Programs

You can use the Programs page to configure the list of programs and their program codes. After you define a program code for a program, you can associate the program with program versions, documents required from students, and requirement rules. You can also specify entrance tests that are required for students who will enroll in the program. You can specify the previous education to qualify for the test as well as the minimum score that the student must attain for each test. The configured attributes will be included in the programs offered by your institution at its campuses.

The documents you add to programs and program versions are added to the Documents list for a student when they enroll or transfer to a program version.

  • If you add a document for a program, Anthology Student automatically attaches the document to all program versions. To associate a document with a program, select Configuration > Contact Manager > Documents.

  • If you add a document for a program version, Anthology Student does not automatically attach the document to the program. Each program version may have different requirements. To associate a document with a program version, select Configuration > Academic Records > Programs > Program Versions > Documents tile.

Your institution can define custom properties that are unique to your institution using the Extended Properties page. (Select the Settings tile > expand System > select Extended Properties.)

The Extended Properties section on this page displays all the fields that your institution has defined so that you can view, complete, and edit them. Because the fields vary by institution, your institution will provide tooltips or additional information you need to complete or edit the fields. If your institution has not configured extended properties, this section is not visible.

2020 CIP Code Update

You can associate a CIP Code with a program. CIP Codes are codes defined by the National Center for Education Statistics (NCES) and provide accurate tracking and reporting of activities related to program and area of study completion. When you associate a CIP Code with a program, it is automatically assigned to all program versions within the program.

The National Center for Education Statistics (NCES) published the final CIP 2020 on their site on July 1, 2019. In accordance with the needs related to managing 2020 CIP Codes, as outlined by the Department of Education at the December 2019 Federal Student Aid conference, Anthology Student enables you to assign and save both a 2010 and 2020 CIP code to a program, program version, and area of study. The ability to configure 2010 CIP codes has not been impacted and continues to function as before; only the label of fields previously labeled as "CIP Code" have been updated to "2010 CIP Code." A new 2020 CIP Code field has been added.

CIP Codes can be assigned only to Areas of Study of Type = Major.

If You Change a 2010 or 2020 CIP Code

If you are editing a program in the Student Web App and you change a 2010 or 2020 CIP code, Anthology Student displays a confirmation dialog.

If you select:

  • Override, Anthology Student changes the CIP codes on the program versions to match the new CIP code for the program.

  • No, it does not change any of the CIP codes for the program versions.

The behavior in the legacy interface is the existing behavior. If you are editing a program in the legacy interface, you change a 2010 or 2020 CIP code, and the CIP codes: 

  • Matched, Anthology Student does not display a confirmation dialog and automatically updates the CIP codes for the program versions to the new CIP code for the program.

  • Did not match, it displays a confirmation dialog

If you select: 

  • Yes, Anthology Student changes the CIP codes on the program versions to match the new CIP code for the program.

  • No, it changes the CIP codes for program versions that had the old CIP code for the program to the new CIP code. If the CIP code for the program versions did not match the old CIP code for the program, it does not change them.

Cancel works the same in both interfaces. It cancels the save.

Prerequisites

To view the page, you must have Academics - Configuration - View authorization.

To edit the page, you must have Academics - Configuration - Manage authorization.

To add tests, your institution must have configured the list of available tests. (Select the Configuration tile > expand Admissions > select Tests.).

To enable the advanced requirement rules engine and user interface in the Student Web App, set Enable Advanced Requirement Rules FeatureClosed This feature enables the advanced requirement rules engine and user interface in the Student Web App. If you enable this feature, the system permanently disables features related to requirement rules in the legacy interface. to Yes. (Select the Settings tile > expand System > select Advanced Features)

To add requirement rules to the area of study category level of a catalog for an elective or substitution pool, your institution must have selected Yes for the Advanced feature Enable Rule Based Requirement Rules and LevelsClosed Select Yes to enable the Advanced – Rule Based option in the Type list for requirement rules. When selected, you can specify more complex requirements using operators with any or all of the characters you specify in the codes for course characteristics. Yes is also required to specify requirements rules for program versions, the program version category level of a catalog for an elective or substitution pool, and the area of study category level of a catalog for an elective or substitution pool. Select No to use the existing options of Standard and Advanced - Course Levels and Course Attributes. .

