Sending Email Notifications for Trip Status Change
The Trip - Handle Trip Status Changes workflow, available with the Campus Management solution, automatically updates the Trip status based on conditions defined in the workflow.
You can customize the Trip - Handle Trip Status Changes workflow and add an additional step for sending email notifications to the trip owner when the trip is approved or rejected by a reviewer. To edit the workflow, create a copy of the workflow, make the required changes in the copied workflow, and then activate it.
- Go to Settings > Process Center > Processes, select the All Processes grid.
- Locate the Trip - Handle Trip Status Changes process and click to view it.
- Click Deactivate to edit the workflow.
- In the General tab, select Process Template in the Activate As field.
- Click Activate.
- Click Save.
- In the Processes page, click New.

In the Create Process dialog, specify the following values:
- Process name - Trip - Handle Trip Status Change
- Category - Workflow
- Entity - Trip
- Type - New process from an existing template (select from list):
- Select the Trip - Handle Trip Status Change template
The Create Process dialog will display as follows:
- Click OK. A copy of the Trip - Handle Trip Status Change Workflow is created and displayed.

In the Steps area, select the 'Update Reviewed Date Field value' step and click Add Step > Send Email.
The Send email step is added as shown in the following image: - For the Send Email step, edit the description and click Set Properties.
- Specify the required values and click Save and Close.
- Click Activate, to activate the workflow.
- Click Close.
