Group Memberships

You can use the Group Memberships page to display a list of groups for a student and manage those groups. You can use groups to organize students based on common attributes so that you can take actions for multiple students at once instead of each student individually.

By default, the list shows the student groups where the student is currently a member. The list is sorted is alphabetically by the GroupClosed The name of the student group. If your institution has configured Anthology Student to limit groups to campuses, you can only select groups for the campus to which you are assigned. The list can also be filtered to display groups where you are the owner, public groups, and private groups to which you have been given access. column.

The list is not program version-specific. The items in the list are associated with all the program versions in the Program Version list.

Your institution can define custom properties that are unique to your institution using the Extended Properties page. (Select the Settings tile > expand System > select Extended Properties.)

The Extended Properties section on this page displays all the fields that your institution has defined so that you can view, complete, and edit them. Because the fields vary by institution, your institution will provide tooltips or additional information you need to complete or edit the fields. If your institution has not configured extended properties, this section is not visible.

When you import students for a student group (or create a group from a report), the resulting group members are shown with their most recent enrollment status.

Prerequisites

To view the page, you must have:

  • Common - Student - View authorization

  • Common - Student Group - View authorization

To add, edit, and delete records, you must have Common - Student Group - New, Edit, and Delete authorization.

The student group must also be: 

  • Manual
  • Active
  • Not expired

Student groups that do not meet these criteria are not displayed for you to select for the student.

If you want to define custom property, your institution must have configured the Extended Properties page (Select the Settings tile > expand System > select Extended Properties.)

Access Method

Select the Students tile > select the name in the Students list > expand Contact Manager > select the Group Memberships tile.

Procedure to Add a Student to a Group or Edit a Group

  1. Review the values of the records in the grid.

    Added ByClosed The name or user ID of the person who added the person or item.

    Date AddedClosed The date when the item or person was added or the status change was entered.

    Date RemovedClosed The date when the student was removed from the group.

    GroupClosed The name of the student group. If your institution has configured Anthology Student to limit groups to campuses, you can only select groups for the campus to which you are assigned. The list can also be filtered to display groups where you are the owner, public groups, and private groups to which you have been given access.

    Group TypeClosed The type of group. M indicates manual. D indicates dynamic. S indicates static. F indicates frozen.

    Group VisibilityClosed Specifies whether a group is public or private. A public group can be accessed and used by all staff members who have view authorization. A private group can only be accessed and used by the owner and the staff members with the view authorization that the owner specifies. If you are filtering, select the option "Is true" to display only the public groups. Use the option "Is false" to display only the private groups.

    Hold ActionClosed Select the action to be blocked while a student is a member of the hold group. Hold action options are: - Schedule Financial Aid: Financial Aid may not be scheduled for students on hold. - Disburse Financial Aid: Financial Aid may not be disbursed for students on hold. - Servicer SAP Financial Aid: When a student is in this group, Anthology Student causes the flag to be set in the next weekly extract to Global, indicating that the student is not making Satisfactory Academic Progress. When the student is removed from the group, the flag sent to Global indicates that the student is making SAP. - Attendance Violation: Institutions must have a process that prevents disbursement of financial aid funds to students who violated the institution's attendance policy. To accommodate the institutions that use Global, Anthology Student incorporates the use of a student Group in tracking students for attendance violations.

    Hold GroupClosed Specifies whether a Hold Code has been associated with the group. Being in a hold group prevents actions for students (such as preventing a student from registering). Hold Codes are associated with groups on the Hold Codes tab. You can set hold codes using the Settings tile for Financial Aid, Academic Records, Career Services, and so on.

    Manually Added/RemovedClosed Specifies whether a person was manually added or removed.

  2. If you want to:

    • Add a new list item, select the Add button on the toolbar

    • Edit an existing list item, select the Group in the list

  3. When adding a group, select the GroupClosed Specify the name of the student group. The group owner and the date of group creation are also available for reference. Groups that are inactive or expired will not be displayed in the group list during the addition process. If your institution restricts groups by campus, you may only select groups associated with your assigned campus. Additionally, filtering options are available to display groups for which you are the owner, public groups, and private groups where you have been granted access. field. Anthology Student displays the Select Groups pop-up so that you can search for and select the name of the group. Choose Select to confirm.

  4. If the group was configured in Financial Aid to be a verification hold group for the ISIR import options, Anthology Student also displays a list so that you can select the Award YearClosed The financial aid award year associated with the record...

  5. If your institution has configured extended properties, complete the fields under Extended Properties.

  6. If you want to save and: 

    • Continue making changes, select the Save button

    • Close, select the Save & Close button

Procedure to Remove a Student from a Group

  1. Highlight the record you want to remove in the list.

  2. Select the Remove button on the toolbar. The record continues to be displayed but the Date Removed and the Removed By fields are populated with the date and username.

When you remove a student from a Group, you can display the groups, but the groups are no longer editable.

Show Removed Groups

You can use the Show Removed Groups button on the toolbar to display the groups where the student was a member, but was removed from the group. When you select the Show Removed Groups button on the toolbar, Anthology Student displays additional columns in the list.

To hide the groups where the student was removed again, you can select the Hide Removed Groups button.
