Employer Groups

You can use the Employer Groups page to display a list of all your employer groups and configure those groups. Groups organize employers who have one or more characteristics in common. They may all be related to a particular field of study or may offer only part-time or intern/extern jobs.

You can:

  • Add or remove employers to or from a group
  • Schedule tasks for the members of the group

By default, the list displays:

  • All active and inactive public groups
  • Active private groups where the owner has given you access to view the group

The expiration date for an expired group is displayed in red. If you are authorized and there are multiple expired groups, a message is also displayed. You can use the link in the message to delete all the expired groups at once. (You cannot delete groups that have been associated with a Hold Code.) The list is sorted alphabetically by group name.

When you access a dynamic group created using a View, the page for the group displays the Views icon (Shows the icon for views. ) along with the View used to create the group in parentheses at the top of the page. You can select the link to go directly to the View.

For example, you can specify the frequency you want Anthology Student to refresh a dynamic group once you have created it using the View.

Prerequisites

Depending on your task, you must have Common - Employer Group - Delete, Edit, New, and View authorization.

To edit the values for a public or private group, you must be the owner of the group or have Common - Employer Group - Administrative Tasks authorization.

To make any changes to the group, you must be authorized to work with the campuses for the group.

To add or remove students from a private group, you must be the owner of the group or selected for Other UsersClosed For private groups, specifies the staff members who can use the group. They can also add or remove employers. The list contains the staff members for the campus. The staff member that you select must be authorized. when the group was created.

To add or remove students from a group, the group also:

  • Cannot be expired
  • Must have the Active check box selected

Access Method

Select the Configuration tile > locate Career Services > select Employer Groups.

Procedure to Add or Edit Items

  1. Specify the following values to filter the list.

    OwnerClosed Indicates the name of the user who has created the group. Ownership can be transferred from one owner to another. Once ownership of a private group is transferred, the previous owner no longer has the right to access the group.

    Created DateClosed The date when the item was created. From and To

  2. Select the Apply Filters button. Anthology Student displays the following list.

    ActiveClosed Specifies whether the associated record is active.

    ExpiresClosed The date from which the group will no longer be valid.

    OwnerClosed Indicates the name of the user who has created the group. Ownership can be transferred from one owner to another. Once ownership of a private group is transferred, the previous owner no longer has the right to access the group.

    Last RefreshClosed For dynamic and static groups, indicates the last date when the list of employers was refreshed using the view.

    Refresh FrequencyClosed For dynamic groups, indicates the frequency Anthology Student uses to refresh the list of employers using the View for the group.

    TypeClosed Select the group type. The options are: dynamic, static, frozen, or manual. The Type field is enabled only when a static or dynamic record is selected.

  3. If you want to:

    • Add a new list item, select the New button on the toolbar

    • Edit an existing list item, select the name in the list

  4. Review, specify, or change the following values.

    Expiration DateClosed The date when the item is no longer valid. If you are specifying the value, specify the value in the format MM/DD/YYYY or select the calendar button to select the date. For student groups, the default is configured for the campus by your institution.

    Group VisibilityClosed Specifies whether a group is public or private. A public group can be accessed and used by all staff members who have view authorization. A private group can only be accessed and used by the owner and the staff members with the view authorization that the owner specifies. If you are filtering, select the option "Is true" to display only the public groups. Use the option "Is false" to display only the private groups.

    Last Date RefreshedClosed For dynamic and static groups, indicates the last date when the list of employers was refreshed using the view.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    Other UsersClosed For private groups, specifies the staff members who can use the group. They can also add or remove employers. The list contains the staff members for the campus. The staff member that you select must be authorized.

  5. In Employers, review the following values.

    ActiveClosed Specifies whether the associated record is active.

    CampusesClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    Date OffClosed The date when the employer record is removed from the grid.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    Primary ContactClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

  6. Take the appropriate action in the grid. 

    Task Action to Take
    Add employers
    1. Select the Add button. Anthology Student displays the Select Employers dialog.

    2. Review, specify, or change the following values.

      CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

      EmailClosed The email address of the student, person, or organization.

      NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

      Phone NumberClosed Phone number associated with the record. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

    3. Select the required check box and select the Select button.

    Anthology Student adds the employer records.

    Remove employers

    Select the record and select the Remove button.

    Anthology Student removes the employer record.

    Remove all employers

    Select the Remove All button.

    Anthology Student removes all records from the employer group.

    Show/Hide removed employers

    Select the Show Removed Employers button.

    Anthology Student displays the list of removed employers.

    If you want to hide the list of employers, select the Hide Removed Employers button. Anthology Student hides the list of removed employers.

  7. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button
