Create Reusable and Scheduled Batches

You can use the Schedule tab on the Student Verification Student Export page in Anthology Student to create reusable and schedule batches that export student records to Student Verification. You can:

  • Add a new reusable and scheduled batch
  • Edit an existing batch
  • Queue a batch immediately

You can specify how often you want to execute the batch using custom cron strings. Refer to cron string examples.

You can also use the page to deactivate and delete batches.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Financial Aid – Processes - Student Verification Student Export authorization

The student batch export schedule must be Active to run the schedule immediately.

Your institution must have enabled the data integration between Anthology Student and Student Verification.

Access Method

Select the Processes tile > expand Financial Aid > select Student Verification Student Export

Process to Create and Queue the Batch

  1. Select the Schedule tab.

  2. Review the following values.

    ActiveClosed Specifies whether the associated record is active.

    Date AddedClosed The date when the item or person was added or the status change was entered.

    Date ModifiedClosed The date when the item was changed. On some pages, the date also includes the timestamp.

    FrequencyClosed The frequency of the scheduled export student attachments job to execute. The options are: • Daily - Execute the job on a daily basis (default). • Manually enter cron value - Manually add a custom cron expression to automatically execute a job at a specified time or date. • Monthly - Execute the job on a monthly basis. • Specific Date - Execute the job on a specified date.

    Last RunClosed Indicates the last time when the job/schedule was executed by the background processing system.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    Next RunClosed Indicates the time when the job will be executed next (based on the schedule).

    If there is an existing student batch export schedule, select the expand icon (Expand icon) next to the name of the schedule to view the following values.

    CompletedClosed Indicates the time and date when the job was completed.

    Job TriggeredClosed The Date and Time when the job was pulled from the queue and started executing. The "Started" time for a job will be the same time or later than the start time for the batch.

    ResultClosed Indicates the processing result for the job. If it was successfully processed, it displays Passed or Succeeded. Otherwise, it displays the reason why it was not processed.

    StatusClosed A status of Preparing indicates that the jobs in the batch are still being created or are waiting on the system resources required to create them. Started indicates that the batch has been started. (At least one job in the batch is Enqueued, Processing, Succeeded, or Deleted.) Succeeded indicates all jobs in the batch have been executed, and ALL job statuses are Succeeded. Completed indicates all jobs in the batch have been executed; some jobs may be in the Succeeded status, but at least one of the jobs is in the Deleted status. Awaiting indicates the batch is awaiting the completion of a dependent job or batch. Deleted indicates that the batch has been canceled.

  3. If you want to:

    • Add a new list item, select the New button on the toolbar

    • Edit an existing list item, select the name in the list

  4. If you want to schedule the batch, specify or change the values.

    ActiveClosed Specifies whether the associated record is active.

    DaysClosed Indicates the days of the week. This field is visible when the Frequency is set to the Daily option.

    End DateClosed The last date the item is effective or can be used. Depending on the context of the associated record, the end date can also be the end of a time range, session, or activity (e.g., job, program, course, term, payment period, academic year, enrollment).

    Every Month on theClosed Indicates the day of the month when you want to run a scheduled student batch export. This field is visible when the Frequency is set to Monthly.

    FrequencyClosed The frequency of the scheduled export student attachments job to execute. The options are: • Daily - Execute the job on a daily basis (default). • Manually enter cron value - Manually add a custom cron expression to automatically execute a job at a specified time or date. • Monthly - Execute the job on a monthly basis. • Specific Date - Execute the job on a specified date.

    HourClosed Indicates the hour when you want the batch schedule to run. This field is available when Recurrence is set to "Occurs every...".

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    Notify StaffClosed Indicates staff members are notified when the batch schedule is run.

    RecurrenceClosed Select the recurrence pattern of the schedule, either "Occurs every" (Hour) or "Occurs once at" (H:MM:TT).

    Schedule (cron format)Closed Indicate the custom cron string in the specified format. This field is active only when the Frequency is set to "Manually enter cron value". For example, if you want to execute a command: • At 10:30 AM (1030 hours) every day, the corresponding cron time string is 0 30 10 ? * * • At 11:45 PM (2345 hours) every Saturday, the corresponding cron time string is 45 23 * * 6

    Specific DateClosed Indicates the specific date when you want to execute the scheduled student batch export. This field is visible when the Frequency is set to Specific Date.

    Start DateClosed The date and time when the first job within the batch started executing.

    TimeClosed Indicates the time when the scheduled batch is executed. This field is visible when the Recurrence is set to the "Occurs once at" option.

    Time ZoneClosed A region that observes a uniform standard time for legal, commercial, and social purposes.

  5. In Student Verification Export Options, review, change or specify the values.

    Award Years Closed The financial aid award year associated with the record.

    Campuses Closed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    Student Groups Closed The name of the student group. If your institution has configured Anthology Student to limit groups to campuses, you can only select groups for the campus to which you are assigned. The list can also be filtered to display groups where you are the owner, public groups, and private groups to which you have been given access.

    Student StatusesClosed The prospect or student status at your institution is configurable and may differ by school. When you change a student's status, you must confirm the update in a dialog box, and if there are pending tasks from the previous status, another dialog lets you choose which tasks to keep or close as canceled. A student's current status (like Active) depends on their history and activation units; simply entering a Version Start Date does not automatically activate them without proper status progression. Status values help filter student records in lists, processes, and reports. Alumni statuses include "complete" or "graduated."

    Verification Closed This shows if a student's ISIR has been chosen for verification. Once selected, the student stays selected for that processing year. The information is taken from the "Student Is Selected for Verification" field on the ISIR record. Y means the student was chosen for verification. N means the student was not chosen. * means the student was selected during a later transaction.

  6. If you want to save and:

    • Continue making changes, select the Save button

    • Close, select the Save & Close button

    • Add another item to the list, select the Save & New button

  7. If you want to queue and run the batch now, select the name of the schedule in the list and select the Run Now button on the toolbar. Anthology Student submits the student batch export to execute immediately.

Deactivating Items

There is more than one method for deactivating an item.

Method Procedure Result
Deactivate using a toolbar button
  1. Highlight one item in the list.

  2. Select the Deactivate button on the toolbar.

Anthology Student deactivates the batch.

Deactivate by editing the item
  1. Select on the name of the item in the list.

  2. In the Active drop-down, select No.

  3. Select the Save and Close button.

Delete a batch
  1. Highlight the item in the list.

  2. Select the Delete button on the toolbar.

Anthology Student deletes the batch.

Because the item is not removed, you can also make it active again by selecting the Activate button.
