Refunds/Stipends

You can use the Refunds/Stipends page to create and queue a batch that processes scheduled:

  • Refunds and stipends for students
  • Refunds for student subsidiaries

You can then use the page to review all the batches that have been processed.

You can also:

  • Add a New Payee
  • Print Check
  • Print Ledger
  • Delete Stipend
  • Delete Refund

Refund and stipend transactions are recorded on the student ledger. Subsidiary transactions are recorded on the subsidiary ledger. Refunds and stipends may be processed through the Automated Clearinghouse (ACH) if the campus is set up for ACH and the student elects Direct Deposit.

You can schedule and process the following refunds and stipends for campuses with no ACH processors or payment gateways configured.

  • ACH Refunds/ACH Subsidiary Refunds
  • Credit Card Refunds/Credit Card Subsidiary Refunds
  • ACH Stipends

This is in addition to the existing support for live and offline ACH and credit card refunds, subsidiary refunds, and ACH stipends.

Note: Anthology Student excludes the ACH/Credit Card refunds associated with transactions that have a Vendor Reference Number (VRN) to prevent you from unknowingly approving these refunds. If you approve these refunds, third-party vendors are prevented from selecting them for processing.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Student Accounts - Processes - Process Refund Stipend authorization

The refund must not be locked by another staff member. For more information, refer to Background for Refunds and Stipends. The refund also must not have a pending COD adjustment that has not been posted to the ledger card (You must post or cancel the adjustment before you can update it.)

If your institution has configured fund source security, you must be in the staff group that has permission to delete refunds/stipends for the fund source. The fund source must be active for the award year.

To access the New Payee button, you must select only one student record in the Results list.

To process scheduled refunds, stipends for a student, or batch, the student must not belong to a student group that is associated with a Refunds hold, Stipends hold, or Subsidiary Refund hold. You can view the holds for a student in the header of the Student Profile.

To use an additional payment gateway provider (any payment gateway provider other than PayPal or ACI), your institution must have selected Yes for Enable Additional Payment Gateway Provider for electronic processing?Closed Select Yes to enable an additional payment gateway provider (other than PayPal or ACI) for credit card processing. When you select this option, it permanently disables the following configuration and processes related to credit card and ACH processing in the legacy interface: • Admissions & Housing Deposits • Process Online Applicants under Admissions • Credit Card Processor configuration for single credit card payments on the Electronic Processing tab under Campus Locations • Payment Information for students – Credit Card related areas • Payment Information for Agency • Post FA disbursements (where you can post batch an agency payment using the credit card payment method) • Post Payments – through Ledger Card and Daily menu • Process Electronic Drafts • Refunds – through Ledger Card and Daily menu when it configured advanced features in the system settings for Anthology Student. (Select the Settings tile > locate System > select Advanced Features.)

Your institution must have set Yes to Enable Additional Usage of ACH and Credit Card Return Methods for Refunds and Stipends?Closed Indicates that you want to allow posting or scheduling of ACH and Credit Card refunds/stipends regardless of whether ACH or Credit Card processor is configured for the student’s campus. When this feature is enabled, SA Process Refunds/Stipends under Daily in the Legacy product is disabled. to schedule and process, ACH refunds/subsidiary refunds and credit card refunds/subsidiary refunds for campuses with no ACH processors or payment gateways configured, and directly post the ACH stipends to the student’s ledger card.

Access Method

Select the Processes tile > expand Student Accounts > select Refunds/Stipends.

Procedure to Create the Batch and Review Results

Process Tab

Use the Process tab to filter the data and queue the batch job.

  1. Specify the Selection Criteria to filter the records. The fields that are displayed vary depending on the selected criteria.

    CampusesClosed Select the campuses associated with the refunds/stipends that you would like to process.

    Due Date From and To Closed The date that the refunds or stipends are scheduled to be processed. This due date option is available only if the Record Selection option is set to Use Selected Criteria.

    Extract Global Refunds OnlyClosed Select this option to process only Global refunds. This option is available only if the Record Selection option is set to Use Selected Criteria.

    LenderClosed The name of the lender. Lenders are configured by your institution.

