Job Policy Associations

You can use the Job Policy Associations page to configure the load validation policies assigned to a job. This eases the process of configuring the policies at the staff position assignment.

The job policy associations you configure here automatically process the batch in Processes Faculty WorkloadAssociate Policies to a Job and associate the policies for staff on the Staff Policy Associations page (Select the Configuration tile > locate Faculty Workload > select Staff Policy Associations.)

This page is read-only when Anthology Student processes the batch to associate policies with jobs. The process must have been completed, if you want to manage the items (such as adding, editing, or deleting).

Prerequisites

To view the page, you must have Faculty Workload - Configuration - View authorization.

To edit the page, you must have Faculty Workload - Configuration - Manage authorization.

Your institution must have configured:

  • Jobs (Select the Configuration tile > locate Faculty Workload > select Jobs.)
  • Load Validation Policies (Select the Configuration tile > locate Faculty Workload > select Load Validation Policies.)

Access Method

Select the Configuration tile > locate Faculty Workload > select Job Policy Associations.

Procedure to Add or Edit Items

  1. Review the values of the records in the grid.

  2. If you want to:

    • Add a new list item, select the New button on the toolbar

    • Add a new list item by copying and modifying an existing list item, select the row in the list, and select the Duplicate button on the toolbar

    • Edit an existing list item, select the Name in the list

  3. Review, specify, or change the following values.

    JobClosed The title of the job. The drop-down list displays only active jobs. The job list contains the job titles configured for the employer that you selected.

    PoliciesClosed The load validation policy associated with the selected staff position. The policies are configured by your institution. The drop-down list displays only active policies. The load validation policy is used to control, track, and limit classes or non-teaching activities assigned to the staff members. Policies contain basic information that includes term or year, assignment type, policy purpose, and policy lines. For example, your institution can create a policy that ensures adjunct faculty teaching assignments do not exceed 800 hours per year. If you select All Positions or do not select a position in the Staff Position list, Anthology Student uses the policy for all staff member positions. The policies in the list are filtered for the campus.

    Policy Effective Date FromClosed The first day the job policy association is applicable from or in use. The default value is the current date. In edit mode, this field is not editable.

    Policy Effective Date ToClosed The last date the job policy association is applicable or will be in use. This field is not editable. The value depends on the job's Effective to Date.

    TermsClosed Specifies the term associated with the record. Terms are configured by your institution. The term start date must be before the end date of the award year.

    Terms can only be selected once the job's effective start date is selected. Institutions can configure policies associated with specific terms and skip overlapping terms when they are not relevant to the job in question. While the job is processing, terms cannot be edited. Once the job is completed, additional terms can be selected, and the job will run again with the added terms. If you wish to remove terms from the faculty member, you must do so from Staff Policy Association in Configuration > Faculty Workload Management > Staff Policy Association.

    Faculty Workload Management 25.3 removes the maximum term selection limit of 25 terms. You can now select an unlimited number of terms. Based on the selected terms, corresponding records will be created in Configuration > Faculty Workload > Staff Policy Associations and in Processes > Faculty Workload > Associate Policies to a Job.

  4. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button

You can use the Job Policy Associations page to delete the load validation policies assigned to a job. The job policy associations you delete here automatically process the batch in Processes Faculty WorkloadAssociate Policies to a Job and remove the policies for staff on the Staff Policy Associations page (Select the Configuration tile > locate Faculty Workload > select Staff Policy Associations.)
