Add or Edit Student Funding

You can add and edit student-specific funds using the Search tab on the Automated Student Fund Management form.

For records that have been added via batch processing (refer to Import Student Funding Records), you can enable the Batch Number column in the Student Awarded Funding grid and filter the records by batch number.

All the records listed in the Student Awarded Funding grid are eligible for financial aid auto-packaging (refer to Automatically Package Financial Aid).

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Financial Aid Automation - Processes - Automated Student Fund Management - Search - Delete, Edit, New, and View authorization

Access Method

Select the Processes tile > expand Financial Aid > select Automated Student Fund Management.

Procedure to Add or Edit Student Funding

  1. Select the Search tab of the Automated Student Fund Management form if it is not already selected.

  2. Specify the Selection Criteria to filter the records.

    Award YearsClosed The financial aid award year associated with the record.

    CampusesClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    Fund SourcesClosed The fund sources you wish to work with.

    StudentsClosed The students you wish to work with.

  3. Select the Apply Filters button.

    The Selection Criteria section is collapsed and the Student Awarded Funding grid is displayed.

  4. The student records with configured funds are displayed in the Student Awarded Funding grid.

    For records that have been added via batch processing (refer to Import Student Funding Records), you can enable the Batch Number column in the Student Awarded Funding grid and filter the records by batch number.

    Review the following values.

    Award AmountClosed The dollar amount associated with the record.

    Award YearClosed The financial aid award year associated with the record.

    Amount PaidClosed The dollar amount associated with the record.

    BalanceClosed Total balance due after the payment was made.

    Batch NumberClosed The number/ID assigned by Anthology Student to the batch. Based on the selection criteria, the job processes data and creates batches asynchronously in the background.

    CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    Created DateClosed The date when the item was created.

    Fund SourceClosed The fund source associated with the award which the refund is scheduled against. If your institution is using fund source security, you must have permission to work with the fund source.

    Fund Source TypeClosed Specific classification for the fund source.

    Last ModifiedClosed Indicates the date when the item was last modified.

    Modified ByClosed The name or user ID of the person who changed the item.

    Payment PeriodClosed The payment period associated with the enrollment. Payment periods only apply to program versions configured with an academic year.

    ProgramClosed The name of the program. Programs are configured by your institution.

    Program VersionClosed The program version associated with the student or item.

    StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link, and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

  5. Select the expand icon (Expand icon) to view the following additional information.

    Award Limit AmountClosed The award limit amount. The field is editable only when "Award All Transaction Codes" is set to Yes.

    Award Limit PercentClosed The award limit percentage. The field is editable only when "Award All Transaction Codes" is set to Yes.

    PriorityClosed A numerical value that indicates the awarding priority. The field is editable only when "Award All Transaction Codes" is set to Yes.

    Transaction CategoryClosed Select the transaction category from the drop-down list, for example, Books, Fees, Tuition, Room, Board, Travel, Other, and Personal.

  6. If you want to:

    • Add new funding, select the New button on the Student Awarded Funding grid.

      The New Student Awarded Funding section is displayed. Select the student in the Student field under New Student Awarded Funding.

    • Edit funding details, locate the record in the grid, and select the link in the Campus column.

      The Edit Student Awarded Funding: <student name> <student number> section is displayed.

  7. Review/configure the following values.

    Under Fund Criteria:

    Award YearClosed The financial aid award year associated with the record.

    AgencyClosed An agency is a sponsor or third-party billing entity that provides assistance to students. Agencies can offer financial support, funding, or other types of assistance based on a student's unique qualifications or special arrangements made with your institution.

    Agency BranchClosed The branch associated with the selected agency. When you select an agency that has branches, you must choose specific branches. The agency branches are populated based on the Agency Affiliations tile under Student Profile > Contact Manager. If an agency has multiple branches, the first branch populates the Agency Branches field.

    Fund Can Pay StipendClosed Whether the fund can be used to pay a stipend (Yes or No).

    Fund SourceClosed The fund source associated with the award which the refund is scheduled against. If your institution is using fund source security, you must have permission to work with the fund source.

    Fund Source TypeClosed Specific classification for the fund source.

    Max AmountClosed Maximum award amount of the selected fund.

    Max Amount TypeClosed Choose either Award Year or Lifetime.

    Min Credit LoadClosed The minimum credit load allowed.

    Payment PeriodsClosed The payment period associated with the enrollment. Payment periods only apply to program versions configured with an academic year.

    The Agency and Agency Branch fields are not selectable when Grant is selected in the Fund Source Type Field in Step 4. If Other Outside Resources is selected, both fields are active and configurable.

    After you select a fund source in the Fund Source field, you can select the View Fund Source Details button in the toolbar to review the details of that fund source in a new browser tab.

    Under Awarding Criteria:

    Max Credit HoursClosed The maximum allowed amount of credit hours.

    Max Paid Credit LimitClosed The maximum amount of paid credits.

    Range: Min Credit HoursClosed The minimum allowed amount of credit hours.

    If you selected Award Year in the Max Amount Type field, these three fields are not selectable. If Lifetime was selected in the Max Amount Type field, these three fields are active and configurable.

    Under Fund Attributes:

    Effective DateClosed The date or date range when the item is effective or valid and can be used.

    Re-Award FundClosed Conditions for re-awarding the fund (Do Not Re-Award, Re-Award at Previous Year Award Level, or Re-Award Same Amount).

    Under Military VA Benefits and Tuition Assistance (if displayed):

    The Military VA Benefits and Tuition Assistance section is displayed only when your selection in the Fund Source field has military benefits configured by your institution.

    Award Top Up BenefitsClosed Choose to award Top-Up financial assistance (supplemental funds through the GI Bill).

    Credit HoursClosed The credits that the student achieved in the course.

    Military BranchClosed The specific branch of the military.

    Program - Enroll CategoryClosed The type of enrollment in the program (1/2 time, 3/4 time, etc.).

    StateClosed If within the United States, the name of the state.

    Tuition Assistance Credit AmountClosed Number of credits for the tuition assistance.

    Tuition Assistance Credit TypeClosed The credit type related to the tuition assistance: Semester Credit, Clock Hours Credit, Quarter Credit, or None.

    VA BenefitClosed The specific type of benefit provided to the student by the Veteran's Association.

    Veteran PointsClosed Points awarded to veterans by the military after their service.

  8. In the Transaction Priority section, you can add a transaction priority to the fund.

    Select Add and configure the following values.

    Award LimitClosed Maximum dollar limit of the award.

    Award Limit %Closed Maximum percentage amount of the award.

    PriorityClosed Numerical rating for the transaction's priority.

    Transaction CategoryClosed Select the transaction category from the drop-down list, for example, Books, Fees, Tuition, Room, Board, Travel, Other, and Personal.

    Specify Yes or No in the Restrict Fund to Transaction Category Priority OnlyClosed Yes = The total award is limited to the award limit specified (and may result in multiple modifications to the award amount.) No = The total award is not restricted to the award limit specified. field.

  9. In the toolbar, select Save or Save and Close.

    The following confirmation message appears: "The Student Awarded Funding records were successfully saved."

    If you select a record to edit and the record has an amount in the Amount Paid column, all fields in the Edit Student Awarded Funding section are disabled, and the following message appears: "This fund source cannot be modified, there have been one or more disbursements paid. You will need to make changes on the fund source in the awards form."

When the record set from the Student Awarded Funding grid is exported to Excel or PDF, the default name of the export file is "FAAStudentAwardedFunding".