    Print ChecksClosed Indicate whether you want to print checks. Specify No if you want to post the refunds or stipends in Anthology Student and print the checks in some other system such as an Accounts Payable program. This option becomes available if you select Checks or Master Checks as a return method. All checks must pass validation before they are printed. An exception message is displayed for each check that is not validated.

    ProcessClosed Indicates the type of process. The types are Refunds, Stipends, and Subsidiary.

    Record SelectionClosed Specifies whether to view results for all or specific records, depending on the due date and lender information.

    Return MethodClosed Specify the Return Method to gather refunds/stipends that are scheduled with that return method. The available return methods are Checks, Master Checks, EFT, Net, ACH and Credit Card.

    Stipend SelectionClosed Indicate the types of stipend. The options are All Stipends, Manual Stipends, and Auto Stipend.

     

  2. Specify the values in Check and Posting Options to filter the list.

    Bank AccountClosed Select a bank account to be associated with the refunds/stipends to be processed. This field is populated with active bank accounts that are shared by the selected campuses.

    ReferenceClosed A reference value.

    Student ID to PrintClosed Select a Student ID to Print. The options are Enrollment Number, Student ID and None.

    Transaction DateClosed Specify the actual date the transaction occurred. This could be different from the current date.

  3. Select the Next button. Anthology Student processes the batch.

    If your institution uses a servicer and it has configured the campus to prevent users from modifying Title IV aid, the list does not contain refunds for Title IV fund sources.

  4. Review the values in the Results grid. Anthology Student, by default, selects the records that do not require validation.

    If the student belongs to a student group that is associated with a Refund hold, Stipend hold, or Subsidiary Refund hold, the student records for the students are disabled.

    Action DateClosed The value is only populated if the fund source is a Direct loan. Anthology Student calculates the date based on the date of the disbursement + 120 days.

    AmountClosed The amount in dollars.

    Award YearClosed The financial aid award year.

    CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    Credit Balance EvaluationClosed The type of credit balance calculation used to create the stipends. This field is populated only for auto stipends.

    Due DateClosed Refunds/Stipends due date.

    Fund SourceClosed The fund source associated with the refund/stipend record.

    Fund Source CodeClosed Abbreviation/code for the Fund Source.

    ID to PrintClosed Student ID to print.

    Locked By UserClosed The first and last name of the staff member who is working with the refund. There are several places to access refunds and stipends in Anthology Student. Multiple staff members might try to change one record at the same time. To prevent conflicts, Anthology Student locks the record being updated and displays a message to other staff members who try to access it. The lock is released when the other staff member closes their form. In some cases, you might need to contact a system administrator to clear a locked refund or stipend record.

    Overall BalanceClosed Total balance due after the payment was made.

    On HoldClosed Indicates whether the student's records (refund, subsidiary refund, stipend) are on hold. If the student is on hold: - For the refund or subsidiary process, if the return method is Check, Master Checks, EFT, or Net, the records in the results grid are disabled, and you cannot post a refund. If the return method is ACH or Credit Card, you can edit the records and post a refund. - For the stipend process, if the return method is Check, EFT, or Net, the records in the results grid are disabled, and you cannot post a stipend. If the return method is ACH, you can edit the records and post a stipend.

    PayeeClosed The payee of the refund/stipend.

    Payment PeriodClosed The payment period associated with the enrollment. Payment periods only apply to program versions configured with an academic year.

    ProcessClosed Indicates the type of process. The types are Refunds, Stipends, and Subsidiary.

    Process BalanceClosed Total process (refund/stipend/subsidiary) balance due to the student.

    Return MethodClosed The return method for the refund. The return methods are Check, Master Check, EFT, Net, and ACH. If the Schedule Refund option is selected, the return method will default to ACH if the campus is configured for an ACH processor for refunds, and the student has at least one checking or savings account configured for direct deposit. ACH is allowed only if the fund source is CASH. If Post Directly to Ledger is selected, the Return Method will always display Check.

    StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

    TermClosed The term associated with the refund/stipend record.

  5. Take the appropriate action.

    Task Action to Take
    Change a value You can change the values in the highlighted cells.
    Add the payee

    1.  Select only a single student record. Anthology Student enables the New Payee button.

    2.  Select the New Payee button. Anthology Student displays the related address dialog.

    3.  Specify the following values.

    Address TypeClosed The category of the Address. For example, Home, Vacation, Work, and so on. If billing address is selected as the Address Type, the address information is displayed in the student's ledger card on the Billing Address tab.

