Add or Edit Faculty Contract Assignment & eSignature

You can use the Faculty Contract Assignment & eSignature page to add or edit the faculty contract assignment & eSignature.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Faculty Workload - Processes - Faculty Contract Assignment and eSignature - Manage authorization

Your institution must have configured:

  • Staff Position Assignments page (Select the Configuration tile > locate Faculty Workload > select Staff Position Assignments.)

  • Faculty Contract Templates page (Select the Configuration tile > locate Faculty Workload > select Faculty Contract Templates.)

If you want to:

  • Approve the faculty contract, you must Generate the contract

  • Enable Generate Contract button, the Status of the contract must be in Draft, Draft in Review, Contract in Review, or Cancelled status

  • Enable Download Contract button, the Status of the contract must not be in Draft status

  • Enable Review Contract button, the Status of the contract must be in Rejected by Faculty status

The assignment must have a value of Passed for Load Validation StatusClosed The status of load validation. Not Validated indicates it has not been validated yet. Passed indicates it meets the requirements of the policy. Failed indicates it did not meet the requirements of the policy. If Failed is displayed, you can select the link to display a dialog that lists failed policy lines along with the reason why they failed..

Access Method

Select the Processes tile > locate Faculty Workload > select Faculty Contract Assignment & eSignature.

Procedure to Add or Edit Items

  1. If you want to:

    • Add a new list item, select the New button on the toolbar

      Specify or change the following values.

      Contract TemplateClosed Indicates the contract template.

      Created ByClosed The last and first name of the staff member or process that added or created the item.

      Date AddedClosed The date when the item or person was added or the status change was entered.

      Employee NumberClosed If your institution assigns numbers to employees, the number for the staff member.

      PositionClosed The position for the staff member. Positions are configured by your institution. The position must have a single staff assignment for any given duration.

      Position End DateClosed The last date that the selected staff position assignment is effective or can be used.

      Position Start DateClosed The first day that the selected staff position assignment is effective or can be used.

      StaffClosed The last name and first name of the staff member.

      TermsClosed Indicates the terms for which the assignment is assigned. Anthology Student displays or allows you to multi-select only those terms that have valid Teaching and Non-Teaching assignments with the Load Validation status as passed.

    • Edit an existing list item, select the name in the list

      Specify or change the following values.

      Contract TemplateClosed Indicates the contract template.

      PositionClosed The position for the staff member. Positions are configured by your institution. The position must have a single staff assignment for any given duration.

      TermsClosed Indicates the terms for which the assignment is assigned. Anthology Student displays or allows you to multi-select only those terms that have valid Teaching and Non-Teaching assignments with the Load Validation status as passed.

  2. Select the Save button. Anthology Student saves the Faculty Contract Assignment & eSignature.

  3. Take the appropriate action.

    Task Actions to Take Action From Anthology Student
    Generate contract Select the Generate Contract button.

    Displays a message indicating that the contract has been generated successfully

    Updates StatusClosed The status of contracts. The statuses are: In Draft - contract can be edited and associated to faculty, Generated - contract has been generated for review, Pending approval - contract has been sent and waiting for approval, Approved - contract has been approved by approver, Draft in Review - contract has been sent back by approver with review modifications, Sent to faculty - contract has been sent to faculty for review, Accepted by faculty - contract has been accepted by faculty, Cancelled - contract has been cancelled, Rejected by faculty - contract has been rejected by faculty, Contract in review - rejected contract in review, Error During Generation - contract failed to generate or merge. as Generated

    Disables all the fields except Contract TemplateClosed Indicates the contract template.

    Download contract Select the Download Contract button.

    Downloads the contract with the originally associated template

    Review contract Select the Review Contract button.

    Displays a message indicating that the contract has been reopened successfully

    Disables all the fields except Contract TemplateClosed Indicates the contract template.

    Updates StatusClosed The status of contracts. The statuses are: In Draft - contract can be edited and associated to faculty, Generated - contract has been generated for review, Pending approval - contract has been sent and waiting for approval, Approved - contract has been approved by approver, Draft in Review - contract has been sent back by approver with review modifications, Sent to faculty - contract has been sent to faculty for review, Accepted by faculty - contract has been accepted by faculty, Cancelled - contract has been cancelled, Rejected by faculty - contract has been rejected by faculty, Contract in review - rejected contract in review, Error During Generation - contract failed to generate or merge. as Contract in review

    Updates Contract ReopenedClosed Indicates whether a contract that was rejected by a faculty member has been re-opened to associate a new template with a faculty member or generate a new contract for a faculty member. as Yes

    Once Anthology Student generates the contract, the assignments are grouped and listed as non-teaching and teaching activities in the contract.
  4. To save and: 

    Task Actions to Take Action in Anthology Student Dialog
    Continue making changes Select the Save button.

    If you want to: 

    • Save the contract and edit it later, select the Save button

    • Save, approve the contract, and update the Status to Approved, select the Save & Approve button

    • Return to the detail screen to continue with edits, select the Cancel button

    Continue to add another item to the list Select the Save & New button.
    Close Select the Save & Close button.
  5. To save and: 

    • Continue making changes, select the Save button

    • Update the Status to Approved, select the Save & Approve button

    • Continue to add another item to the list, select the Save & New button

    • Close, select the Save & Close button

Implication for Faculty Contracts

If you:

  • Update Contract TemplateClosed Indicates the contract template. of the Generated contract, the StatusClosed The status of contracts. The statuses are: In Draft - contract can be edited and associated to faculty, Generated - contract has been generated for review, Pending approval - contract has been sent and waiting for approval, Approved - contract has been approved by approver, Draft in Review - contract has been sent back by approver with review modifications, Sent to faculty - contract has been sent to faculty for review, Accepted by faculty - contract has been accepted by faculty, Cancelled - contract has been cancelled, Rejected by faculty - contract has been rejected by faculty, Contract in review - rejected contract in review, Error During Generation - contract failed to generate or merge. is reset to Draft and the contract file will be deleted as it has been re-associated with a new contract template

  • Save & Approve a contract, Anthology Student disables the Generate Contract button and all the fields
