Related Addresses

You can use the Related Addresses page to manage all the additional and related addresses for a student. You can also set an address as the default.

If an address other than Student Profile is selected as the default, the following fields can be edited here, but Anthology Student does not synchronize them for you with the Student Profile.

  • Other Phone Number
  • Mobile Phone Number
  • Other Email address
  • County

If you want the addresses to be consistent, you must change them here and on the Student Profile.

After you mark an address as the default, it is set as default: 

  • Here, in Related Addresses
  • In Contact Preferences (Select the Students tile > select the name in the Students list > expand Contact Manager > select the Contact Preferences tile.)

It is also displayed on the Student Profile under Contact Information.

The Preferred, Do Not Contact, and DNC Override columns display the values from the student Contact Preferences list. After you specify a student address, you can set the preferred method for contacting a student using Contact Preferences. For example, you can set the address as Preferred or Do Not Contact.

For international students, you must specify their U.S. and foreign addresses under Address on their International page (Select the Students tile > select the name in the Students list > expand Contact Manager > select the International tile.). Any additional addresses you can still specify here.

From this page, you can display the addresses specified on their International page and edit non-address related values. For example, you can edit the phone number for the address, but not the street address and country.

Prerequisites

To view the page, you must have:

  • Common - Student - View authorization

  • Contact Manager - Student Address - View authorization

To add, edit, and delete a record, you must have Contact Manager - Student Address - New, Edit, and Delete authorization.

To edit an address, it must have an Address Type other than Student Profile. (The address for the Student Profile must be edited on the Student Profile.)

Access Method

Select the Students tile > select the name in the Students list > expand Contact Manager > select the Related Addresses tile.

Procedure to Add or Edit a Related Address

  1. Review the values of the records in the grid. The records in the grid are sorted alphabetically based on the Address Type column.

    AddressClosed The address of the person, organization, or building associated with the record. If you change the address for a student, Anthology Student displays a dialog that you can use to save the address before your changes to the Related Addresses list for the student (Select the Students tile > select the name in the Students list > expand Contact Manager > select the Related Addresses tile.). You can also specify the type of address. For example, if your institution has a value of Previous configured for the address type, you can select the value for any previous addresses.

    Address TypeClosed The category of the Address. For example, Student or Campus, Home, Vacation, Work, and so on. If billing address is selected as the Address Type, the address information is displayed in the student's ledger card on the Billing Address tab.

    CountryClosed The country of residence. If you are specifying a country, the field defaults to the country for the campus. The country also determines the format of phone numbers. If you change the country, the phone numbers are automatically reformatted to the format for that country.

    Date AddedClosed The date when the item or person was added or the status change was entered.

    Date ModifiedClosed The date when the item was changed. On some pages, the date also includes the timestamp.

    DefaultClosed The associated record is set as default. For example, the default address, the default enrollment.

    DNC OverrideClosed Indicates if a Do Not Call (DNC) Override is on file for the student. An override document stores any exceptions to the DNC list. Students with addresses listed on the DNC list, but who permit communications from the institution, require an override to comply with FTC rules. You cannot update or modify the DNC Override option. The value is based on the student document configuration and the document status code. For example, if the student has a document that is configured as National Do Not Call Override Document for the default campus, and the document status Code is set to OK or REC, then DNC Override will be set for all Contact Method sources. This value is then reflected in Contact Preferences under DNC Override.

    Do Not ContactClosed Specifies if the record should not be used to contact the student.

    Email AddressClosed The email address of the student, person, or organization.

    End DateClosed The last date the item is effective or can be used. Depending on the context of the associated record, the end date can also be the end of a time range, session, or activity (e.g., job, program, course, term, payment period, academic year, enrollment).

    Mobile Phone NumberClosed The mobile phone number.

    Modified ByClosed The name or user ID of the person who changed the item.

    Other Email AddressClosed If the student has more than one email address, the secondary email address.

    Other Phone NumberClosed Phone number associated with the record. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

    PersonClosed The full name of the person.

    Phone NumberClosed Phone number associated with the record. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

    PreferredClosed The preferred address to be used to contact the student.

    SeasonalClosed Indicates that the address is seasonal/temporary address. For example, if a student would like to receive mail at an address for a certain length of time. If you are adding or editing an address and it is selected, you must specify the values for Start Date and End Date.

