Manage the Student Waitlist for a Class Section

Within the Class Roster, you can manage the student waitlist. You can: 

  • Accept all the students on the waitlist until the maximum student capacity is reached and register them in the class section

  • Accept one or more students on the waitlist and register them in to the class section

  • Transfer or reassign students on the waitlist to another section offered for the class section

  • Clear all waitlists from the scheduled classes grid for a specific term. This way you can easily clear waitlists without editing individual class waitlists in a term.

  • View registration relationships conflicts for the waitlisted students

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Academics - Class Scheduling - Manage Waitlist authorization

To clear the waitlist, you must have the Academic Records specialized permission Allow User to Clear WaitlistClosed Select the specialized permission if you want the staff member to be able to use the Clear Term Waitlists option from the More menu on the Class Schedules tab on the Class Scheduling page. The option clears term waitlists before the next term begins. It also gives the staff member permission to use the Clear Waitlist button on the Waitlist tab on the Class Scheduling page. The button clears all waitlists from the scheduled classes grid for a specific term..

Your institution must already have enabled Student Waitlist/Reservations for the campus.

For the button to be enabled, your institution must have already configured the Waitlist to be On for the campus. In addition, the accept notification template must be configured and associated with the campus to ensure that students who are cleared from the waitlist will be notified.

Access Method

Select the Class Scheduling tile > select the Waitlist tab > select a Campus, Term, and Course, and select Apply Filters. Anthology Student displays details for Course Code, Course Name, Section, Resolution Priority, Max Students, Active Students, Waitlist Max, and Students on Waitlist, based on the filters.

Columns

Cumulative CreditsClosed The tuition discount type that is either Flat or Percentage: Percentage - Displayed if the tuition discount policy is configured with Value set to Percentage Flat - Displayed if the tuition discount policy is configured with Value set to Flat Rate

Expected Graduation DateClosed The expected graduation date is the sum of the student’s start date, the total duration of the program (in weeks, including externship/internship time if relevant), with adjustments made if the student has fewer credits required due to transfer credits or other prior coursework. If there are holidays or calendar breaks configured in Academic Records > Calendars, these may impact the date if edited, but the standard calculation path does not automatically account for them.

Overall GPAClosed The overall cumulative GPA earned by the student.

RankClosed The graduating rank of the student as the rank of the number of students.

Sign-up Date/TimeClosed The date and time when the waitlist was created.

StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link, and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

Waitlist StatusClosed The waitlist status of the student in the class section. For example, waitlisted, cleared, and so on.

Procedure to Accept All Students Until Maximum Seats

  1. Select a student, and select the Accept all Until Max Seats button:

    • If the waitlist is active with no students, the waitlist is cleared

    • If the maximum seat capacity is reached, the remaining students will not be cleared from the waitlist and registered

    • If the campus is associated with a cleared notification template, the students who are cleared from the waitlist will be notified, if you select the Notify button

    • If there are any registration conflicts, the override button is displayed if you have the necessary permissions

Procedure to Accept Selected Students on a Waitlist

  1. Select one or more students, and select the Accept Selected Students button:

    • If the waitlist is active with no students, the waitlist is cleared

    • If the waitlist is active with students, the students will be cleared from the waitlist and accepted into the course

    • If the campus is associated with an accept notification template, the students cleared from the waitlist and accepted into the course will be notified

Procedure to Clear the Waitlist for a Term

  1. Select a student, and select the Clear Waitlist button.
    • If the waitlist is active with no students, the waitlist is cleared

    • If the waitlist is active with students, the students will be removed from the waitlist before the waitlist is cleared

    • If the campus is associated with a cleared notification template, the students who were cleared from the waitlist will be notified.

Procedure to Transfer Waitlisted Students to Another Section

  1. Select a student, and select the Transfer Students button.

  2. Select a Class Section where the student will be transferred to and select Transfer

    • If the waitlist is active with no students, the waitlist is cleared

    • If the maximum seat capacity is reached, the remaining students will not be cleared from the waitlist or registered

    • If the campus is associated with an accept notification template, the students who were transferred to the other section will be notified

Procedure to View Registration Relationships

  1. Select a student, and select the View Registration Relationship button. Anthology Student displays View Registration Relationship Rules pop-up.

  2. Select the Name link to view details of the conflict. Anthology Student also displays the conflict indicator (Conflict indicator).
