Event Tabs and Properties

The tables in this topic describe the Properties available in the various tabs of the Event Object.

The Event Object contains the following tabs:

•   Properties Tab

•   Event Description Tab

•   Venue Details Tab

•   Participant List Tab

•   Occurrences

The text "TBA" in the last column of the table refers to Talisma Business Administrator.

Properties Tab

The Properties tab contains system Properties. It also contains custom Properties created for the Event Object. Values for these Properties are set in Talisma Client.

Event Name*

The name of the Event. For example, Research and Study of Marine Biology. This is a free text field.

Maximum number of characters: 255.

Owner

The Talisma User who is responsible for the Event. By default, the User who creates the Event is set as its owner.

You can change the owner by selecting a different User from the list of Users.

 

Created On

Date on which the Event was created.

Cannot be edited or deleted.

Last Updated

Date on which details in the Event were last modified.

Cannot be edited or deleted.

Created By

The name of the User who created the Event.

Primary Campaign

The name of the primary Campaign associated with the Event.

Cannot be edited or deleted.

Parent event

The name of the parent Event for this Sub Event. This Property displays a value only if the current Event is a Sub Event.

Cannot be edited or deleted.

Main Event/Sub Event

You can set an Event as a Main Event, or Sub Event. A Main Event can have various Sub Events associated with it.

By default, an Event is set as a Main Event.

Example

You can create a Main Event called “Environmental Studies”, and a Sub Event called “Geosciences”. You can add the Event “Geosciences” as a Sub Event of the “Environmental Studies” Event.

Event type

The type of Event. This Property can have one of the following values:

•   Free

•   Paid

By default, an Event is set as a Free Event.

Start date

The date and time when the Event is scheduled to start.

Cannot be edited or deleted.

End date

The date and time when the Event is scheduled to end.

Cannot be edited or deleted.

Venue

The venue for the Event.

Cannot be edited or deleted.

Event status

This Property can have one of the following values:

•   Registration open

•   Registration closed

•   Canceled

•   Scheduled

•    Over

The value of this Property is changed by the Event Manager or the Coordinator. When a prospective Participant views the status of the Event on your Web site, the appropriate value is displayed.

For example, the Personality Development Event is scheduled to be held on July 31. However, due to unavoidable circumstances, the university has decided to cancel the Event. The Event Manager sets the value of this Property to Canceled. This value is displayed when the prospective participant views your organization’s Web site to check the status of the Event.

Currency

The type of currency accepted for the Event. This is a Conditional Mandatory Property for a Paid Event.

Note:

Ensure that the Conditional Mandatory Property constraint is selected for this Property in Events whose Event Type is Paid.

Ensure that you specify a Currency that is supported by the Payment Gateway integrated with Talisma Event Management.

If the Business Administrator User adds a new enumerated value for this Property, ensure that IIS is reset on the server on which Event Calendar pages are deployed. If IIS is not reset, the specified currency will not be displayed for the Event on the Event Calendar, and Event Details pages.

By default, this Property is blank.

Cost

The cost to participate in the Event. This is a Conditional Mandatory Property for a Paid Event.

Cannot be edited or deleted.

Revenue

The revenue generated from a Paid Event.

By default, the value of this Property is 0.

Cannot be edited or deleted.

Total revenue including Sub Events

The revenue generated from a Paid Event, and all the Sub Events associated with the Paid Event.

By default, the value of this Property is 0.

Cannot be edited or deleted.

Team

The Team to which the Event belongs.

 

Allow group registration

Indicates whether group registration can be performed. This Property can have one of the following values:

•   Yes: Indicates that individual and group registration can be performed for an Event. This is the default value.

•   No: Indicates that only individual registration can be performed for an Event.

Cannot be edited or deleted.

Registration Information

The Properties in this Group enable you to specify a schedule for the registration of the Event.

Registration start date

The date and time when registrations open for the event.

Cannot be edited or deleted.

Registration end date

The date and time when registrations close for the event.

Cannot be edited or deleted.

Registration URL

The URL to register for the event.

Cannot be edited or deleted.

