Student Activity Statements

You can use the Student Activity Statements page to create printable statements of financial activity sent to students monthly the amounts they are required to pay the school.

When statements are generated by an institution, Anthology Student first determines if there are scheduled payments for the student. If no payment schedule is found, Anthology Student reviews the Student Ledger and reports the account balance as the amount due for the statement period.

If the student statement indicates that the overall balance on the student account is a:

  • Credit, no statement is generated

  • Debit, the statement indicates the debit balance in the Amount Due field of the statement

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Common - Processes - Student Activity Statements authorization

Access Method

Select the Processes tile > expand Student Accounts > select Student Activity Statements.

Procedure to Create the Batch and Review Results

Process Tab

Use the Process tab to filter the data and queue the batch job.

  1. Specify the Selection Criteria to filter the records. The fields that are displayed will vary depending on the selected Type value.

    Account Balance is At leastClosed Search for a student to generate Activity Statement when running the process in Student mode.

    Expected Start Date RangeClosed The date the student is expected to start enrollment at your institution. From and To

    Graduation Start Date Range Closed The date when the student graduated or is scheduled to graduate from the program version. From and To

    GroupClosed The name of the student group. If you are selecting a group and your institution has configured Anthology Student to limit groups to campuses, you can only select groups for the campus that you are assigned to. If you are selecting a group, it can also be filtered to display groups where you are the owner, public groups, and private groups to which you have been given access.

    Include Expected PaymentsClosed Specifies whether to include expected payments in the statement.

    Include Only Student PaymentsClosed Specifies whether to include only student payments in the statement.

    Include Past Due PaymentsClosed Specifies whether to include past due payments in the statement.

    Start Date RangeClosed The first day that the item is effective or can be used. From and To

    StudentClosed Search for a student to generate Activity Statement when running the process in Student mode.

    Student StatusesClosed Specifies student statuses as criteria to generate activity statements. Only students with the selected statuses will be included.

    Transaction DateClosed Specifies the date range for transaction date. Only ledger card transactions with transaction date on or within the specified date range will be included in the activity statement. From and To

    TypeClosed Select the student activity statement type. The options are: Batch, Group, and Student.

  2. Select the Next button.

    Include Past Due PaymentsClosed Specifies whether to include past due payments in the statement.

    Enables the Past Due Payments section.

    1. Specify or change the following values.

      Aid StatusesClosed Select the aid statuses you want to include in the statement. The options are Estimated, Pending, and Approved.

      Fund SourcesClosed Select the fund sources to include for past due payments in the statements. Select 'Select All' to capture all fund sources.

      Past Due As OfClosed The payment due date. Payments with scheduled date on or earlier than the specified date are considered past due.

      Show Only Active Fund SourcesClosed Select this check box to view only active fund sources.

    2. Select the Next button.

    Include Expected PaymentsClosed Specifies whether to include expected payments in the statement.

    Enables the Expected Payments section.

    1. Specify or change the following values.

      Aid StatusesClosed Select the aid statuses you want to include in the statement. The options are Estimated, Pending, and Approved.

      Expected Receipt RangeClosed The date of expected payment receipt. From and To

      Fund SourcesClosed Select the fund sources to include for expected payments in the statements. Select 'Select All' to capture all fund sources.

      Show Only Active Fund SourcesClosed Select this check box to view only active fund sources.

    2. Select the Next button.

  5. In the Note and Summary section, review or specify the following values.

    NoteClosed Area that displays, or that you can use, to specify comments or additional information.

    SummaryClosed Indicates the summary of all the selection criteria for the statements.

  6. Select the Queue Statements button.

  7. In the Queue Batch dialog, review, specify, or change the following values.

  8. Batch NameClosed The name of the batch.

    Print Labels after the Statements are generatedClosed Select this check box to print labels after the account balances are printed.

  9. Select the Queue button.

Anthology Student processes the batch of student activity statements. Anthology Student will create a single PDF file that contains all statements for all the students in the batch at a predefined file path. Anthology Student will also create a PDF file for the address labels for all students in the batch.

When the batch completes, Anthology Student displays the results on the History tab.

History Tab

For batches that you created for student activity statements, you can use the History tab to review the status of all the batches, review the results of specific batches, and manage the batches.

Batches on this tab are available for 28 days by default. Anthology Student removes them after 28 days. If you need to keep the information for a batch, use the Export (Export button) button on the toolbar.

  1. Review the values in the Batches grid.

    CampusClosed The campus associated with the activity statement batch.

    CanceledClosed Shows the date and time when the batch was canceled. Blank if the batch was not canceled.

    DurationClosed The amount of time it took to process the job or batch.

    File PathClosed The file path where PDF files for activity statements are stored.

    GroupClosed The name of the student group selected to generate the statements.

    Include Expected PaymentsClosed Specifies whether to include expected payments in the statement.

    Include Past Due PaymentsClosed Specifies whether to include past due payments in the statement.

    Include Student Payments OnlyClosed Specifies whether to include only student payments in the statement.

    Job StatusClosed The status of the job. Enqueued indicates the job is in the queue waiting to be executed. Scheduled indicates the job is scheduled to run at a future time. Processing indicates the job is running. Succeeded indicates the job was completed with no errors. Deleted indicates the job was completed with errors.

    Label File PathClosed The file path where PDF files for the labels are stored.

    Last RetryClosed Shows the date and time when the Deleted jobs within the batch were last resubmitted for processing. Blank if a retry has never been requested.

    Print LabelsClosed Indicates whether the batch labels are printed after the statements are generated.

    StartedClosed The date and time when the first job within the batch started executing.

    Submitted ByClosed The name of the staff member who submitted the batch for processing.

    TypeClosed Select the student activity statement type. The options are: Batch, Group, and Student.

  2. Select the name of the batch in the list. Anthology Student displays the details for the job in the Results grid.

  3. Review the values in the Results grid.

    AmountClosed The amount of the statement.

    File PathClosed The number of refunds. This value is calculated based on the values that you specify in Calculation Based on Length column.

    Fund SourceClosed The source of this fund. If your institution is using fund source security, you must have permission to work with the fund source.

    Job CreatedClosed The date and time when the job was added to the background job queue.

    Job StartedClosed The date and time when the job was pulled from the queue and started executing. The start time for a job will be the same time or later than the start time for the batch.

    Job StatusClosed The status of the job. Enqueued indicates the job is in the queue waiting to be executed. Scheduled indicates the job is scheduled to run at a future time. Processing indicates the job is running. Succeeded indicates the job was completed with no errors. Deleted indicates the job was completed with errors.

    Label File PathClosed The file path where PDF files for the labels are stored.

    StudentClosed The last and first name of the student.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

  4. Take the appropriate action.

    Print Statements

    1. Select the record in the batches list.
    2. Select the Print Statement button on the toolbar.

    Anthology Student will download the PDF file for the batch. You then can open the PDF file to print the student activity statements for all students in the batch or for students of your choice.

    Print Labels

    1. Select the record in the batches list.
    2. Select the Print Labels button on the toolbar.

    Anthology Student will download the PDF file for the labels. You then can open the PDF file to print the labels if needed.