    Start DateClosed The first day the item takes effect or becomes active. Depending on the context of the associated record, the start date can also be the start of a time range, session, or activity (e.g., job, program, course, term, payment period, academic year, enrollment).

    StatusClosed Active indicates that the address type is an active address. An inactive status for an address indicates that the address is most likely an address that will not result in contacting the student. For example, Anthology Student displays Inactive for the system-defined SEVIS Foreign US Address and Future address types. Anthology also displays Inactive for the address types your institution defined if they are changed from active to inactive in configuration. It also displays Inactive if the address type was configured with effective dates and the current date is outside of that date range. It is read-only.

    Work Phone NumberClosed The work telephone number for the student, staff, or person. The format will depend on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens). When a student is placed in a job using student placement, the program automatically updates the number with the phone number for the employer. If it applies, the extension is also updated.

  2. If you want to: 

    • Add a new address, select the New button

    • Add a new address by copying address information from the Student Profile, select the Copy from Student Profile button

    • Edit an address, select the Address Type link in the list

  3. In Address TypeClosed The category of the Address. For example, Student or Campus, Home, Vacation, Work, and so on. If billing address is selected as the Address Type, the address information is displayed in the student's ledger card on the Billing Address tab., select a value. If configured, you can specify an Address Type as FERPA.

  4. Review, specify, or change the following values.

    CityClosed The name of the city where the building, person, or organization is located.

    CountryClosed The country of residence. If you are specifying a country, the field defaults to the country for the campus. The country also determines the format of phone numbers. If you change the country, the phone numbers are automatically reformatted to the format for that country.

    CountyClosed The county for the address.

    Email AddressClosed The email address of the student, person, or organization.

    First NameClosed The first name of the student. staff member, or other person.

    Last NameClosed The last name of the student, staff member, or other person.

    Mobile Phone NumberClosed The mobile phone number.

    Other Email AddressClosed If the student has more than one email address, the secondary email address.

    Other Phone NumberClosed Phone number associated with the record. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

    Postal CodeClosed The postal code for the address. If you are specifying an address, you must specify a value for City or State. If you specify a city, state, or both, the list contains the valid ZIP codes.

    StateClosed If within the United States, the name of the state.

    StatusClosed Active indicates that the address type is an active address. An inactive status for an address indicates that the address is most likely an address that will not result in contacting the student. For example, Anthology Student displays Inactive for the system-defined SEVIS Foreign US Address and Future address types. Anthology also displays Inactive for the address types your institution defined if they are changed from active to inactive in configuration. It also displays Inactive if the address type was configured with effective dates and the current date is outside of that date range. It is read-only.

    Street AddressClosed The street address. For student addresses, if an address exceeds 40 characters, the additional characters in the address line will not be extracted and sent to COD but will be truncated. For this property, the Sdvanced Search Operator list displays the Starts With option only.

    Telephone NumberClosed Phone number associated with the record. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

    TitleClosed The title for the person associated with the record.

    Work Phone NumberClosed The work telephone number for the student, staff, or person. The format will depend on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens). When a student is placed in a job using student placement, the program automatically updates the number with the phone number for the employer. If it applies, the extension is also updated.

  5. If the address type is configured to have effective dates and will only be valid during a date range, specify or change the values.

    End DateClosed The last date the item is effective or can be used. Depending on the context of the associated record, the end date can also be the end of a time range, session, or activity (e.g., job, program, course, term, payment period, academic year, enrollment).

    SeasonalClosed Indicates that the address is seasonal/temporary address. For example, if a student would like to receive mail at an address for a certain length of time. If you are adding or editing an address and it is selected, you must specify the values for Start Date and End Date.

  6. If you want to save and: 

    • Continue making changes, select the Save button

    • Close, select the Save & Close button

Procedure to Set a Default Address

Take the appropriate action.

Task Action to Take
Set an address other than Student Profile as the default
  1. Highlight the record you want to set as default in the list.
  2. Select the Set Default button on the toolbar
Set the Student Profile as the default
  1. Highlight record for the address that is currently the default in the list.
  2. Select the Clear Default button on the toolbar.

For the student, Anthology Student changes: 

  • Default column to Yes in the Related Addresses list
  • Set as Default column to Yes in the Contact Preferences list
  • Displays the address on the Student Profile under Contact Information

Procedure to Delete a Student Address

  1. Highlight the record you want to delete.

  2. Select the Delete button on the toolbar.
