SAP Reasons

You can use the SAP Reasons page to configure the reasons that describe details around satisfactory academic progress (SAP) for a student. These details encompass both reasons students fail to meet SAP and reasons students are improving their performance to meet SAP when they have previously failed. Anthology Student is installed with default SAP reasons that are associated with the criteria. You can specify your reasons and then associate them with: 

  • The evaluation criteria
  • Your SAP policies

The SAP reasons you configure override the default SAP reasons associated with the evaluation criteria.

Anthology Student displays the SAP reasons when you: 

  • Calculate SAP for students
  • Generate SAP-related reports (such as the SAP Audit report)

You can also insert the reasons in a letter for a student task using the <FailedSAPReason> field and you can create letter tasks automatically when you calculate SAP.

You can insert fields from the database into the text of the reasons. More commonly used fields are listed on the page so that you can quickly drag and drop them. For example, you can drag and drop the minimum GPA fields into the text for the reason. When the reasons are displayed or inserted, they are replaced with data specific to the student.

Prerequisites

You must have Financial Aid - Configuration - Manage authorization.

You should be familiar with the Background for SAP.

Access Method

Select the Configuration tile > expand Financial Aid > select SAP Reasons.

Procedure to Add or Edit Items

Guidelines:

  • A reason and evaluation criterion combination can be assigned to more than one SAP policy, but that evaluation criterion can only be associated with an SAP policy once. For example, if you create a reason that is associated with the Minimum Cumulative GPA and associate it with an SAP policy, you cannot create another reason associated with the Minimum Cumulative GPA and associate it with the same policy.

  • Do not use the prefix SYS for your codes. (This prefix identifies the default, system-defined reasons.) 

  1. Review the values of the records in the grid.

  2. If you want to:

    • Add a new list item, select the New button on the toolbar

    • Add a new list item by copying and modifying an existing list item, select the row in the list, and select the Duplicate button on the toolbar

    • Edit an existing list item, select the Name in the list

    You cannot edit items that have a Yes in the SystemClosed Specifies whether the value is system-defined. Yes indicates that the item is defined by Anthology Student. No indicates that your institution added the item. You cannot delete or deactivate items that are system-defined. Some or all values might also not be editable. column. These items are defined by Anthology Student.

  3. Specify or change the following values.

    ActiveClosed Specifies whether the associated record is active.

    CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    DescriptionClosed The descriptive name of the item.

    Evaluation CriterionClosed Select the system-defined SAP criterion.  

    SAP PoliciesClosed Specifies the satisfactory academic progress (SAP) policy. It contains the measures used to evaluate students to determine whether they are making satisfactory academic progress in their educational program and can receive financial aid. The policies are defined by your institution and assigned to program versions.

  4. Specify the text in the Reason field.

  5. To use one or more of the commonly used fields in the text, select the arrow (Drag and drop arrow) icon and drag and drop the field in the Available Merge Fields box to the location where you want it inserted into the text.

  6. If you want to save and: 

    • Continue making changes, select the Save button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button
