Period Templates

You can use the Period Templates page to configure templates for the periods of time in which classes are scheduled at your institution if classes at your institution are scheduled at regular times. For example, you specify the days of the week, start time, and length.

The periods templates that you specify here can then be selected for class sections to quickly and easily fill in the schedule using the Fill from Period Template button on the Schedule page. (Select the Class Scheduling tile.)

Period templates are optional.

Prerequisites

To view the page, you must have Academics - Configuration - View authorization.

To edit the page, you must have Academics - Configuration - Manage authorization.

To edit an item associated with more than one campus, you must have access to all the campuses. For example, if the item is configured to be available at three campuses and you only have access to two of the campuses, you can view the item but cannot edit it. When you add an item, you can only select campuses to which you have access.

Access Method

Select the Configuration tile > locate Academic Records > select Period Templates.

Filters

By default, the grid displays all records for the campuses you are authorized to work with. You can use the drop-down at the top of the page to display only records for a specific campus.

Review the values in the grid.

ActiveClosed Specifies whether the associated record is active.

CampusesClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

End TimeClosed The time that the period is configured to end.

NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

Start TimeClosed The start time of the item.

VDTClosed Indicates the schedule is of Various Days and Time (VDT) type allowing a hybrid section that has an in person lecture and an online lab (for example). For VDT courses, attendance can be posted for both scheduled and unscheduled days.

Procedure to Add or Edit Items

  1. Select All Campuses or select a specific Campus.

  2. Review the values of the records in the grid.

  3. If you want to:

    • Add a new list item, select the New button on the toolbar

    • Add a new list item by copying and modifying an existing list item, select the row in the list, and select the Duplicate button on the toolbar

    • Edit an existing list item, select the Name in the list

  4. Review, specify, or change the following values. The values will depend on the pattern type you select.

    The codes for period templates must be unique for each campus. If a code is already in use for a campus, you cannot select the campus in the list.

    ActiveClosed Specifies whether the associated record is active.

    Frequency - Recur everyClosed For the pattern you selected in the Pattern Type list, specifies how often it occurs. For example, if you selected Weekly and specify 2, it occurs every other week. If you selected Monthly and specify 1, it occurs once a month.

    Meeting Length in MinutesClosed The maximum number of minutes (per meeting) allowed as a default time for this class. This value is automatically populated if you select a meeting start and end time. Specify a numeric value between 1 and 999. This number represents a 'P' (present) value when posting attendance. For example, a class meets for 50 minutes and there is a ten minute break between classes, set the meeting length to 60 minutes to give the students credit for one hour of class time.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    Pattern TypeClosed Pattern of when the class meets. For example, weekly or monthly. - Weekly: select the days of the week and the number of weeks the weekly class meeting will recur. - Monthly: select the date and the day on which the monthly class meeting will recur.

    Recurring FrequencyClosed For the pattern you selected in the Pattern Type list, specifies how often it occurs. For example, if you selected Weekly and specify 2, it occurs every other week. If you selected Monthly and specify 1, it occurs once a month.

    Start TimeClosed The start time of the item.

    SSMClosed Enable Student Specific Meeting days for Various Days and Time (VDT) Schedule.

  5. Under Recurrence Range, specify or change the values.

    End after num occurrencesClosed Specifies that the class ends after the number of occurrences you specify. For example, if the class meets twice a week and you want it to end in 8 weeks, specify 16.

    No end date - entire length of class schedule populatedClosed When selected, specifies that the class will end at the end of the term.

    Start num Weeks after start of classClosed Specifies the number of weeks after the start of the class that Anthology Student applies the pattern to generate the class schedule. For example, to use the pattern as soon as the class starts, specify 0.

  6. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button
