Review Registration and Unregistration Batches

For batches that you created to register and unregister multiple students, you can use the History tab to review the status of all the batches based on your campus-level permission, review the results of specific batches, and manage the batches.

When you register, unregister, and drop courses for students, Anthology Student performs validations and identifies conflicts. If you have the required specialized permissions, you can override the conflicts.

On the page you can also:

  • Override and submit another batch that registers students who were not registered in the first batch. Some conflicts you cannot override. For example, you cannot override a prerequisite or corequisite for track registration. In those cases, you can register the student from their Student Profile using the Student Courses or Degree Pathway tiles or by using the Term tab on this page if you have the required specialized permission.

  • Override and submit another batch that unregisters students who were not unregistered in the first batch.

Batches on this tab are available for 28 days by default. Anthology Student removes them after 28 days. If you need to keep the information for a batch, use the Export (Export button) button on the toolbar.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Academics – Processes - Registration authorization

If you want Anthology Student to display a message in the Result column when you register for a class assigned to an elective pool which is satisfied and will exceed the elective pool limit for catalog, course category, program version or area of study configured for that campus, your institution must have selected the following check box when it configured Settings > Campuses > Academic Records > Advising.

Display Elective Pool Warning During RegistrationClosed Select this check box if you want Anthology Student to display a warning message when the elective/substitution pool criteria has exceeded during registration.

To override conflicts, you must have the appropriate specialized permission. For example:

  • Allow maximum students in class and Add/Drop date Override - All CampusesClosed Select the check box to give a staff member permission to override the maximum class size when registering students in a class section for all campuses. During registration, a message is displayed when maximum class size is about to be exceeded on their Student Courses page. (Select the Students tile > select the name in the Students list > expand Academic Records > select the Student Courses tile.) The staff member can determine if it is okay to register the student anyway. If this check box is selected, the campus setting for Add/Drop is overridden. or Allow maximum students in class and Add/Drop date Override - Users Campuses OnlyClosed Select the check box to give a staff member permission to override the maximum class size when registering students in a class section for the campuses they are authorized to work with. During registration, a message is displayed when maximum class size is about to be exceeded on their Student Courses page. (Select the Students tile > select the name in the Students list > expand Academic Records > select the Student Courses tile.) The staff member can determine if it is okay to register the student anyway. If this check box is selected, the campus setting for Add/Drop is overridden.
  • Allow User to Override Registration HoldsClosed Select the check box to give a staff member permission to override a registration hold on their Student Courses page and register students without needing to remove these students from a registration hold group. (Select the Students tile > select the name in the Students list > expand Academic Records > select the Student Courses tile > add or select a course in the list > select the Register button.)

  • Allow Prerequisite/Corequisite registration and Maximum Course Attempts OverrideClosed Select the check box to give a staff member permission to override prerequisite and corequisite course requirements when processing a single student registration in a course for which there are other courses required as prerequisites or corequisites. It also gives a staff member permission to override the maximum course attempts rule when registering a student on their Student Courses page. (Select the Students tile > select the name in the Students list > expand Academic Records > select the Student Courses tile.)

  • Allow Prerequisite and Corequisite override for drop/unregisterClosed Select the check box to give a staff member permission to override prerequisite and corequisite course requirements when processing a single student drop or unregister from a course which is a prerequisite or corequisite to another course on their Student Courses page. (Select the Students tile > select the name in the Students list > expand Academic Records > select the Student Courses tile.)

Access Method

Select the Processes tile > locate Academic Records > select Registration.

Procedure to Manage and Review

  1. Select the History tab.

  2. Review the status and values for the batches in the list.

    BatchClosed The batch name. The name includes the date when the process was started.

    CampusesClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    CreatedClosed The date when the item was created.

    DurationClosed The amount of time it took to process the job or batch.

    Number of StudentsClosed Indicates that the course requires a retake fee. Retake Fee is enabled only when Retake Course is enabled. The default is No.

    Registration TypeClosed Indicates that the batch submitted is for registration or unregistration.

    ResultClosed Indicates the processing result for job. If it was successfully processed, it displays Passed or Succeeded. Otherwise, it displays the reason why it was not processed.

    Started Closed The date and time when the first job within the batch started executing.

    StatusClosed A status of Preparing indicates that the jobs in the batch are still being created or are waiting on the system resources required to create them. Started indicates that the batch has been started. (At least one job in the batch is Enqueued, Processing, Succeeded, or Deleted.) Succeeded indicates all jobs in the batch have been executed and ALL job states are Succeeded. Completed indicates all jobs in the batch have been executed and some jobs may be in Succeeded state, but at least one of the jobs is in Deleted state. Awaiting indicates the batch is awaiting the completion of a dependent job or batch. Deleted indicates that the batch has been canceled.

    Submitted ByClosed The course list attributes.

    TermClosed The term used for the registration or unregistration process.

  3. Highlight the batch record in the History list. Anthology Student displays the details of the batch in the Batch Status Change list.

  4. Review the values in the list.

    CourseClosed The code and name identifying the course the student is enrolled in.

    Job Created Closed The date and time when the job was added to the background job queue.

    Job StartedClosed The date and time when the job was pulled from the queue and started executing. The start time for a job will be the same time or later than the start time for the batch.

    Job StatusClosed The status of the job. Enqueued indicates the job is in the queue waiting to be executed. Scheduled indicates the job is scheduled to run at a future time. Processing indicates the job is running. Succeeded indicates the job was completed with no errors. Deleted indicates the job was completed with errors.

    ResultClosed Indicates the processing result for job. If it was successfully processed, it displays Passed or Succeeded. Otherwise, it displays the reason why it was not processed.

    Section Closed The code and name for the class section.

    StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

    TermClosed Select a term from the list of available terms.

  5. If the Result column displays a message indicating that registration or unregistration was not successful, select the right arrow (Shows the right arrow you click to display details for conflicts.) to display details for the conflicts.

  6. If you want to try to register or unregister the students with conflicts and you have the required specialized permission, take the appropriate action.

    1. Select the students in the list.

    2. Select the Override All Selected button.

    3. In the dialog, select the Queue button.

    Unregister students

    Unregister failed

    1. Select the students in the list.

    2. If the list contains conflicts and there are conflicts:

      • But if there are no conflicts for requisites, select the Override All Selected button (such as if the add or drop period for the class has expired)

      • And one or more conflicts for requisites and you do not want to unregister the student from the conditional courses, select the Override All Selected button

      • And one or more conflicts for requisites and you want to unregister the student from the conditional courses, select the Dont Override All Selected button

    3. In the dialog, select the Queue button.
