Billing Services

You can use the Billing Services page to configure billable services and accommodation services (such as equipment like auxiliary aides) and their association with campuses.

For:

  • Billable services, you must select a service category other than Disability Service Category so that you can select a billing method

  • Accommodation services, you must select the Disability Service Category. When you select Disability Service Category, Anthology Student hides the Billing Method field because there is no fee associated with accommodation services

You can also:

  • Include data typing, validation lists, and detailed field descriptors

  • Add more data to a student service through user-defined fields

  • Apply services to more than one student at a time using the batch option in the Batch Assign Billable Services page ( Select the Processes tile > select Assign Billable Services in the list.

You can create school-defined fields specific to each billable service. If you need to specify school-defined fields that apply to Student Services and not just a billable service, you can use the School Defined Fields page from the Setting tile (Select the Settings tile > expand System > select School Defined Fields.)

Prerequisites

To view the page, you must have Student Services - Configuration - View authorization.

To edit the page, you must have Student Services - Configuration - Manage authorization.

Your institution must have configured:

  • Service Billing Method page (Select the Configuration tile > locate Student Services > select Service Billing Methods.)

  • Service Categories page (Select the Configuration tile > locate Student Services > select Service Categories.) to assign services.

Your institution must have licensed the Housing features available in Anthology Student. For more information, contact your Client Experience Manager.

Access Method

Select the Configuration tile > locate Student Services > select Billing Services.

Filters

By default, the grid displays all records for the campuses you are authorized to work with. You can use the drop-down at the top of the page to display only records for a specific campus.

Procedure to Add or Edit Items

  1. Review the values of the records in the grid.

  2. If you want to:

    • Add a new list item, select the New button on the toolbar

    • Add a new list item by copying and modifying an existing list item, select the row in the list, and select the Duplicate button on the toolbar

    • Edit an existing list item, select the Name in the list

  3. Review, specify, or change the following values.

    CampusesClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique. Select or assign the code for this item.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    Service Billing MethodClosed The method used to bill services for the student. If you selected Disability Service Category For Service Category, Anthology Student hides this field because there are no fees associated with accommodation services.

    Service CategoryClosed The service category for the billable service. For example, disability, housing, insurance and meal plan. Your institution defines any other service categories in the list.

    SystemClosed Specifies whether the value is system-defined. Yes indicates that the item is defined by Anthology Student. No indicates that your institution added the item. You cannot delete or deactivate items that are system-defined. Some or all values might also not be editable.

  4. In Service Defined Fields, if you want to:

    • Add a new field, select the New button
    • Edit an existing field, select the name in the list

    Anthology Student displays the new service defined field dialog.

  5. Specify or change the following values.

    ActiveClosed Specifies whether the associated record is active.

    DecimalsClosed Specify the number of decimals. For Billing Services, the number of decimals must be less than or equal to 4. For Extended Properties and School Fields, the Decimals field enabled only when you select the Numeric option in the Type field. The maximum is 4 and is included in the maximum specified for Length. For example, if you want the maximum to 999.99, specify 5 for Length and 2 for Decimal.

    Help TextClosed Specify any additional information you want displayed for the field when staff members mouse over the field on the page where the field is displayed or editable.

    LengthClosed Specifies the length of the field you can customize.

    NameClosed The name of the item (e.g., data set, batch, job, process, task, person, organization, entity, file).

    TypeClosed The data type. The options are: - Character: Any alphanumeric characters, for example, numbers, letters, or symbols up to a maximum length of 99. - Numeric: Numbers only. Numeric fields can use range, value list, or no validation. You can specify two decimal places. - Date: Dates only.

    Type ValidationClosed Select the validation you can use to customize the field. The options are: - Character: Value List or no validation - Numeric: Range, Value List, or no validation - Date: Range or no validation

  6. If you selected the:

    • Character option or Numeric option for TypeClosed The data type. The options are: - Character: Any alphanumeric characters, for example, numbers, letters, or symbols up to a maximum length of 99. - Numeric: Numbers only. Numeric fields can use range, value list, or no validation. You can specify two decimal places. - Date: Dates only. and Value List option for Type ValidationClosed Select the validation you can use to customize the field. The options are: - Character: Value List or no validation - Numeric: Range, Value List, or no validation - Date: Range or no validation, Anthology Student displays list values grid.

      To add a field:

      1. Select the Add button.

      2. Review, specify, or change the following values.

        OrderClosed Indicates the order of the associated items.

        ValueClosed The value list for the field.

      3. If you want to:

        • Continue to add another item to the list, select the Save & New button

        • Close, select the Save & Close button

      Anthology Student saves the service defined field record.

      To remove a field:

      1. Select the record and select the Remove button.

      2. If you want to:

        • Continue to add another item to the list, select the Save & New button

        • Close, select the Save & Close button

      Anthology Student removes the service defined field record.

    • Numeric option for TypeClosed The data type. The options are: - Character: Any alphanumeric characters, for example, numbers, letters, or symbols up to a maximum length of 99. - Numeric: Numbers only. Numeric fields can use range, value list, or no validation. You can specify two decimal places. - Date: Dates only. and Range option for Type ValidationClosed Select the validation you can use to customize the field. The options are: - Character: Value List or no validation - Numeric: Range, Value List, or no validation - Date: Range or no validation, specify FromClosed Enter the start numeric value. and ToClosed Specify the end value.
    • Date option for TypeClosed The data type. The options are: - Character: Any alphanumeric characters, for example, numbers, letters, or symbols up to a maximum length of 99. - Numeric: Numbers only. Numeric fields can use range, value list, or no validation. You can specify two decimal places. - Date: Dates only. and Range option for Type ValidationClosed Select the validation you can use to customize the field. The options are: - Character: Value List or no validation - Numeric: Range, Value List, or no validation - Date: Range or no validation, specify FromClosed Enter the start numeric value. and ToClosed Specify the end value.

  7. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button

Limitations

You cannot edit configuration items that have a Yes in the System column. These items are defined by Anthology Student.
