Generate or Regenerate Earning Lines

You can use the Assignment Manager page to: 

  • Generate earning lines if you did not generate earnings lines after you validated the load

  • Regenerate earning lines by deleting any previously generated earnings and rerunning pay generation

If Anthology Student is integrated with an external human resources (HR) and payroll system (for example, Anthology Finance & HCM or any third-party HR and payroll application), you must use Anthology Student to manage the items (such as generating or exporting earning lines, and so on). 

Generating Earning Lines with GL Codes

You can generate earning lines for assignments using the General Ledger (GL) codes associated with the loads.

Earning lines can be created with the GL codes for Non-Teaching assignments when the Compensation Plan is set to Prorate by Rate or Prorate by Lump Sum.

First, you will perform load validation through Processes > Faculty Workload > Load Validations or Processes > Faculty Workload > Assignment Manager.

  • If there is no change in the GL codes, the system maps the default GL codes to the assignment

  • If you change the default GL codes for one or more Load Types, the system maps the modified GL codes to the assignment

  • if you change the default GL codes mapped for the Onload or Overload value using the Split Assignment Loads option, the system maps the modified GL codes to the assignment

  • If you change the default GL codes and split the Load Types using the Split Assignment Loads option, the system maps the modified GL codes to the assignment

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Faculty Workload - Processes - Assignment Manager - View and Manage authorization

The assignment must have a value of: 

  • Draft for Overall StatusClosed Indicates the overall status of the assignment. The values are Draft and Finalized. For example, if your institution requires the load validated and earning lines to be exported, Finalized indicates the assignment is final.

  • Passed for Load Validation StatusClosed The status of load validation. Not Validated indicates it has not been validated yet. Passed indicates it meets the requirements of the policy. Failed indicates it did not meet the requirements of the policy. If Failed is displayed, you can select the link to display a dialog that lists failed policy lines along with the reason why they failed.

  • Generated, Not-Generated, or Failed for Pay Generation StatusClosed Indicates the status for the assignment pay generation based on all the earning lines. If your institution has not configured integration with an external payroll system, the Not-Generated status indicates the earning lines have not been generated; Generated status indicates the earning lines have been generated; Failed status indicates the earning lines were not generated due to incorrect configuration; Confirmed status indicates the earning lines have been confirmed and are ready to be exported; File Exported status indicates the earning lines have been generated and exported as Excel. If your institution has configured integration with an external payroll system, the Not-Generated status indicates the earning lines have not been generated; Generated status indicates the earning lines have been generated; Failed status indicates the earning lines were not generated due to incorrect configuration; Confirmed status indicates the earning lines have been confirmed and are ready to be exported; Exported status indicates the earning lines have been generated and exported; Exported Partially status indicates the earning lines have been generated and exported partially.

  • Yes for Require PayClosed Specifies whether you want Anthology Student to also generate earning lines for an assignment. For Yes, the assignment type can be selected in compensation plans and is included in payroll. in the grid

You must have a pay period with Open StatusClosed The associated pay period status.

To integrate with an external payroll system, your institution must have configured Yes under SettingsFaculty WorkloadGeneral for the feature: Export Payroll Earning Lines from FWMClosed Select whether you want to export payroll earning lines to the Azure Service Bus (ASB). If Yes, it will be sent to the ASB. If No, it will be exported as a file.

Access Method

Select the Processes tile > locate Faculty Workload > select Assignment Manager.

Procedure to Generate or Regenerate

  1. Select the record for the assignment in the grid.

  2. Select the Pay Actionsmenu > Generate Earning Lines.

    If earning lines are: 

    • Generated, Anthology Student displays a message and displays the grid with a value of Generated in the Pay Generation Status column

    • Not generated, Anthology Student displays a message and displays the grid with a value of Generation Failed in the Pay Generation Status column

If you generated pay and it is required by your institution, you can then View and Confirm Earning Lines for an Assignment.
