Enhancements

Staff Calendar Enhancements

This release includes several enhancements to the Staff Calendar feature to streamline the process of scheduling the appointments.

Following are the enhancements for the Staff Calendar feature:

Enhanced User Interface for Staff Calendar

We are excited to introduce an all-new user interface designed to enhance the functionality of the Staff Calendar feature. The redesigned interface improves aesthetics and significantly enhances the user experience and usability.

Distributed Calendar Feature

  • Instant Availability View: The new Staff Calendar Booking form allows users to instantly view the availability of all advisors at a given location with a single click, eliminating the need to check availability one by one.

  • Location-Based Availability: Portal users no longer need to select a staff member after choosing the meeting mode and purpose. The availability of the booking slots is now displayed based on location.

  • Department-Based Availability: Users can now view the availability of staff within specific departments, making it easier to connect with the appropriate advisor. This feature is especially useful for students seeking specialized advice from specific departments.

Confirmation Message for Portal Users

  • When a portal user books an appointment, a confirmation message will now be displayed, indicating that their appointment has been scheduled successfully.

Improved Appointment Booking Filters

  • Dynamic Display of Staff Members: Staff members are now displayed based on the delivery mode and appointment type selected by the portal user, ensuring relevance.

  • Availability Filtering: Only the staff members available for the chosen appointment types are displayed, simplifying the selection process.

  • Display of Relevant Departments: The system filters departments to show only those with staff members available for the selected appointment type and delivery mode, allowing students to quickly find the right department and staff member.

Limiting Student Booking Options

  • Controlled Booking Options: Institutions can now restrict bookings to specific users within departments or for particular appointment types using the Book Appointment Restrictions tab. This provides greater control for appointment scheduling.

Virtual Meetings Support

The Virtual Delivery mode is now supported as part of the new calendar experience. Key updates include:

  • Staff Members' Office Hours: Staff members can now publish their office hours in their own time zone.

  • Time Zone Conversion: The booking slots are automatically converted to student’s time zone on the portal, ensuring they see all available slots in their local time.

  • Unified View for Distributed Calendar: Students can now view all available booking slots on the book appointment page when selecting a location or department. The available booking slots for different advisors are displayed based on the time zone of the logged in portal user.

These updates ensure seamless virtual meeting scheduling, accommodating different time zones, and providing a more efficient and user-friendly experience for both students and staff.

File Import/Export

Recommendations for Creating the FetchXML Query for the Export Process

A FetchXML is used to define the criteria for records to be exported. Some advanced FetchXML editor tools may allow constructing filtering conditions which are not supported. Here are the recommendations for constructing the FetchXML Query for the export process:

  • Use only the Advanced Filter (or Advanced Find) dialog to create the FetchXML query. Use only the Advanced Find dialog to create the FetchXML query.

  • Avoid using entity-based filters in the FetchXML query, as they are not supported with the entity export process.

  • If a FetchXML query contains an entity with local filters and is generated using tools other than the Advanced Find dialog, it may lead to extensive processing and potential errors during the entity export.

Student Integration

Enhancements to the Reach - Student Trigger Flows

When a Contact record in Anthology Reach that is not integrated with Anthology Student and the following flows are run to integrate the Previous Education, Address, and Test Score records associated with the Contact record, only App Insight logs will now be created instead of the integration logs when the flow ends at the Validate Integration step:

  • CNE-CNS Address Integration Trigger (Engage)

  • CNE-CNS TestScore Integration Trigger (Engage)

  • CNE-CNS Previous Education - Student Previous Education Integration (Engage)

Updates to the Student - Reach Integration Flows

Additional logic has been added to the following flows to handle some retry scenarios for the related contact record:

  • CNS-CNE Student Previous Education - Previous Education Integration (Engage)

  • CNS-CNE Student Enrollment Period - Enrollment Integration (Engage)

Enhancements to the CNS-CNE Flows to Integrate with Active or Inactive Records

The logic in the CNS-CNE flows has now been enhanced to integrate the data with a matching active or inactive record in Anthology Reach. If a matching active or inactive record does not exist in Anthology Reach a new record is created in Anthology Reach.

Note: For existing environments where the CNS-CNE flows are customized, in the Resolve <entity name> step, remove the following code snippet from the Filter rows field:

Anthology Reach - Blackboard Learn Integration

Blackboard Learn - Direct Data Integration

The Blackboard Learn - Direct Data Integration was introduced as a Preview Feature in the Anthology Reach 2024.1 release. We are excited to announce that it is available for production with this release.

When the direct data integration is enabled, the following data fields will be available in Anthology Reach:

LMS Last Access The latest date and time the student accessed the LMS.
LMS Course Available Whether or not the student can access the course.
LMS Course Last Access The latest date and time the student accessed the course site in the LMS.
LMS Course Last Submission The latest date and time of assignment or assessment submission for the student in the LMS for each course.
LMS Projected Final Grade Current weighted average from LMS gradebook.
LMS Overdue Assessments Count of assessments in each course, where a deadline has passed, but no grade is reported. It is still open for submission.
LMS Late Assessments Count of assessments in each course, where a deadline has passed and a grade is reported.
LMS Assessments Graded 0 Count of assessments the course, where a deadline has passed and a grade of 0 is recorded.
LMS Minutes in Course Total minutes that the student has spent in each course.
LMS Total Accesses to Course Count of accesses to the course.
LMS Total Interactions in Course Count of content and assessment interactions in the course.

Miscellaneous Enhancements

Kosovo Country Name Available for Selection

The country name, Kosovo, will now be available for selection in the Country field of the Contact and Account records in Anthology Reach and on the Portal.

New Role to Create Consent Records

A new Add-On role, ANTH - Add On - Load RTM Consent, is now available in theAnthology Reach solution. This role grants users the permissions to 'load consent' directly from the Consent Center page using the Load Consent button.

Role Permissions

The ANTH - Add On - Load RTM Consent role provides permissions for the following entities:

  • Compliance Profile

  • Contact Point Consent

  • Contact Point Settings

By assigning this role to users, you can streamline the consent management process, ensuring that appropriate permissions are in place to handle consent records efficiently.

Event Payment Details Tab on the Event Page

The recent marketing update from Microsoft mandates the use of the Real-time Journeys module for fresh installations of Dynamics 365. Due to this change, the payment-related fields on the Website and Forms tab and the Event Passes subgrid for an event record are no longer displayed.

To address this change, the Event Payment Details tab has been introduced with the payment-related fields and the Event Passes subgrid on the Event page.

Enhancement to the Connection Section on the Contact Form

The Connection section on the Contact form has been enhanced for improved usability. It will now automatically show All Connections as the default view. Users are now empowered to not only view connections between different Contact or Accounts but also to view connections between the Contact and Users or Teams.

Enhancement to the Document Merge Flows for Document Generation

The Document Merge flows used for generating documents for an application have been enhanced to support the generation and attachment of large pdf files (more than 30 MB).

Update to Telesign SMS Sitemap in the Marketing Model Driven Application

The Telesign SMS Marketing Sitemap Group and Table options are now located under the Real-Time Marketing area. This update reduces dependency on the Outbound Marketing area, streamlining the workflow and organization within the platform.
