Add, Remove, and Waive Requirement Rules for Students

You can use the Requirement Rules Audit tab to:

  • Add a requirement rule specific to the student
  • Remove requirement rules that are specific to the student
  • Waive a requirement rule

The requirement rule reviews the courses in the applicable areas and applies the relevant courses to fulfill the rule until all requirements are satisfied. These courses are displayed in the applied courses section of the DPA Requirement Rule Audit tab. When a requirement rule is applied at the Program level, it consumes all applicable courses within the PV(s) and AoS(s) course lists (and EPs) to fulfill the rule for the student.

  • When a requirement rule is applied at the Program level, it consumes all applicable courses listed under the PV(s) and AoS(s), including EPs, to fulfill its requirements for the student.

  • When a requirement rule is applied at the PV level, it consumes all applicable courses listed under the PV course list and EPs, as well as those in the AoS course list and EPs, to fulfill its requirements.

Prerequisites

You must have:

  • Common - Student - View authorization

  • Academics - Degree Progress Audit - Edit authorization

You should also be familiar with the Background for Requirement Rules.

If you want to select the Advanced – Rule Based in the Type list for requirement rules to specify more complex requirements, your institution must have selected Yes for Enable Rule Based Requirement Rules and LevelsClosed Select Yes to enable the Advanced – Rule Based option in the Type list for requirement rules. When selected, you can specify more complex requirements using operators with any or all of the characters you specify in the codes for course characteristics. Yes is also required to specify requirements rules for program versions, the program version category level of a catalog for an elective or substitution pool, and the area of study category level of a catalog for an elective or substitution pool. Select No to use the existing options of Standard and Advanced - Course Levels and Course Attributes. when it configured advanced features in the system settings for Anthology Student.

If you want to enable the advanced requirement rules engine and user interface in the Student Web App, set Enable Advanced Requirement Rules FeatureClosed This feature enables the advanced requirement rules engine and user interface in the Student Web App. If you enable this feature, the system permanently disables features related to requirement rules in the legacy interface. to Yes . (Select the Settings tile > expand System > select Advanced Features.)

Access Method

Select the Students tile > select the name in the Students list > expand Academic Records > select the Degree Progress Audit tile > select the Requirement Rules Audit tab.

Procedures for Managing Requirement Rules

  1. Verify that the program version is correct. If not, select the specific program version in the Program Version drop-down list.

  2. Review the page. You can review:

    • The progress bar that shows the percentage of requirement rules fulfilled.

    • The summary for requirement rules that shows the numbers for Required Requirement Rules, Fulfilled Requirement Rules, and Unfulfilled Requirement Rules.

    • The requirement rule is in red it is unfulfilled and in grey it is fulfilled.

  3. Take any needed additional actions.

    1. Select the New Requirement button.

      Anthology Student displays the new requirement rule dialog.

    2. In Catalog Name, review, specify, or change the following values.

      Apply ToClosed Indicates the level to which the requirement rule will be applied to. The levels are: 1. Program;  2. Program Version; 3. Area of Study; 4. Program Version - Catalog/Category; 5. Area of Study - Catalog/Category 6. Program Version - Catalog/Category - Substitution Pool; 7. Area of Study - Catalog/Category - Substitution Pool; 8. Program Version - Catalog/Category - Elective Pool; 9. Area of Study - Catalog/Category - Elective Pool.

      Areas of StudyClosed The various areas, such as Major, Minor, or Concentration, that the students have taken to complete their degree. The areas of study are configured by your institution.

      CategoryClosed The course category required for the selected program version or area of study.

      Elective/Substitution PoolClosed The elective or substitution pool to which you want to apply the requirement rule.

    3. In the grid, review, specify, or change the following values.

      ActiveClosed Specifies whether the associated record is active.

      CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

      NameClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link, and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    4. Select the Select button.

      Anthology Student saves the requirement rule record.

    1. Select the requirement rule record you want to remove.

    2. Select the Remove button.

      Anthology Student confirms whether you want to remove the requirement rule records. When confirmed, Anthology Student removes the requirement rules records.

    1. Select the requirement rule record you want to waive.

    2. Select the Waive button. Anthology Student displays the waive requirement rule dialog.

    3. Review, specify, or change the following values.

      NotesClosed Area you can use to specify comments or additional information about a change to a record or a request. The text you enter in this field may be stored in the audit. For example, comments on the Update Employer Status form appear in the Employer Audit table.

    4. Select the Waive button.

    If you want to edit an existing list item, select the requirement rule record to view.

