Student Status History

Using the Student Status History feature, you can monitor and track changes in the student's status as the student progresses through various phases in the institution, for example, lead, active student, graduate, and alumni. With the appropriate permissions, you can view and print status history changes and undo or disable a status change.

The Student Status History page displays two sections: 

  • Student Statuses — displays the student's status changes defined by the institution. In this section, you can undo or disable a status change.

    The columns in the Student Statuses grid are:

    Added ByClosed The name or user ID of the person who added the person or item.

    CommentClosed Area you can use to specify comments or additional information about a change to a record or a request. The text you enter in this field may be stored in the audit. For example, comments on the Update Employer Status form appear in the Employer Audit table.

    Date AddedClosed The date when the item or person was added or the status change was entered.

    LOA Return DateClosed The date when the student returns from the leave of absence.

    LOA Start DateClosed The date when the student started the leave of absence.

    New StatusClosed The updated status after the status change.

    NSLDS Withdrawal DateClosed The effective date, stored in SSCR and Clearinghouse records, when a student withdrew from the institution.

    Previous StatusClosed The original status before the status change.

    ReasonClosed The reason for the change in a record or the reason why a process failed.

    Start DateClosed The first day the item takes effect or becomes active. Depending on the context of the associated record, the start date can also be the start of a time range, session, or activity (e.g., job, program, course, term, payment period, academic year, enrollment).

    Status DescriptionClosed The detailed description provided by your institution for the student's status.

    Stored LDAClosed The last date of attendance stored in the database.

  • Enrollment Statuses — displays the student's enrollment status changes in read-only mode. In this section, you can only view status change records because you cannot change the admission status once a student is enrolled.

    The columns in the Enrollment Statuses grid are:

Refer to Using the Connected Enrollment Billing Option on the Billing Method Configuration if you receive the message "Billing entries exist on the default enrollment as a result of course registrations in the current connected enrollment setup. Enrollment changes may result in incorrect billing entries and require manual adjustments."

Prerequisites

To view the page, you must have:

  • Common - Student - View authorization

To edit the page, you must have Academics - Student Enrollment Period - Edit authorization.

You should be familiar with the Background for Status Changes.

Access Method

Select the Students tile > select the name in the Students list > expand Academic Records > select the Student Status History tile.

Procedure to Change the Student Status

The grid shows the items for the program version of the current enrollment (if any). Use the Program Version drop-down to change the program version. You cannot select All Program Versions.

  1. Highlight the record and select the Change Status button.

  2. Specify the following values.

    CommentClosed Area you can use to specify comments or additional information about a change to a record or a request. The text you enter in this field may be stored in the audit. For example, comments on the Update Employer Status form appear in the Employer Audit table.

    Current StatusClosed The current status of a student.

    New StatusClosed The updated status after the status change.

    ReasonClosed The reason for the change in a record or the reason why a process failed.

  3. Specify the following additional values based on the New Status you select.

    Effective Date Closed The date or date range when the item is effective or valid and can be used.
    Complete Date CompleteClosed The number of the transaction., Last Day of AttendanceClosed The last day of attendance. In Anthology Student, audit courses are courses that do not require coursework or participation. While you can take attendance for audit courses, they do not update the last day of attendance (LDA) per the guidelines of the U.S. Department of Education. If you want a course to update the LDA for students, the course must take attendance and not be an audit course (such as a course taken, retaken, or repeated). The value is stored in the LDA column of the AdEnroll table. The system automatically populates the LDA when staff members post final grades or when a students drops a course., Remove Attendance Records Back to LDA Closed Indicates that any attendance records submitted after the last day of attendance will be removed.

  4. Select the Change Status button.

Undo a Status History Change for a Student

You can undo the last status history change for a student.

The grid shows the items for the program version of the current enrollment (if any). Use the Program Version drop-down to change the program version. You cannot select All Program Versions.

  1. Highlight the record for which you want to undo the status change.

  2. Select the Undo button on the toolbar.

Disable a Status History Record for a Student

You can disable a status history record for a student. You can only disable statuses when the New Status is set to Leave of Absence and the previous status was Active.

The grid shows the items for the program version of the current enrollment (if any). Use the Program Version drop-down to change the program version. You cannot select All Program Versions.

  1. Highlight the record you want to disable in the list.

  2. Select the Disable button on the toolbar. The Status record continues to be displayed but is disabled.
