General Ledger Settings for Campuses

You can use the General Ledger tab from the Student Accounts tile on the Campuses page to configure general ledger posting information and export files from Anthology Student to your accounting system. You can also authenticate the database, server, and the user name associated with the Great Plains Dynamic Database Connection and Great Plains Company Database Connection, and test the connection string.

Prerequisites

You must have System - Settings - Campuses - Manage authorization

You should be familiar with the Background for General Ledger.

Access Method

Select the Settings tile > expand System > select Campuses > select the name of an existing campus, or select the New button, specify the required information, and Save the campus > select the Student Accounts tile.

Procedure to Add or Edit Items

  1. Select the General Ledger tab.

  2. Review, specify, or change the following values.

    Batch IDClosed Specify a Batch ID. This field is only visible when you set the General Ledger System to Great Plains.

    General Ledger SystemClosed Select the general ledger system. It indicates an external accounting application for which the system can provide importable transaction files with the proper record layout. The options are None, Other, Great Plains, and Anthology Finance. Note: Anthology Student and Great Plains integration requires a hybrid connection. A request must be submitted to Anthology’s Cloud Services for the necessary components to be installed.

    General Ledger Company NumberClosed Specify the number (up to 8 characters) by which this campus is identified as a company in your accounting system. Multiple campuses can have the same company number.

    Last General Ledger Release DateClosed Specify the last date when the general ledger was released. This field is not displayed when None is selected in the General Ledger System field.

    Review, specify, or change the following values.

    Export File DefinitionClosed Select the Export File Definition. The options are Lawson Export File Definition, Budget Sense Export File Definition, PeopleSoft, and Space Def. When you select Other general ledger system, this option is enabled.

    File PathClosed The file path for a generated file, the location where an export file is stored, or the path for internal and external transfers for both Azure Cloud and FTP.

    Great Plains for general ledger system

    Review, specify, or change the values in Great Plains Dynamic Database Connection and Great Plains Company Database Connection, respectively.

    Azure Function UrlClosed This field is visible only when Anthology Student is integrated with Great Plains. This URL indicates the location of Azure functions required for Anthology Student and Great Plains integration. This URL is not editable and is automatically populated when the necessary components for the integration are installed by Anthology’s Cloud Services.

    AuthenticationClosed Specify the server authentication. The options are SQL and Windows.

    DatabaseClosed Specify the database. This field is available for both SQL and Windows Server Authentication.

    Great Plains Server UrlClosed This field is visible only when Anthology Student is integrated with Great Plains. This URL indicates the location of the Great Plains APIs. This URL is not editable and is automatically populated when the necessary components for the integration are installed by Anthology’s Cloud Services.

    PasswordClosed Specify the password for SQL Server Authentication.

    ServerClosed Specify the server. This field is visible for both SQL and Windows Server Authentication.

    User NameClosed Specify the username for SQL Server Authentication.

    You can test the Dynamics Database Connection String and Company Database Connection String by selecting the respective Test Connection button.

  4. Select Save to save the changes.