Access Method

Select the Configuration tile > expand Academic Records > select Programs.

Procedure to Add or Edit Items

  1. Review the values of the records in the grid.

  2. If you want to:

    • Add a new list item, select the New button on the toolbar

    • Add a new list item by copying and modifying an existing list item, select the row in the list, and select the Duplicate button on the toolbar

    • Edit an existing list item, select the Name in the list

  3. Review, specify, or change the following values.

    ActiveClosed Specifies whether the associated record is active.

    Allow Online ApplicationsClosed Enables students to submit an online application for the program.

    2010 CIP CodeClosed The Name, Code, and Description of the Classification of Instructional Program (CIP) Code that will be associated with the record. The CIP Code assigned to the program will be automatically assigned to the program version. This option enables institutions to accurately report all program-related activity to COD.

    2020 CIP CodeClosed The Name, Code, and Description of the Classification of Instructional Program (CIP) Code that will be associated with the record. The CIP Code assigned to the program will be automatically assigned to the program version. This option enables institutions to accurately report all program-related activity to COD.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    Program GroupClosed Classifies the programs at your institution into groups. They are configured by your institution. Multiple program groups can be associated with a program. Since the multiple program group association occurs on the program level, program versions associated with the program are automatically associated with a program group as well.

    Workforce Pell EligibleClosed For award years 2026-27 and later, you can configure a program as Workforce Pell Eligible. When a student is enrolled in a qualifying workforce program, the system bypasses the standard restriction that blocks Pell for students who already hold a bachelor's degree. The options are Yes and No (default=No). When a program is configured as Workforce Pell Eligible for an award year, the Workforce Pell Eligible checkbox on the Pell Grant Awards form is automatically selected. The checkbox can be cleared manually by the user if needed. When the checkbox is selected, the system includes the tuition and fees amount in the COD export for each evaluated CIP code node. When the checkbox is cleared, the export proceeds as a standard Pell export with no tuition and fees tag. For more details, refer to "Common Record XML Schema 5.0d Support" on the Background for COD Processing help page.

  4. To update a CIP code, select the Update CIP Code button.

    1. Select the CIP Year (2010 or 2020).

    2. Select a value for CIP Code.

    3. If you want to apply the CIP Code: 

      • Only to the program, select the Apply to Program button

      • To the program and all related program versions, select the Apply to Program and Program Versions button

  5. Select the Save button to save the changes and continue adding information.  

    If you are adding a program version, Anthology Student enables the Documents, Requirement Rules, Tests, and Program Versions sections.

  6. Specify or change the following.

    DocumentsClosed The documents required from the students for the program.

    Requirement RulesClosed The requirement rules that are associated with the program.

  7. If you want to: 
    • Add a new list item, select the New button on the toolbar

    • Edit an existing list item, select the name in the list

    • Remove an existing list item, select the name and select the Remove button on the toolbar

  8. For Tests, review, specify, or change the following values.

    Course if Score is Less than MinimumClosed This course will be assigned to the student who fails to reach the minimum score specified for the test. If the student falls below the minimum value, the selected course will be added to the student's course schedule if the course is not already included.

    Minimum ScoreClosed The minimum value for the test score. The Minimum Score field is disabled if the Test is associated with a test type other than Score.

    Previous EducationClosed The previous education of the student. Previous education is used to qualify for the test and the score that the student is required to clear.

    TestClosed The name of the test taken.

    If you want to: 

    • Add a new list item, select the New button on the toolbar

    • Edit an existing list item, select the name in the list

  9. For Requirement Rule, review, specify, or change the following values.

    Applied toClosed Indicates what the requirement rule applies to. For example, it can be applied to the area of study or the catalog category for the area of study.