    CityClosed The name of the city.

    CountyClosed The county for the address.

    CountryClosed The country of residence. If you are specifying a country, it defaults to the country for the campus. The country also determines the format of phone numbers. If you change the country, the phone numbers are automatically reformatted to the format for that country.

    Email AddressClosed The email address.

    First NameClosed The first name of the student or person.

    Last NameClosed The last name of the student or person.

    Phone NumberClosed The phone number. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

    StateClosed If within the United States, the name of the state.

    StatusClosed The associated School Status on the student's enrollment.

    Street AddressClosed The street address. For student addresses, if an address has more than 40 characters, the additional characters in the address line will not be extracted to be sent to COD but will be truncated.

    TitleClosed The title for the person.

    Work Phone NumberClosed The work telephone number for the student, staff, or person. The format will depend on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens). When a student is placed in a job using student placement, the program automatically updates the number with the phone number for the employer. If it applies, the extension is also updated.

    ZIP Code/Postal CodeClosed The postal code for the address. If you are specifying an address, you must specify a value for City or State. If you specify a city or state or both, the list contains the valid ZIP codes.

    4.  Select the Save button.

    Anthology Student adds the payee and their information to the Related Address list for the student. (Select the Students tile > select the name in the Students list > expand Contact Manager > select the Related Addresses tile.)

    Update the payee

    1.  Select the student record.

    2.  In the Payee column, select the payee from the drop-down menu.

    3.  Select the payee.

    Print Check

    1.  Select the Print Checks button. Anthology Student displays the print checks dialog.

    2.  Specify the following values.

    Check DateClosed The date when the check was issued.

    Check TypeClosed The kind of check you wish to issue.

    Include Campus on ChecksClosed Specify whether to include campus name and details on the checks.

    Print Check Number on ChecksClosed Specify whether to print check numbers on the checks.

    ReferenceClosed A reference value.

    Reference on ChecksClosed Select to display the Reference details on the check.

    Reference on StubsClosed Select to display the Reference details on the check stub.

    Starting Check NumberClosed Specify the starting check number for the refund/stipend checks. The check number is incremented by 1 for each of the refund/stipend record processed. If Anthology Student is integrated with Great Plains and the bank account selected is set up to use Great Plains Checkbook, the starting check number is next available check number from the checkbook and the field is not editable.

    3.  Select the Print button. Anthology Student displays the preview of the check dialog.

    4.  Review the following values.

    Award YearClosed The financial aid award year.

    Check AmountClosed The amount specified in the check.

    Fund Source/AmountClosed Specifies the fund source code and the amount to be paid.

    Loan IDClosed The ID assigned to the loan by COD.

    StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student IDClosed The ID assigned to the student in the Anthology Student database. While your institution can assign student numbers in a format that they choose, this ID is associated with a student in the database. It is displayed at the end of the URL when you are working with a student in the Student Web App and can also be used to search and locate students.

    Total AmountClosed The total amount the student received from the fund source.

    5.  Select the Close button. Anthology Student displays the dialog to confirm whether the check was printed correctly.

    6.  Select the Yes button.

    Print Ledger

    1.  Select the Print Ledger button. Anthology Student displays the stipend/refund check register dialog.

    2.  Review the following values.

    Amount PaidClosed Amount paid.

    Check DateClosed The date when the check was issued.

    Check #Closed The check number used for the payment. This is displayed only if you select Check as the Payment Method.

    Payable ToClosed The payee of the refund/stipend.

    StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

    3.  Select the Close button.

    Delete Stipend

    1.  Select the stipend record.

    2.  Select the Delete Stipend button. Anthology Student displays the dialog to confirm the deletion of stipend records.

    3.  Select the Delete button.

    Delete Refund

    1.  Select only a single refund record. Anthology Student enables the Delete Refund button for only a single record.

    2.  Select the Delete Refund button. Anthology Student displays the dialog to confirm the deletion of refund records.

    3.  Select the Delete button.

  6. Carefully review the records you have selected for the batch before you submit the batch.

    If needed, you can cancel batches that are being processed from the History tab. For example, you can cancel a batch that has not started or a batch that has started but is hung and is not completing.

