Creating Success Plan Templates and Success Plan To Do Templates
As a member of faculty or as a student advisor, you can create success plan templates. These are created to function as containers or shells. They are referred to as success plan templates as they are assigned to a group of students in scenarios where student tasks are repetitive or if they apply to a large section of the student community at the same time. Typically, success plan templates are just that, templates that contain time-bound tasks (also known as success plan to do templates) to address student scenarios. Based on repetitive scenarios that occurred previously, student advisors can create success plan template records and their associated success plan to do templates. As the records are already created, advisors simply need to assign them to students to direct them to complete the required tasks.
Creating Success Plan by Reassigning the Same Success Plan Templates
By default, a Success Plan Template can be used to create success plans only once per contact. To reuse the same Success Plan Template for creating Success Plans for the same contact record and associated enrollment records, you can set the Reassignment Allowed field to Yes in the Success Plan Template record.
When the Reassignment Allowed flag is set to:
-
Yes - New Success Plan can be created only if there is no active Success Plan exists for the Contact or Enrollment record using the same Success Plan Template.
-
No - New Success Plan cannot be created using the same Success Plan Template for the contact or enrollment record even if the previous Success Plan was inactive.
The following table explains the various scenarios and the result of enabling and disabling the Reassignment Allowed flag for a contact and its associated enrollment record.
| "Reassignment Allowed" Value | Target Record | Existing Success Plan Status | Success Plan Assigned | Explanation |
|---|---|---|---|---|
|
Yes |
Contact (Student) | Success Plan does not exist. | Yes | System creates a new Success Plan for the Contact. |
| Yes | Contact(Student) | Active Success Plan with the same template exists. | No | System prevents creating a duplicate active Success Plan using the same Success Plan Template. |
| Yes | Contact(Student) | Existing Success Plan is Inactive. | Yes | System creates a new Success Plan for the Contact. |
| Yes | Enrollment 1 | Success Plan does not exist. | Yes | System creates a new Success Plan for the Enrollment. |
| Yes | Enrollment 1 | Existing Success Plan is Inactive. | Yes | Success Plan Template can be reused once the previous Success Plan is inactive. |
| Yes | Enrollment 1 | Active Success Plan with the same template exists. | No | System prevents creating a duplicate active Success Plan using the same Success Plan Template. |
| Yes | Enrollment 2 (same contact) | Success Plan does not exist. | Each enrollment can have its own Success Plan using the same template. | |
| No | Contact(Student) | Active Success Plan exists. | No | Success Plan Template cannot be reused regardless of the status of existing Success Plan. |
| No | Contact(Student) | Inactive Success Plan exists. | No | |
| No | Enrollment | Active Success Plan exists. | No | Success Plan Template cannot be reused regardless of the status of existing Success Plan. |
| No | Enrollment | Existing Success Plan is Inactive. | Yes | System creates a new Success Plan using the same Success Plan Template for an Enrollment where an inactive Success Plan record exists and the Reassignment Allowed flag is false. This is a known behavior and will be fixed in a future release. |
Configuring the "Due Date Calculation Type" Field in a Success Plan To Do Template
In the success plan to do template, perform the following steps to set a value in the Due Date Calculation Type field:
-
If you select Static:
-
Select a valid date and time in the Due Date-Static field.
-
-
If you select Calculated:
-
Type a count of days in the Due Date Number of Days field.
-
In the Due Date Days Direction field, select Before or After.
-
In the Due Date Calculation field, select one of the following values:
-
Assignment Date
-
End of Academic Period
-
Start of Academic Period
Example
If you type 10 in the Due Date Number of Days field, select Before in the Due Date Days Direction field, and then select End of Academic Period, the due date will be 10 days before the end of the academic period. -
Note
-
By default, the academic period selected in the Current Academic Period field of a contact record is used for the calculating the due date of a To Do when one of the following values is selected in the Due Date Calculation field:
-
End of Academic Period
-
Start of Academic Period
However, when a Success Plan is created based on an enrollment record associated with a contact, the academic period configured in the Start Term of the Enrollment record is used for calculating the due date of the To Do.
-
-
The logic to update the Current Academic Period field in associated contact records is based on business processes defined in your institution.
-
If you have not configured Anthology Reach to populate and use the Current Academic Period field on the Contact record, please do not define the due date calculation based on the Academic Period Start and End Date.
