Create a Batch to Export Student Records

If Anthology Student is integrated with Student Verification, you can use the Process tab on the Student Verification Student Export page to create and queue one-time batch that exports student records to Student Verification.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Financial Aid – Processes - Student Verification Student Export authorization

Your institution must have enabled the data integration between Anthology Student and Student Verification.

Access Method

Select the Processes tile > expand Financial Aid > select Student Verification Student Export.

Process to Create and Queue the Batch

  1. Select the Process tab.

  2. Specify the values under Selection Criteria to filter the list.

    Award Years Closed The financial aid award year associated with the record.

    Campuses Closed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    Student Groups Closed The name of the student group. If your institution has configured Anthology Student to limit groups to campuses, you can only select groups for the campus to which you are assigned. The list can also be filtered to display groups where you are the owner, public groups, and private groups to which you have been given access.

    Student StatusesClosed The prospect or student status at your institution is configurable and may differ by school. When you change a student's status, you must confirm the update in a dialog box, and if there are pending tasks from the previous status, another dialog lets you choose which tasks to keep or close as canceled. A student's current status (like Active) depends on their history and activation units; simply entering a Version Start Date does not automatically activate them without proper status progression. Status values help filter student records in lists, processes, and reports. Alumni statuses include "complete" or "graduated."

    Verification Closed This shows if a student's ISIR has been chosen for verification. Once selected, the student stays selected for that processing year. The information is taken from the "Student Is Selected for Verification" field on the ISIR record. Y means the student was chosen for verification. N means the student was not chosen. * means the student was selected during a later transaction.

  3. Select the Next button.

    Anthology Student displays the records of the students who have an ISIR award year that matches the Award Year field, the Award Year ISIR Being Paid value that matches the ISIR ID (ISIRs Received), and the ISIR ID's Verification value that matches the Verification field.

  4. Review the following values.

    Award Year Closed The financial aid award year associated with the record.

    Campus Closed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    CityClosed The name of the city where the building, person, or organization is located.

    CountryClosed The country of residence. If you are specifying a country, the field defaults to the country for the campus. The country also determines the format of phone numbers. If you change the country, the phone numbers are automatically reformatted to the format for that country.

    Date Of BirthClosed The date of birth (DOB) in the format MM/DD/YYYY.

    Email AddressClosed The email address of the student, person, or organization.

    Expected StartClosed This field represents the student's expected first day of attendance. It is used for planning and reporting purposes. The value may differ from the actual start date if the student delays or defers. The field is often auto-populated based on the Version Start Date selected during application entry. It can also be manually adjusted during enrollment setup.

    ISIR IDClosed The ISIR ID consists of the student’s Social Security Number, the student's initials, and a 2-digit transaction ID. The transaction ID is incremented every time an ISIR correction is made.

    Mobile Phone NumberClosed The mobile phone number.

    Phone NumberClosed Phone number associated with the record. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

    StateClosed If within the United States, the name of the state.

    Street AddressClosed The street address. For student addresses, if an address exceeds 40 characters, the additional characters in the address line will not be extracted and sent to COD but will be truncated. For this property, the Advanced Search Operator list displays the Starts With option only.

    StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link, and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

    SyStudentIdClosed Indicates System Student Identification.

    Zip Code/Postal CodeClosed The postal code for the address. If you are specifying an address, you must specify a value for City or State. If you specify a city, state, or both, the list contains the valid ZIP codes.

  5. Select the Queue Export button.

  6. In the Submit Batch dialog, review or change the name of the batch and select the Submit button.

Anthology Student processes the batch to export student records to Student Verification. When the batch completes, Anthology Student displays the results on the History tab. Refer to Review Batches of Exported Student Records.
