Sending Email Notifications for Trip Status Change

The Trip - Handle Trip Status Changes workflow, available with the Campus Management solution, automatically updates the Trip status based on conditions defined in the workflow.

You can customize the Trip - Handle Trip Status Changes workflow and add an additional step for sending email notifications to the trip owner when the trip is approved or rejected by a reviewer. To edit the workflow, create a copy of the workflow, make the required changes in the copied workflow, and then activate it.

  1. Go to Settings > Process Center > Processes, select the All Processes grid.
  2. Locate the Trip - Handle Trip Status Changes process and click to view it.
  3. Click Deactivate to edit the workflow.
  4. In the General tab, select Process Template in the Activate As field.
  5. Click Activate.
  6. Click Save.
  7. In the Processes page, click New.
  8. In the Create Process dialog, specify the following values:
    • Process name - Trip - Handle Trip Status Change
    • Category - Workflow
    • Entity - Trip
    • Type - New process from an existing template (select from list):
    • Select the Trip - Handle Trip Status Change template

    The Create Process dialog will display as follows:

  9. Click OK. A copy of the Trip - Handle Trip Status Change Workflow is created and displayed.
  10. In the Steps area, select the 'Update Reviewed Date Field value' step and click Add Step > Send Email.
    The Send email step is added as shown in the following image:
  11. For the Send Email step, edit the description and click Set Properties.
  12. Specify the required values and click Save and Close.
  13. Click Activate, to activate the workflow.
  14. Click Close.