Cancellation Criteria

Cancellation accepted until (Date)

The date beyond which you will not accept cancellations for the Event.

Cannot be edited or deleted.

Recurrence information (Group)

Recurrence type

Indicates whether the Event is a recurring Event. This Property can have one of the following values:

•   Non-recurring Event: Indicates that the Event is not a recurring Event. This is the default value of the Property.

•   Master Event: Indicates that the Event is a Master Event with occurrences in the Occurrences tab.

•   Occurrence: Indicates that the Event is an occurrence of the Master Event.

Cannot be edited or deleted.

Master Event

Displays the name of the Master Event of an occurrence as a hyperlink. Clicking the hyperlink will open the Master Event window.

If the value of the Recurrence type Property is Non-recurring Event or Master Event, this field will be blank.

Cannot be edited or deleted.

Occurrences in this series

Displays the number of occurrences of the Master Event.

It is a Computed Property and its value is updated based on the values specified in the Event Recurrence dialog box.

The value in this Property excludes the Master Event.

Click to update the value for this Property.

Cannot be edited or deleted.

Occurrences completed

Displays the count of occurrences that are completed.

It is a Computed Property and its value is calculated based on the count of occurrences for which the value of the Event Status Property is Over.

Click to view the updated value of this Property.

Cannot be edited or deleted.

Occurrences pending

Displays the count of occurrences that are pending.

It is a Computed Property and its value is the difference between the value of the Occurrences in this series and Occurrences completed Properties.

Click to view the updated value of this Property.

Cannot be edited or deleted.

Allow registration for the series

Indicates whether Talisma Client Users can register Participants for all occurrences of the Master Event.

This Property can have one of the following values:

•   Yes: Indicates that the Participant can register for all occurrences of the Master Event.

•   No: Indicates that the Participant can register only for the selected Event.

Note

This Property is read-only. However, you can edit the value of this Property by selecting the Allow or Disallow option from the Series registration option available in the Event menu.

Recurrence pattern

Indicates the recurring pattern of the recurring Event.

Example

For a Master Event that has two occurrences that are set to occur on 23rd and 24th May 2011, the following text is displayed in the Master Event, and in its occurrences:

Occurs daily effective May 23 2011 until May 24 2011 from 9:30 A.M. to 10:00 A.M.

Cannot be edited or deleted.

Participation Information

Participation limit

The maximum number of Participants you want to allow for this Event. The number you specify here will be the maximum number of Participants who can register for the Event.

Cannot be edited or deleted.

Participant count for this Event

The total number of Participants in the Event.

Cannot be edited or deleted.

Registered Participants for this Event

The total number of Participants registered for this Event.

Cannot be edited or deleted.

Available seats

The total number of seats currently available for the Event.

The value of this Property is the difference of the Participation limit, and the Registered Participants for this Event Property values for this Event.

This is a Read-Only Property that is updated by the Talisma system.

Cannot be edited or deleted.

Total Participant count including Sub Events

The total number of Participants in the Event, and all the Sub Events associated with the Event.

Cannot be edited or deleted.

Total Registered Participants including Sub Events

The total number of Participants registered for the Event, and all the Sub Events associated with the Event.

Cannot be edited or deleted.

Special Need Requests

If one or more Participants of the Event have made any special requests, this Property displays the total number of Participants who have made such requests.

Cannot be edited or deleted.

Total Special Need Requests including Sub Events

If one or more Participants of the Event, and its Sub Events have made any special requests, this Property displays the total number of Participants who have made such requests.

Cannot be edited or deleted.

Event Description Tab

The Event Description tab enables you to specify more information about the Event. For example, you can specify the agenda of the Event in this tab.

Venue Details Tab

This tab enables you to insert attachments that contain information about the venue of the Event. For example, you can insert an image file that illustrates the driving directions to the venue of the Event. For information about the column headers in this tab, see The Attachment Tab.

Discounts Tab

This tab enables you to set discounts for a Paid Event based on various conditions such as Group Registration, Contact type of Participants, etc. Participants of the Event who satisfy the specified conditions will be eligible for a discount on the Event.

