Previewing Target Details Using a Print Template

The Create Letter and Create Label Actions in a Campaign enable you to preview Contact or Target Property details using a Print Template in which Contact or Target are set as the base Object. You can also view Conditional Merge details of Contacts or Targets who satisfy conditions specified in the Print Template. Contact and Target Property details are displayed in an MS Word document using the Print Template.

 

Example  

As the Admissions Coordinator at Neptune University, you dispatch letters to students who respond to the Admissions Campaign to apply for undergraduate programs for the forthcoming academic year. Admissions are based on the SAT scores of students and are available in the SAT Score custom Contact Property.

In the Year2014 Letter type of Print Template, you create the SAT Call and SAT Waitlist conditions. You then associate the Year2014 Print Template with the Create Letter step in the Admissions Campaign. When the Campaign is processed, Students will receive letters based on the condition they satisfy:

•   The SAT Call condition: The content of this letter invites students whose SAT scores exceed 2200 to join Neptune University.

•   The SAT Waitlist condition: The content of this letter informs students that their applications are waitlisted as their SAT scores are less than or equal to 2200.

Invitation letters based on the SAT Call Condition are sent to students whose SAT scores exceed 2200, and waitlist letters based on the SAT Waitlist Condition are sent to students whose SAT scores are less than or equal to 2200.

To do so:

1.  Open the required Campaign.

2.  Click the Workflow tab.

3.  Select the Node with the Create Letter or the Create Label Action, and select View, Preview Word Template.

Right-click the Create Label or Create Letter Action node and select Preview Word Template from the shortcut menu.

The Preview Word Template dialog box is displayed. By default, the selected Action is displayed in the Step list. If the selected Action is Create Label, the List of Labels list is displayed. If the selected Action is Create Letter, the List of Letters list is displayed. By default, the Print Template that is used to print details of the Action is displayed in the list.

The Target ID, Target Name, Target status, and Action Status values are displayed for all Targets that have progressed to the selected Create Label or Create Letter Action.

4.  If the selected Action is Create Label, select the required Target and click View Label.

If the selected Action is Create Letter, select the required Target and click View Letter.

Values of merged Target Properties and Conditions are displayed in the Print Template. You can view details in the MS Word document, edit or format the document, or save the document.

Note 

•   When merged Target details are viewed in a Print Template, the Usage Count Property of the Print Template is increased by the count of Targets viewed.

•   In the Preview dialog box, double-click a Target to view the Target window.

•   You cannot delete a Print Template that is being used in Create Label or Create Letter Actions in Campaigns.

•   When Lead1 that is a Target in a Campaign is merged into Lead2 that is outside the Campaign, the following changes occur:

◦   Lead1 is deleted.

◦   Lead2 is included in the Action step in the Campaign.

◦   The Target of Lead1 is associated with Lead2.

•   You can select a different Action from the Step list and view or print its details by selecting a Print Template from the List of Letters or List of Labels list.

•   When you modify Target details displayed in the merged Print Template document, the Print Template is not modified.
