Student Courses

The Student Courses page displays the required course list configured for the program version that the student is associated with.

Within this page, you can:

  • Add a course to the student's schedule, drop a course, reinstate a course, and so on

  • View the calendar display of the student's schedule (daily, weekly, and monthly)

  • Post attendance for a section, including posting makeup, externship, and online time

  • Post final grades for the course

  • Work with student lessons, including holding or releasing the lesson

The completed course from the previous enrollment displays the category that is applied in the current enrollment/program version. If you select the previous enrollment in the Student Courses, the system displays the category of the course applied to that program version.

The page shows the items for the program version for the current enrollment (if any). You can use the Program Version drop-down to change the program version or select All Program Versions.

The status of student courses reflects actions taken by staff members or students.

When an unregistration occurs on a Current course, the system changes the course status to Future.

A course in Current status can be dropped.

If the course is a required course, it will be added to the student's schedule with a Future status.

Course refund policies are applied automatically when the course status changes to Dropped.

Post a final grade

Complete

P

Once the grades are posted for all lessons, the course status changes to Complete and the course grade is automatically calculated.

Reinstate

    The course status reverts to its previous status.

Course status changes for a student are tracked in the Academic Records Audit (see Audit).

The campus configuration for Grades & Registration Settings and other campus settings determine your school's policies for certain student-related situations, e.g., leave of absence, course cancellation, and course retakes (see Academic Records).

If a course is configured with Retake CourseClosed If you select Yes, you are indicating that this course is a retake course and the retake methodology will apply to the course for the calculation of all GPAs for all instances of the course that the student attempts. This course generally should be considered a course whose credits can apply only once to the program. Retake methodology does not currently apply to the DPA or Pathway and courses that are taken and fulfilled more than once but are retake=Yes can have their extra instances moved to Courses Not Applied. If you select No, you are indicating that this course is NOT a retake course but rather a Repeat course where students can take the course multiple times and have each instance apply to their GPA and to their DPA categories. Repeat courses are not subject to retake methodology and all instances of the course will count within the GPA calculations. of No and it is in a required course list for a program version or area of study more than once, Anthology Student displays it more than once in their Student Courses list and on their DPA. For example, if the course was configured with No and the course was added to the course list for their area of study twice, Anthology Student displays it in the Student Courses list and DPA for the student twice.

The list is sorted in alphabetical order based on the Course column.

  • Common - Student - View authorization

  • Academics - Student Course - View authorization

If your institution automatically adds remedial courses for test scores that are less than a minimum, you should also be familiar with Test Scores.

To use Multiple Fulfillment in Degree Progress Audit, your institution must have selected Yes for the following advanced feature. (Select the Settings tile > expand System > select Advanced Features.):

  • Enable Feature Flag for Automated Multiple FulfillmentClosed Select this option to enable the use of Automated Multiple Fulfillment in the Web Client only. This enables the ability to configure the number of categories that a course could satisfy a requirement in DPA.

  • Enable Feature Flag for Course Fulfillment OrderClosed Select Yes if you want to use the Course Fulfillments Order option from the Configuration tile to modify the order that the system uses to fulfill courses in the degree progress audit (DPA). The course fulfillment orders you configure can then be selected when you configure program versions. If you select Yes, the Degree Progress Audit dialog in the legacy interface is disabled. You must use the Degree Progress Audit tile in the standard interface to work with the DPA for a student. If you select No, the system uses Default for all program versions.

  • Enable Pool based Elective PoolsClosed Select Yes to configure course pools. Once you have configured your pools, you can use the pools when you create a course list in the program version or area of study for elective and substitution pools. If a program version or area of study has existing catalogs, those can still be maintained manually by adding and removing course groups and individual courses. Select No to continue to manually create the elective and substitution pools by adding courses and course groups for each program version and area of study.

When Multiple Fulfillment is enabled, the completed course is applied to the first category based on the Course Fulfillment Order (CFO), and other instances of the course are removed. If Multiple Fulfillment is disabled in the second enrollment/PV, course instance in the first category based on CFO is completed and other instances are not impacted.

Access Method

Select the Students tile > select the name in the Students list > expand Academic Records > select the Student Courses tile.

Background and Actions Available

If you want to view courses scheduled for the student: 

  • By day, select the Daily tab

  • By week, select the Weekly tab

  • By month, select the Monthly tab

Calendar displays various class schedule statuses such as holidays, cancellations, and attendance posting status along with the scheduled meetings with the help of various color codes on the legend.

