Housing Applications

You can use the Housing Applications page to configure housing applications. When you create an application, Anthology Student automatically adds system-defined questions that you can modify. (They cannot be deleted.) 

Room frequency of Terms is not applicable when Academic Year is active on the Housing Applications. For other options (Housing Period or Terms being active in place of Academic Year), all the Rooms are displayed irrespective of the frequency.

The housing applications that you specify here can be selected by staff members on the:

  • Housing Deposits page (Select the Students tile > select the name in the Students list > expand Student Services > select the Housing Deposits tile.)

  • Housing Application page (Select the Students tile > select the name in the Students list > expand Student Services > select the Housing Applications tile.)

Prerequisites

To view the page, you must have Student Services - Configuration - View authorization.

To edit the page, you must have Student Services - Configuration - Manage authorization.

To edit an item associated with more than one campus, you must have access to all the campuses. For example, if the item is configured to be available at three campuses and you only have access to two of the campuses, you can view the item but cannot edit it. When you add an item, you can only select campuses to which you have access.

Your institution must have licensed the Housing features available in Anthology Student. For more information, contact your Client Experience Manager.

Access Method

Select the Configuration tile > locate Student Services > select Housing Applications.

Filters

By default, the grid displays all records for the campuses you are authorized to work with. You can use the drop-down at the top of the page to display only records for a specific campus.

Procedure to Add, Edit, or Copy Items

  1. Review the values of the records in the grid.

  2. If you want to:

    • Add a new list item, select the New button on the toolbar

    • Edit an existing list item, select the name in the list

    • Add a new list item by copying and modifying an existing list item and include all of the existing questions, select the row in the list and the Copy Application button on the toolbar

    • Add a new list item by copying and modifying an existing list item except codes and include only the questions that are system-defined, select the row in the list and the Duplicate button on the toolbar

  3. Specify the following the values.

    ActiveClosed Specifies whether the associated record is active.

    CampusesClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    Deposit AmountClosed Indicates the amount a student needs to provide as a deposit fee with the application.

    Deposit RequiredClosed Indicates whether the student is required to pay the deposit fee with the application.

    Housing Fee AmountClosed Indicates the amount a student needs to provide as the housing fee with the application.

    Housing Fee RequiredClosed Indicates the housing fee a student needs to provide with the application.

    Housing Fee SubsidiaryClosed Select the subsidiary from the list of subsidiaries with which the selected transaction code is associated. This field is populated when the transaction code selected for Housing Fee is associated with a subsidiary.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    SubsidiaryClosed The name of the subsidiary to which the deposit is applied. You must set up the subsidiaries previously with transaction codes linked to them.

    Transaction CodeClosed Indicates the transaction code to which the housing fee is applied. This field is populated when the transaction code selected for Housing Fee is associated with a subsidiary.

  4. Select the Save button. Anthology Student saves the Housing application and enables the Questions grid.

  5. Under Questions, review the values in the list

    ActiveClosed Specifies whether the associated record is active.

    Answer TypeClosed Indicates the answer type for the selected question. The available values for answer type are - Multiple Answer Multiple Select, Multiple Answer Single Select, Text, True/False, and Yes/No.

    QuestionClosed Specify the text of the question you want to add to the form or want the staff member to ask.

    Question NumberClosed Indicates the question number in the application.

    RequiredClosed Select the Required check box for each item that you want to designate as required.

  6. Take the appropriate action in the Questions list.

    • Add or edit a question

      1. If you want to:

        • Add a new list item, select the New button on the toolbar

        • Add a new list item by copying an existing list item, select the question and select the Copy button

        • Edit an existing list item, select the number in the list

      2. Specify or change the values.

        ActiveClosed Specifies whether the associated record is active.

        Answer TypeClosed Indicates the answer type for the selected question. The available values for answer type are - Multiple Answer Multiple Select, Multiple Answer Single Select, Text, True/False, and Yes/No.

        QuestionClosed Specify the text of the question you want to add to the form or want the staff member to ask.

        Question CodeClosed If your institution assigns a numeric or character code, specify the code. Anthology Student appends the code to the value for Question Number. For example, if the Question Number is 1 and you specify 2, the question number will be 12.

        Question NumberClosed Indicates the question number in the application.

        RequiredClosed Select the Required check box for each item that you want to designate as required.

      3. If you select:

        • True/False or Yes/No for Answer Type, Anthology Student populates the Answers grid with the appropriate values. Review the values in the list.

          Allow User InputClosed Indicates if you want the user to be able to provide more information related to the response you have provided.

          AnswerClosed Specifies the answer to the question. Anthology Student uses the answer with the operator to determine the action and whether to schedule any selected task.

          OrderClosed Indicates the order of the responses in the Housing Application Question Setup form. You can use the Up, Down, Top, and Bottom buttons to change the order.

          User Input Data Type Closed Indicates the type of information provided by the user. The available values are - Date, Integer and Text.

          User Input RequiredClosed Indicates if you want the user input to be a required field in the application.

        • Text for Answer Type, the Answers grid is disabled. Anthology Student creates the text box in the application.

        • Multiple Answer Multiple Select or Multiple Answer Single Select for Answer Type for a new question, select the Save button to close the dialog, select the question again in the grid, and then use the Add, Copy and Remove buttons on the Answers grid to add and work with the answers.

        • Multiple Answer Multiple Select or Multiple Answer Single Select for Answer Type for an existing question, use the Add, Copy and Remove buttons on the Answers grid to add and work with the answers.

          If the Answers grid is disabled, no other action is required.

          Your institution can configure the following questions. The fields can vary depending on the housing application.

          Academic Year for which the housing is required?Closed The academic year for which the student requires housing. You can select more than one value at a time. When you select an Academic Year based application, you must define rooms with a billing frequency other than Term (such as Daily or Monthly).

          Desired BuildingClosed The building in which the student requires housing.

          Desired Building CategoryClosed The building category in which the student requires housing.

          Desired Room CategoryClosed Type of room that the student requires. The values are Freemont 2-room apartment, Single, Double, Apartment, Studio, Hawthorne, and Triple.

          EnrollmentClosed Select the student's enrollment for the housing application. For the non-degree-seeking students, if you selected the enrollment, the Academic Year for which housing is required is disabled. Anthology Student automatically assigns the start date and end date based on the enrollment’s expected start date and expected graduation date. For the degree-seeking student, the Academic Years pertaining to the selected enrollment is displayed. Select the corresponding Academic Years to which the Housing Application applies.

          Housing PeriodClosed Select Days, Weeks, or Months to configure the payment schedule.

          Name of the roommate that you want?Closed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

          Term for which the housing is required?Closed Specifies the term associated with the record. Terms are configured by your institution. The term start date must be before the end date of the award year.

      4. If you want to save and:

        • Continue making changes, select the Save button
        • Continue to add another item to the list, select the Save & New button
    • Move Questions

      You can either select the record for the question and: 

      • Drag and drop the questions to the position you want in the list
      • Select the Move Question button in the dialog and complete the dialog

      Anthology Student moves the question into the position and increments the numbers for the questions below it by one.

    • Preview or print the application

      1. Select any question in the list.

      2. Select the Preview button on the toolbar. Anthology Student displays the preview dialog.

      3. If you also want to print the application, select the Print button. Anthology Student displays the preview and print dialog so that you can complete the print.

    • Delete

      You cannot delete system-defined questions.

      Select the question and select the Delete button on the toolbar. Anthology Student deletes the question record.

  7. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button