    Applied ToClosed Indicates what the requirement rule applies to. There are options for applying it to the area of study or program version, category level of a catalog for an area of study, or category level of a catalog for an elective or substitution pool for an area of study or program version. The options that are displayed will depend on how your institution configured advanced features. Rule CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    Select the View Details button. Anthology Student displays the requirement rule configuration page with Add ConditionsClosed You can add requirement rule conditions to manage and enforce course requirements by defining specific conditions and constraints. The Add condition page allows you to add the Requirement Rule type. Select the condition type from the left menu, then select the arrow. Add requirement rule condition-specific information, and select Save. and Add Condition GroupClosed You can create condition groups. You can add requirement rule conditions based on the program requirements..

    1. If you want to:

      • Add a condition, select the Add Conditions button. Anthology Student displays the Requirement Rule Conditions page.

      • Edit a condition, select the highlighted name in the list .

    2. Specify the condition.

      • Expand Add ConditionClosed You can add conditions by adding the courses from the left menu and selecting the course you want to add. Multiple courses can be selected and added under one condition group. Rules can be added with AND and OR statements. Only the courses part of the elective pool is displayed.

      • Select the condition

      • Move the condition from the left column

      • Review, specify, or change the following values. The values depend on the selected condition.

        Configuration TypeClosed If you want to specify a value, select Enter a Value. If you want Anthology Student to use a value you specified during configuration, select Value from Configuration. For example, for a program version, if you want to require the number of credits specified using the Required Credits field when the program versions were configured, select Value from Configuration.

        Course AttributesClosed Attributes associated with an instructor or course. Instructor attributes are configured by your institution and associated with the instructor when they are added as a staff member to Anthology Student. Course or course list attributes defined by the institution are associated with the course or course list on the program version level. When courses are copied, and attributes are selected, Anthology Student copies the course attributes using the Attributes, Skills & Resources tile to the new course.

        Course LevelClosed Course levels enable you to group the courses and apply the attributes to the group as a whole instead of individually.

        CoursesClosed The number of required courses or credits for the rule.

        CreditsClosed The minimum credits required for the course. If you specify a decimal number, Anthology Student rounds and saves the number as a whole number. For example, if you specify 3.5, Anthology Student rounds and saves the number as 3. If you specify 3.75, Anthology Student rounds and saves the number as 4.

        Document Closed Specify automated multiple fulfillment at the Program Version level. This field is not selected by default.

        Document StatusClosed The status of the document. The list contains the system-defined statuses of Requested - Required, Requested - Not Required, Approved, No Further Action, On File, Not Requested, Required, Received but Rejected, Sent, and Not Sent. Any additional items in the lists were defined by your organization.

        Enter a ValueClosed Indicates the value associated with the field.

        EntityClosed If you select Enrollment, Anthology Student uses both the program version and the area of study information. Select Program Version or Area of Study if you only want to use to the program version or area of study.

        GPAClosed The grade point average (GPA) for the student. The options are Enrollment GPA, Overall Cum GPA, and Area of Study GPA.

        HoursClosed Hours earned by the student, including transfer credits and credits from course association.

        Minimum CreditsClosed The minimum credits required for the course. If you specify a decimal number, Anthology Student rounds and saves the number as a whole number. For example, if you specify 3.5, Anthology Student rounds and saves the number as 3. If you specify 3.75, Anthology Student rounds and saves the number as 4.

        Number of Required CoursesClosed The number of required courses or credits for the rule.

        OperatorClosed The operator that Anthology Student uses with the entity and value. The operators will depend on the value you selected for Property.

        Pass/FailClosed Indicate whether the course will receive a pass or fail grade. The options are: - Yes: Consider only the Pass/Fail courses for validation. - No: Consider only Non-Pass/Fail. - Both: Consider both Pass/Fail and Non-Pass/Fail.

        PropertyClosed The property being evaluated in the entry for the type of requirement rule. For example, a GPA, credits, or hours.

        TestClosed The name of the test taken.

        TextClosed The results of the test for the student reported in text format.

        ValueClosed If you selected Enter a Value for Configuration Type, specify the value. For example, if your institution wants to require 30 credits for a second degree completed, specify 30.

        A new test score record is added to a student record. This satisfies the requirement rule if a minimum score is not entered in the requirement rule.

      • Select the Save button

      • Specify the number of conditions to be met by a student to fulfill their course requirements. The default value is 0.

    3. Specify the condition group(s).

      • Expand Add Condition GroupClosed You can create condition groups. You can add requirement rule conditions based on the program requirements.

      • Select the Condition Group

      • Select the Save button.

    Select the requirement rule and select the Undo Add button.

    Anthology Student removes the requirement rules added.