Archived AttendanceClosed A Yes in the column indicates that the student has archived attendance for the program version displayed in the Program Versions list.

Added FromClosed Indicates how the course was added. If it is from the course list for the program version or area of study, it is blank. If it was added manually from another location, it displays the name (such as Student Courses or Degree Progress Audit).

Area of StudyClosed The various areas such as Major, Minor, or Concentration that the students have taken to complete their degree. The areas of study are configured by your institution.

Associate EnrollmentClosed Enrollments associated with the selected course.

BuildingClosed The name of the building. The values are configured by your institution.

CampusClosed The campus where the student or students were enrolled.

CatalogClosed The catalog configured by your institution. The catalog contains the courses required for a program version or area of study. The Default - None catalog should not be used.

CategoryClosed The course category name. The category column displays dynamic information against the program version selection.

Course CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

Course NameClosed The name of the course.

Course StatusClosed The status of the course. For example, Future, Future (Waitlisted), Future (Reserved), Scheduled, Current, Complete and Dropped.

CreditsClosed Credits associated from the course definition and for variable credits from the student's enrollment in the class section.

Credits EarnedClosed Credit earned by the student upon completion of the course.

Date AdvisedClosed The date when the student has audit advisement.

Date CompletedClosed The Date Completed is defaulted to the end date of the course and is not populated under final grades.

DaysClosed Days for which the class is scheduled.

Delivery MethodClosed The delivery method of the course. For example, online, on ground. They are configured by your institution. To automatically add a class section, your institution must have configured the delivery with Auto Add Class Section set to Yes.

Drop DateClosed Specifies the drop date for a course with a Course Status of dropped.

Enroll Status Credits Closed The credits or hours used to calculate enrollment status for financial aid purposes. The value cannot be edited for audit courses.

Enroll Status HoursClosed The credits or hours used to calculate enrollment status for financial aid purposes. The value cannot be edited for audit courses.

EnrollmentClosed The code and name of the enrollment.

HoursClosed The number of hours.

InstructorClosed The instructor or instructors assigned to the course or class section.

Is Cross ReferenceClosed Indicates that the course is offered at multiple campuses.

LDAClosed The student's last date of attendance. The LDA column is hidden by default and gets populated based on the LDA for that course.

LDW DateClosed The last date to withdraw from the course.

Letter GradeClosed The letter grade posted for the enrollment. Each letter grade code needs to be unique.

LocationClosed The location of the building.

Numeric GradeClosed The numeric grade posted for the enrollment.

Outside Coursework HoursClosed The value of out-of-class hours. Specify the value in five-minute increments as expressed in hour decimals, for example, 10 minutes is 0.17 hours.

Payment PeriodClosed The payment period associated with the enrollment. Payment periods only apply to program versions configured with an academic year.

PointsClosed The quality points used in calculating the student's GPA.

Published CodeClosed In most cases, it is the published code used in reports and documents for the course.

Requires AdvisementClosed Select Requires Advisement to place an advisement hold on any student in this registration group. When you select Requires Advisement, you must choose an option in the Advisement Type field: a) The student can obtain a Password and provide this to the Advisor to release the hold and continue enrollment. b) The student is automatically placed in a Student Group. The hold is lifted when the advisor has confirmed that the student has satisfied the requirements and the student is removed from the group.

RoomsClosed The code and name of the room where the class is taken. Rooms are defined by your institution. You can select multiple rooms at a time.

SeatsClosed Indicates the number of seats available when transferring the class section.

SectionClosed The code for the class section.

Section End DateClosed The class section's end date.

SPE ProgressionClosed Indicates that the Course is included in the student pace evaluation process. Values that will be displayed are Yes (Y) or No (N). This column is applicable only for non-term programs (Academic Calendars 5 and 6) and is displayed when Enabled is configured for the Allow courses to be exempt from progression setting.

Start DateClosed The first day that the item is effective or can be used.

TermClosed Select a term from the list of available terms.

Term OpenClosed The start date of the term.

TimesClosed The time the class is scheduled for.

Transcript CommentClosed Indicates the note that will be displayed on the transcript details.

Implications in Changes for Degree Pathways

If you change the student courses and there are custom plans for degree pathways for the student and the changes affect the degree pathway, Anthology Student automatically:

  • Updates the Student Plan

  • Resets any custom plans with a status of Approved to the Student Plan

Draft plans are not changed. The next time a custom plan is accessed for a student, Anthology Student displays a message indicating there was a configuration change. For both approved and draft custom plans, a staff member should review the plans and make any needed changes.
