Sending an SMS Message to Leads
Permissions Required: Send SMS
You can send promotional SMS messages to leads, or messages that are in response to specific requests made to a user.
Sending information through an SMS message enables your organization to reach out to the lead at any time of the day, and helps dispatch information at the click of a button.
You can send SMS messages to only those leads that have:
• The Send SMS property value set to Yes
• A valid mobile phone number specified in the Mobile field
When you send an SMS message, it is logged as an interaction in CampusNexus CRM.
To Send an SMS Message from the Lead Table View
1. Navigate to the lead Table View.
2. Select the check boxes corresponding to the lead records to which you want to send an SMS message.
Note
By default, you can send an SMS message to a maximum of ten leads in a single operation. Contact your Administrator to change this value.
3. On the top bar, click . From the available options, select Send SMS.
The New SMS Message dialog box is displayed. The following table provides a brief description of the fields:

Create Interactions in Team |
Indicates the associated team, for which the SMS Messages are created as interactions. You can search and select a value from all the teams to which you have access. |
Assign Interactions to User |
Indicates the user that will be assigned to the new interaction. You can search and select from all the users associated with the team that you selected previously. |

Displays the SMS WebService used for the messaging service. |
To |
The names of the selected recipients. This is a read-only field and you cannot manually add more leads here. |
SMS Dispatcher |
Lists the SMS dispatchers that are associated with the team that you selected. Select one dispatcher from the list. This is used to send the message to the service provider, which in turn routes the messages to the intended recipients. |
Insert Property | Select one or more of the following variable properties that you want to insert in the SMS message: • Name • First Name • Last Name Then click The selected property values are inserted as merge fields. When the SMS message is sent, these variables are replaced by the corresponding property values. Note: The count of characters that you type in the SMS message excludes the count of characters in the properties that are inserted as merge fields in the message. |
Canned Response |
Click 1. Using the search options, search for the required canned response. The Results area lists responses that match the search conditions. 2. Select the required canned response. The Preview area displays the content of the selected canned response. 3. Click Insert to insert the canned response into the SMS message. Repeat these steps to insert more canned responses. |
4. Select the Remove duplicate mobile numbers from recipient list option, if more than one contact has the same Mobile number. In such instances the SMS message is sent only to the first instance of such multiple leads.
Note
If this option is not selected, then the SMS message is sent to every recipient, irrespective of whether multiple recipient have the same mobile number. Further, an interaction is created for each recipient.
5. Specify the content of the SMS message in the Message area.
If there are auto text entries that you want to use in your message, type the shortcut text and press the Spacebar on your keyboard.
Note
To insert a canned response using its shortcut key, type the shortcut key and then press the spacebar. You can insert lead and contact-based canned responses. However, the same contact-based canned responses will not be displayed if you view the canned response manager by clicking .
6. Specify or select valid values in fields displayed below the message.
Note
By default, a single SMS message can include a maximum of 160 characters. As you type the SMS message, the available character count is calculated and displayed dynamically.
If the character count exceeds 160, the SMS message count is increased by 1, and the character count is reset for the next SMS message.
Thus, the complete SMS message that you typed is grouped into sections, each containing 160 characters.
Each section is then dispatched to the contacts as individual SMS messages.
Information on the number of SMS Messages and the count of characters is displayed in the following format:

However, when you view an interaction that includes multiple such sections, the message content is displayed as a single message.
To modify the maximum number of characters allowed in a single message, contact your administrator.
7. Click Send.
The SMS message is sent to the associated service provider.
The Failed to Send SMS dialog box is displayed if:
◦ A value is not specified in the Mobile field for contacts.
◦ The value of the Send SMS field in any of the selected contact's property is set to No.
◦ One or more of the selected contacts has been deleted.
◦ One or more of the selected contacts has been merged with another contact record.
◦ One or more of the selected contacts have the same mobile number.
To Send an SMS Message From the Lead Item View
1. Click the required Lead ID link on the lead Table View.
Alternatively, in the Table View, right-click the required lead record and select Send SMS.
The lead Item View is displayed.
2. In the Properties tab, navigate to the Mobile field and click .
The New SMS Message dialog box is displayed.
The name of the selected lead is displayed in the To field. You cannot manually change this value.
3. Specify the other details as described in the previous section of this topic, and click Send.
