Post Work-Study Disbursements

Instead of adding work-study payments for individual students, you can use the Post Work-Study Disbursements page to display a list of currently enrolled students who have not been fully disbursed so that you can add their hours worked and add their payments for a pay period. Only students in an Enrolled or Active student status will be available in the list of students to post payments.

Work-study awards are fund sources that have been configured with a fund source type of Work-Study.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Financial Aid – Processes – Post Work-Study Disbursements - Edit authorization

If your institution has configured fund source permissions, you must be in a staff group that has: 

  • Permission to post payments for at least one fund source configured with a type of Work-Study

  • Either add, edit, approve, or delete permission for the specific fund sources where you are adding payments

Anthology Student must not be integrated with Anthology Finance & HCM. (If it is integrated, the option is disabled because payments are made using Anthology Finance & HCM.)

Access Method

Select the Processes tile > expand Financial Aid > select Post Work-Study Disbursements.

Procedure to Add the Payments

  1. Filter the database records by selecting values in the following lists.

    CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    Fund SourceClosed The source of this fund. If your institution is using fund source security, you must have permission to work with the fund source.

     

  2. Select the Apply Filters button. Anthology Student displays a list of students who meet the filter criteria.

  3. To change the end date of the pay period, select the Update Period End Date button. For example, you can change the date if you add the payments the day before or after the pay period ends. The changed date becomes the default for all of the students in the list. If needed, you can change the date for individual students when you add the payments for students.

  4. For the students who worked hours during the pay period, select the record for the student in the list.

  5. In the dialog, specify the following values.

    Academic Year Closed The academic year configured by your institution and associated with the record.

    Check Number Closed The check number and, if applicable, reference number used for the transaction. This is displayed only if you select Check as the Payment Method.

    Gross Amount PaidClosed The amount paid to the student for work-study during the pay period.

    HoursClosed The number of hours worked by the student during the pay period.

    Period End DateClosed The end date of the period. The default is the current date.

    TermClosed Specifies the term associated with the record. Terms are configured by your institution.

  6. Select the Update button. Anthology Student updates the values in the record for the student and redisplays the list of students so that you can continue to add payments.

  7. If needed, review the remaining values for the students in the list.

    Award Year Closed The financial aid award year associated with the record.

    Fund Source Closed The source of this fund. If your institution is using fund source security, you must have permission to work with the fund source.

    Gross AwardClosed The amount of the award, including bank fees.

    Received Closed Amount received to date from the selected fund source.

    Student Name Closed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

  8. If you want a record of the disbursements being posted, select the Export button (Export icon) on the toolbar.

  9. When you are done entering the payments for all of the students in the list, select the Save button.

Anthology Student

  • Saves the payments with an amount greater than 0

  • Adds the transactions to the general ledger
