Process Flow to Track a Success Plan

Student advisors, coaches or supervisors own the process of tracking To Dos in a success plan. For example, you are an advisor to Parker Roy, a student at Seagull University, and you are tracking the Welcome and Dormitory Activities success plan assigned to him. It includes the following To Dos:

  • Complete Room Assignment Documentation
  • Collect Documentation
  • Register for Welcome Seminar

The following series of alerts occur to monitor Parker's progress:

  1. When you notify Parker about the assigned To Dos, he logs on to Seagull University's portal.
  2. When he completes the first To Do - Complete Room Assignment Documentation - you receive an email notification if the value Yes was set in the To Do's Student Can Complete field.
    After verifying the completed status of Parker's To Do, you change the following:
    • (Optional) The value of the To Do's Status Reason field from Incomplete to Marked as Complete.
    • Click the Update Status button in the To Do record and change its Status field to Complete.

    The To Do record is no longer displayed in its parent success plan record and in the Student Success Profile section of the student's record with other active To Dos.

    This process of email notification about To Do tasks and your subsequent verification also happens for other To Dos in the success plan. Once all To Dos are complete, the success plan's status is updated with a Status Reason of Completed.

The To Do Progress Bar

The To Do Progress bar at the top of a student's success plan record displays the percentage of completed To Dos. In the above scenario, when you view Parker's success plan record, the To Do Progress Bar indicates that one of three To Dos is complete.
