Transactions Tab - Print Receipts, Ledger Reports, or Registration Bills

You can select the More button on the Transactions tab of the Ledger Card to print receipts for transactions, a ledger card report, and registration bills.

  • You can select individual transactions and print receipts for a student.

    • Transaction receipts display the receipt "Document Number" generated using Document Identifiers configured for the campus.
    • Receipts will represent amounts in the student's transaction currency.
  • You can print a report showing all transactions on the Ledger Card.

  • You can print the registration bill based on the registration bill defaults configured for the campus under Settings > System > Campuses > select the name of a campus > Student Accounts > Registration Bill Defaults (tab).

Prerequisites

You must have:

  • Common - Student - View authorization

  • Student Accounts - Student Account Transaction - New authorization

  • Student Accounts - Student Account Transaction - Edit authorization

To print transaction receipts, your institution must have configured the Print Receipt Flag for Student Accounts for the campus.

For registration bills, your institution must have already configured the Registration Bill defaults for the selected Campus. For example, if the setting "Print Expected funding through specified term" is selected, Anthology Student uses the term specified by you on the ledger card or schedule folder as the expected funding term.

In addition, a sub-report is added to the registration bill if the Ledger Card Activity check box is selected as a Print option and the ledger card transactions meet the following criteria:

  • The transaction is associated with the enrollment for which the report is being run 

  • The transaction associated with a term is one of the Billing Terms selected

  • The transaction date falls within the start and end date range for the associated Billing Term if the transaction is not associated with a term

Access Method

Select the Students tile > select the name in the Students list > expand Student Accounts > select the Ledger Card tile.

The ledger cards for a campus can be set up to display the transactions for all enrollments or only current enrollments. Go to Settings > System > Campuses > Student Accounts > General and check the setting for Default Enrollment on Student LedgerClosed Specify the initial default view of a student's ledger card when the Ledger Card is loaded. The options are All Enrollments and Current Enrollment.. The default for this setting is for the ledger card to display All Enrollments upon opening a ledger card.

Procedure to Print a Receipt for a Transaction

This option generates a generic receipt for the selected transaction. If the selected transaction is a financial aid disbursement received, and the financial aid fund source type is not cash, the corresponding receipt is printed. To determine which receipt report should be loaded when this option is selected, Anthology Student checks for the existence of a receipt report for the fund source received.

  1. On the Transactions tab, select a record and select the More > Print Receipt button.

  2. Verify the information and select the Print icon.

Procedure to Print a Receipt When Posting a Payment

  1. On the Transactions tab, select the Payment button and post a payment.

  2. Select the Print Receipt check box.

  3. Select Print after reviewing the Print Receipt page.

Procedure to Print the Ledger Card

  1. On the Transactions tab, select the More > Print Ledger button.

  2. Specify the following details.

    Include Course DetailClosed Indicates that course detail information needs to be included.

    Include Pending ChargesClosed Indicates that pending charges need to be included.

    Print Graduation DateClosed Select Yes or No to indicate whether you want to include the Graduation Date. By default, the Graduation Date is included.

    Student ID to PrintClosed Specifies the ID that is printed. The values are Student Number, Enrollment Number, and None.

  3. Select the Print button.

    Anthology Student prints the ledger card. If pending discounts are available, you can view them in the Pending Charges and Discounts section on the ledger card.

Procedure to Print the Registration Bill

  1. On the Transactions tab, select the More > Print Registration Bill button.

  2. Specify the following details.

    Add/Drop DateClosed The date when the student was added to or dropped from the course.

    Payment PeriodClosed The payment period associated with the enrollment. Payment periods only apply to program versions configured with an academic year.

    Print Add/Drop DateClosed Select this check box to enable the Add/Drop Date field.

    Print with Connected EnrollmentsClosed Enabled if the student has connected enrollments.

    TermsClosed The term specified in the student ledger card, is displayed if configured. If a term is not specified in the student ledger card, the term associated with the default campus is displayed, by default. If a term is not specified in either the student ledger card or the associated campus, the first term in the list is displayed.

    Term GroupClosed The group created to connect terms that are not shared.

    Transaction DateClosed The date when the transaction record was posted. From and To

    If both the Summary Registration Bill and Detail Registration Bill were configured in Registration Bill Defaults, a pop-up menu is displayed when you select Print. If only the Summary option or only the Detail option is configured in the default settings in Anthology Student, the Print button caption will be Print Summary or Print Detail.

  3. Verify the information and select the Print Summary or Print Detail button.

    In the Detail Registration Bill, if pending discounts are available, you can view them in the Charges and Discounts section and the Account Summary in the Pending Charges and Discounts section.