    Program Version NameClosed The name of the program, program version, or area of study.

    Program Version CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    Requirement Rule CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    Requirement Rule NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    1. If you want to:

      • Add a condition, select the Add Conditions button. Anthology Student displays the Requirement Rule Conditions page.

      • Edit a condition, select the highlighted name in the list .

    2. Specify the condition.

      • Expand Add ConditionClosed You can add conditions by adding the courses from the left menu and selecting the course you want to add. Multiple courses can be selected and added under one condition group. Rules can be added with AND and OR statements. Only the courses part of the elective pool is displayed.

      • Select the condition

      • Move the condition from the left column

      • Review, specify, or change the following values. The values depend on the selected condition.

        Configuration TypeClosed If you want to specify a value, select Enter a Value. If you want Anthology Student to use a value you specified during configuration, select Value from Configuration. For example, for a program version, if you want to require the number of credits specified using the Required Credits field when the program versions were configured, select Value from Configuration.

        Course AttributesClosed Attributes associated with an instructor or course. Instructor attributes are configured by your institution and associated with the instructor when they are added as a staff member to Anthology Student. Course or course list attributes defined by the institution are associated with the course or course list on the program version level. When courses are copied, and attributes are selected, Anthology Student copies the course attributes using the Attributes, Skills & Resources tile to the new course.

        Course LevelClosed Course levels enable you to group the courses and apply the attributes to the group as a whole instead of individually.

        CoursesClosed The number of required courses or credits for the rule.

        CreditsClosed The minimum credits required for the course. If you specify a decimal number, Anthology Student rounds and saves the number as a whole number. For example, if you specify 3.5, Anthology Student rounds and saves the number as 3. If you specify 3.75, Anthology Student rounds and saves the number as 4.

        Document Closed Specify automated multiple fulfillment at the Program Version level. This field is not selected by default.

        Document StatusClosed The status of the document. The list contains the system-defined statuses of Requested - Required, Requested - Not Required, Approved, No Further Action, On File, Not Requested, Required, Received but Rejected, Sent, and Not Sent. Any additional items in the lists were defined by your organization.

        Enter a ValueClosed Indicates the value associated with the field.

        EntityClosed If you select Enrollment, Anthology Student uses both the program version and the area of study information. Select Program Version or Area of Study if you only want to use to the program version or area of study.

        GPAClosed The grade point average (GPA) for the student. The options are Enrollment GPA, Overall Cum GPA, and Area of Study GPA.

        HoursClosed Hours earned by the student, including transfer credits and credits from course association.

        Minimum CreditsClosed The minimum credits required for the course. If you specify a decimal number, Anthology Student rounds and saves the number as a whole number. For example, if you specify 3.5, Anthology Student rounds and saves the number as 3. If you specify 3.75, Anthology Student rounds and saves the number as 4.

        Number of Required CoursesClosed The number of required courses or credits for the rule.

        OperatorClosed The operator that Anthology Student uses with the entity and value. The operators will depend on the value you selected for Property.

        Pass/FailClosed Indicate whether the course will receive a pass or fail grade. The options are: - Yes: Consider only the Pass/Fail courses for validation. - No: Consider only Non-Pass/Fail. - Both: Consider both Pass/Fail and Non-Pass/Fail.

        PropertyClosed The property being evaluated in the entry for the type of requirement rule. For example, a GPA, credits, or hours.

        TestClosed The name of the test taken.

        TextClosed The results of the test for the student reported in text format.

        ValueClosed If you selected Enter a Value for Configuration Type, specify the value. For example, if your institution wants to require 30 credits for a second degree completed, specify 30.

    3. Specify the condition group(s).

      • Select the Condition Group

      • Select the Save button.

  10. Select a Program Version record that will be associated with the Program.

  11. If your institution has configured extended properties, complete the fields under Extended Properties.

  12. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button
