for the Students Tile and Student Profile

Staff members use the Students tile to display a list of students so that they can access the Student Profile.

From the Student Profile, staff members can view, add, edit, and delete Student Profiles. By default, Anthology Student displays the students for the campuses the staff member has access to. The following authorizations control access to the Students list and Student Profiles.

  • Basic Required Common Operations (to view a student)
  • Common - Student - Delete
  • Common - Student - Edit
  • Common - Student - New
  • Common - Student - View (also to view a student)

From the Student Profile, staff members can perform work for their module (such as a department or office). For example, from the Student Profile, a staff member can add a student application. The authorizations for the features available from the Students list follow this format.

For example, to authorize a staff member to add and edit a student application, you would grant them: 

  • Common - Student - View

Built-In Tasks for the Processes Tile

Staff members use the Processes tile to complete processes for their module (such as a department or office).

The Common - Processes - View authorization controls access to the Processes tile.

In most cases, the authorizations for the specific features available from the Processes tile follow one of these formats.

  • Common - Student Group - Administrative Tasks displays all public and private groups, displays all job frequencies for refreshing dynamic groups and not just those selected for the CampusNexus Web staff group, and includes all authorizations for groups except for the permission to add or remove students from a group not owned by the administrator. 

  • Common - Student Group - Purge Expired Student Groups deletes all groups owned by the logged in user at once. Common - Show Student Groups tile grants access to the page for managing groups. You should include it if you specify any other task definition for the Groups feature.

Reports - Module Name - Report Name (such as Reports - Admissions - Start Date)

If you create custom reports and include them in a folder in the same directory as Anthology Student reports, Anthology Student also creates a corresponding task for the: 

  • Folder
  • Report in that folder

You then authorize staff members to view it using the Security Console. The custom report also gets added to the All Operations built-in task, so that System Administrators and others with equivalent access can generate and display the report.

For example, if you create a folder with the name Your Custom Reports and a report with the title Employers, the Security Console includes tasks with the following names.

  • Your Custom Reports - All Reports (Authorizes a user to view all the reports in the folder.) 

  • Reports - Your Custom Reports - Employers (Authorizes users to access only this report in the folder.)

Contact Manager - Task - View

Contact Manager - Show Tasks Tile grants access to the pages for managing tasks (such as edit and close). You must include Show Tasks tile if you specify any other task definition for the Tasks feature.

Tasks can be configured in the legacy interface to prompt for a new follow up task when they are closed. If you include Close Task in the role definition, you should consider also including New Task if your institution configures tasks to prompt for creating the follow up tasks.

Views tile

 

Create and manage views

The authorizations for the Views tile follow this format.

Views - Modulename Data

For example, to grant a staff member access to academic data, you grant them Views - Academics Data authorization.

View - Common Data grants access to data that is common and used frequently (such as the names of the students and campuses). In most cases, you will want to include View Common data if you include any other task definitions for the Views feature.

View all your home page live tiles

Common - Home - Live Tiles - View

Views - Admissions Data

For example, to view the live tiles of admission like Student - Total Prospects and Student - Total Active Students on the home page.

You must add both these task to view live tiles on the home page of Anthology Student without any error.

By default, SyRegistry value for isDisplaySummaryTiles is 1. To view the live tiles, you must set SyRegistry value to 2.
