Test File Matching Criteria

You can use the Test File Matching Criteria page to specify the criteria that Anthology Student uses to automatically match students in the imported test score files to students in the Anthology Student database. Matched test scores are added to the Tests list for a student and are displayed when you select All Program Versions for their program version in the header of the Student Profile. (Select the Students tile > select the name in the Students list > expand Admissions > select the Test Scores tile.)

Anthology Student uses the information from the Student Profile when it tries to match the students in the Anthology Student database to the students in the test score file.

For a Test File to import correctly, it must include the student's First Name and Last Name, and the First Name and Last Name must be included in the File Layout.

Prerequisites

You must have:

  • To configure settings, Admissions - Settings - Manage authorization

Access Method

Select the Settings tile > locate Admissions > select Test File Matching Criteria.

Procedure to Edit Items

  1. In the Absolute Matching Criteria, select the check boxes for the primary criteria you want Anthology Student to use.

    Email AddressClosed The email address of the student, person, or organization.

    Other Email AddressClosed If the student has more than one email address, the secondary email address.

    Social Security NumberClosed The Social Security Number (SSN) or an equivalent value associated with the person. You must be authorized to work with SSNs. If the SSN format is defined for the country selected in the profile, this field will display the appropriate input mask to specify a value. You can specify free-form text values (maximum 30 characters) in this field if there is no SSN format defined for the selected country.

    If you select more than one check box, the students must match all the selected criteria. For example, if you select the Email Address and Other Email Address check boxes and:

    • Both the Email Address and Other Email Address matches, Anthology Student considers the students a match

    • The Email Address matches, but the Other Email Address does not, Anthology Student does not consider the students a match

  2. If you want Anthology Student to try to match the students using secondary criteria when the students do not match the criteria selected for Absolute Matching Criteria:

    • Select the No match use Secondary CriteriaClosed Select this check box to use secondary matching criteria for a test file. If selected, all the fields of the Secondary Weighted Criteria are enabled. check box

    • Specify any numeric value greater than 0 in the field for the criteria under Secondary Weighted Criteria

      CityClosed The name of the city where the building, person, or organization is located.

      First NameClosed The first name of the student. staff member, or other person.

      Last NameClosed The last name of the student, staff member, or other person.

      Email AddressClosed The email address of the student, person, or organization.

      Phone NumberClosed Phone number associated with the record. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

      StateClosed If within the United States, the name of the state.

      Street AddressClosed The street address. For student addresses, if an address exceeds 40 characters, the additional characters in the address line will not be extracted and sent to COD but will be truncated. For this property, the Advanced Search Operator list displays the Starts With option only.

      ZIP Code/Postal CodeClosed The postal code for the address. If you are specifying an address, you must specify a value for City or State. If you specify a city, state, or both, the list contains the valid ZIP codes.

      Anthology Student displays the Total Weighted CriteriaClosed Displays the total of the numbers you specified for the secondary criteria. For example, if you specify 1 for First Name, Last Name, and Email Address, the total will be 3..

  3. If you specify a value greater than 0 in more than one field, the student must match all the criteria with a value greater than 0. For example, if you specify 1 for First Name, Last Name, and Email Address and:

    • All 3 matches, Anthology Student considers the students a match

    • The Last Name and Email Address match, but the First Name does not, Anthology Student does not consider the students a match

  4. Select Save to save the changes.

Action You Want Anthology Student to Take Example Values

Check if the Social Security Numbers match.

  • If they match, consider the test score a match to the student.

  • If they do not match, try to match the First Name, Last Name, and Email Address.

  • If all 3 match, consider the test score a match to the student.
