Google Calendar Sync Administration

Scenarios can occur where appointment syncing with Google fails because of network issues or unforeseen hardware glitches. Or it is possible that Google sync is not turned on and the administrator determines that syncing must happen after a specific duration.

In the Google Calendar Sync Administration dashboard (My Work > Dashboards), a user can view error details in the following panes:

  • Appointments: Failed to Sync
  • Recurring Appointments: Failed to Sync

In either pane a user can:

  • Hover over the Google Sync Log Details column to view its description. For example:
    • When errors occur as a result of an incorrect email ID, the text Invalid email or User ID will be displayed.
    • When errors occur because of insufficient permissions, the text Insufficient Permission: Request had insufficient authentication scopes will be displayed.
  • Click the URL in the Flow Run URL column to navigate to the run of the flow which failed to sync the appointment.

Details of failed syncing are logged in the following fields:

  • Google Calendar – Last Synced On: The date when the appointments was last synced with Google Calendar.
  • Google Calendar – Last Synced Status: The status of the last sync. The value Failed will be displayed.
  • Google Sync Log Details: Stores details of the error.
  • Flow Run URL - Stores the URL of the run of the flow that failed when syncing with Google.

The above fields:

  • Are included in standalone and recurring appointments (i.e., in parent and child appointment records).
  • Are not displayed on the appointment form. However, to facilitate troubleshooting of such records, administrators can configure the display of the fields in the form.
  • Can be viewed in views and filters.

Values in the fields Google Sync Log Details and Flow Run URL are cleared when the next sync with Google is successful.

Based on the error description and the details of the sync failure, the administrator can make modifications to the failed appointment record and then sync it by saving and closing it.

Known Issue

  • The option to manually sync an appointment record with Google calendar is currently not working due to a change in the OOTB Microsoft Trigger, When a record is selected. Anthology Reach team is working with the Microsoft team to fix this issue or find an alternate method to provide the ability to manually sync appointment records with Google calendar.