    For batches that process items or students in records, review the records carefully before submitting the batch. When you cancel a batch during processing, the changes already made by the batch are not rolled back. For example, if there are 20 students or items in the batch and Anthology Student has processed 2 of them, the actions for the 2 students or items are not reversed.

  7. Select the Queue Post button. Review or change the name of the batch and select the Queue button.

    Note: When posting refunds for Title IV funds that involve records to be reported to COD, Anthology Student does not allow posting refunds if there are any Disbursements at COD records (D - Disbursement, A - Adjustment, or Q – Disbursement Date Adjustment) that are in R (Ready to Send) or B (Batch to Send) status for the specific disbursement number that is being refunded. The system displays the following validation message when refunds cannot be posted due to existing Disbursements at COD records: “The refund cannot be posted because there are pending adjustments that have not been sent or processed by COD.

Anthology Student processes the batch and updates the refund, stipend, or subsidiary.

When the batch completes, Anthology Student displays the results on the History tab.

History Tab

For batches that you created to process refunds/stipends, you can use the History tab to review the status of all the batches, review the results of specific batches, and manage the batches.

Batches on this tab are available for 28 days by default. Anthology Student removes them after 28 days. If you need to keep the information for a batch, use the Export (Export button) button on the toolbar.

  1. Review the values in the Batches grid.

    NameClosed The descriptive name of the item.

    DurationClosed The amount of time it took to process the job or batch.

    StartedClosed The date and time when the first job within the batch started executing.

    StatusClosed A status of Preparing indicates that the jobs in the batch are still being created or are waiting on the system resources required to create them. Started indicates that the batch has been started. (At least one job in the batch is Enqueued, Processing, Succeeded, or Deleted.) Succeeded indicates all jobs in the batch have been executed, and ALL job statuses are Succeeded. Completed indicates all jobs in the batch have been executed, some jobs may be in the Succeeded status, but at least one of the jobs is in Deleted status. Awaiting indicates the batch is awaiting the completion of a dependent job or batch. Deleted indicates that the batch has been canceled.

    Submitted ByClosed The name of the staff member who submitted the batch for processing.

  2. Select the name of the batch in the list. Anthology Student displays the details for the job in the Results grid.

  3. Review the values in the Results grid.

    AmountClosed The amount in dollars.

    Award YearClosed The financial aid award year.

    CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    Due DateClosed Refunds/Stipends due date.

    Fund SourceClosed The fund source associated with the refund/stipend record.

    Job CreatedClosed The date and time when the job was added to the background job queue.

    Job StartedClosed The date and time when the job was pulled from the queue and started executing. The start time for a job will be the same time or later than the start time for the batch.

    Job StatusClosed The status of the job. Enqueued indicates the job is in the queue waiting to be executed. Scheduled indicates the job is scheduled to run at a future time. Processing indicates the job is running. Succeeded indicates the job was completed with no errors. Deleted indicates the job was completed with errors.

    Overall BalanceClosed Total balance due after the payment was made.

    PayeeClosed The payee of the refund/stipend.

    Payment PeriodClosed The payment period associated with the enrollment. Payment periods only apply to program versions configured with an academic year.

    ResultsClosed Indicates whether a refund/stipend record has been successfully processed and displays the status as Succeeded or Failed accordingly. - For all refunds/stipend records with return method that are not Credit Card or ACH as well as Credit Card and ACH refunds/stipends that are associated with campuses with no credit card or ACH processors configured, these records are posted to directly to the ledger card. - For Credit Card and ACH refunds/stipends that are associated with campuses that have credit card or ACH processors configured, a successful result indicates that the refunds/stipends are not approved and ready to be processed through the Process Electronic Drafts process.

    Return MethodClosed The return method for the refund. The return methods are Check, Master Check, EFT, Net, and ACH. If the Schedule Refund option is selected, the return method will default to ACH if the campus is configured for an ACH processor for refunds, and the student has at least one checking or savings account configured for direct deposit. ACH is allowed only if the fund source is CASH. If Post Directly to Ledger is selected, the Return Method will always display Check.