The following Properties are displayed as column headers in the tab:

Property

Description

Contact type

A Contact type in Talisma. By default, Talisma provides the following predefined Contact types using which you can set a discounted cost on the Event:

•   Student

•   Staff

•   Faculty

•   Alumni

•   Parent

•   Friend

•   Sibling

•   Guest

Note

The Business Administrator User may configure various Contact types based on which you can configure discounts for an Event.

Discounted Cost

For a selected Contact type, this is the cost of the Event after the discount.

Register by date

The date by which Participants must register for the Event to be eligible for a discount on the cost of the Event.

Early registration cost

The cost of the Event after the discount. This is the amount a Participant will pay to attend the Event if the Participant registers for the Event on, or before the date specified in the Register by date field.

Minimum number to qualify for group

You can set a discount on the Event for Participants registering as a Group. In the Minimum number to qualify for group field, specify the minimum number of members required in a Group for the Participants of the Group to be eligible for a discount on the Event based on Group registration.

Group registration cost

The cost of the Event after discount for the Participants of a Group.

Categories Tab

This tab displays the Categories created for the Event Object. From this tab, you can categorize the Event by selecting one or more Categories.

Sub Events Tab

This tab displays all the Sub Interactions associated with the Event. Click the Event ID link, or double-click an item to view the details of a Sub Event. Right-click in the tab, and select Add from the shortcut menu to locate, and add Sub Events to the Event.

Participants List Tab

This tab displays the details of all the Participants of the Event. When you create an Event, you can add Contacts who express an interest to participate in the Event as Participants to the Event. When you do so, a Contact you add to the Event progresses to become a Participant Object item in Talisma. The Participant is associated with the Event to which the Participant belongs. By default, the name of the Participant is set to the name of the relevant Contact in Talisma.

The Participants List tab includes a variety of shortcut menu options using which you can add Participants to the Event, and manage them. Click the Participant ID link, or double-click an item to view the details of a Participant. Right-click in the tab, and select Add from the shortcut menu to add Contacts to the Event.

The following table describes the Properties displayed as column headers in the Participants List tab:

Participant ID

The unique ID associated with a Participant.

Participant name

The name of the Participant.

Owner

The Talisma User who is responsible for the Event. By default, the User who creates the Event is set as its owner.

You can change the owner by selecting a different User from the list of Users.

Created On

The date and time when the Event record was created.

Last Updated

The date and time when the Event record was last updated.

Occurrences Tab

The Occurrences tab displays occurrences of the Master Event. This tab will be blank for Event occurrences. Click the Event ID link or double-click an item from the Occurrences tab of the Master Event to view details of the Event occurrence.

Campaigns Tab

This tab displays the details of all the Campaigns to which the Event belongs. Click the Campaign ID link, or double-click an item to view the details of a Campaign. Right-click in the tab, and select Add from the shortcut menu to locate, and associate a Campaign with the Event.

The following table describes the Properties displayed as column headers in the tab:

Campaign ID

The ID of the Campaign.

Campaign name

The name of the Campaign.

Campaign state

Indicates whether the Campaign is activated, or deactivated.

Is primary Campaign

Indicates whether the Campaign is set as the primary Campaign for the Event.

History Tab

This tab displays all the actions performed on the Event. For example, actions such as changing the value of the Registration date Property, or changing the Category of the Event are recorded as events in this tab. To specify the events you want to view in this tab:

1.  In the Home Workspace, select Options from the Tools menu.

2.  In the Options dialog box, set the required options for the Event Object from the Events tab.

Actions displayed in the History tab of the Event window are specific to a User's Talisma login credentials.

Note 

•   The Event Object differs from an event in the History tab of a Talisma Object. While the Event Object enables you to organize an Event, an event in the History tab is an entry to specify the action performed on a Talisma Object.

•   When Talisma is installed afresh, audit is disabled for all events and Properties. Hence, audit records will not be displayed in the History tab. For more information about enabling or disabling audit, see Business Administrator Help and Installation Manager Help.
