Reset Assignment Statuses

You can use the Assignment Manager page to reset the assignment status for:

  • Load Validation Status to Not Validated
  • Pay Generation Status to Not Generated
  • Overall Status to Draft
  • Assigned Load Values
  • Policy Results
  • Earning Code
  • Rate Association

The Reset Assignment Status action also clears any values that were a result of load validation or pay generation (such as deleting the earning lines).

When the Advanced Feature flag Enable Load BankingClosed The Advanced Feature flag "Enable Load Banking" can be set to Yes to allow an institution to bank loads for full-time faculty members for later applications. Load banking is not used for adjunct (part-time) faculty members. The load banking feature includes the FTE Bank Load Limit configuration functionality and any related database tables. Once the feature flag is enabled, it remains enabled permanently. is set to Yes (refer to Advanced Features), the assignment actions Delete, Reset Assignment Statuses, and Return to Draft will remove the banked loads from the bank.

If Anthology Student is integrated with an external human resources (HR) and payroll system (for example, Anthology Finance & HCM or any third-party HR and payroll application), you must use Anthology Student to manage the items (such as generating or exporting earning lines, and so on). 

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Faculty Workload - Processes - Assignment Manager - View and Manage authorization

To integrate with an external payroll system, your institution must have configured Yes under SettingsFaculty WorkloadGeneral for the feature: Export Payroll Earning Lines from FWMClosed Select whether you want to export payroll earning lines to the Azure Service Bus (ASB). If Yes, it will be sent to the ASB. If No, it will be exported as a file.

The option to reset statuses for an assignment depends on the following information:

Select the Processes tile > locate Faculty Workload > select Assignment Manager.

Procedure to Reset the Assignment Statuses

  1. Select the assignment record.

  2. Select the Assignment Actions menu option Reset Assignment Statuses. Anthology Student displays the confirmation dialog.

    • If Enable Load Banking is set to No, the dialog message is:

      For the selected assignments, the Load Validation status will reset to Not Validated, Pay Generation status will reset to Not Generated, Overall Status will reset to Draft; Assigned Load Values, Policy Results, Earning Code, Rate Association, and the associated Earning lines will be cleared. Do you want to reset?

    • If Enable Load Banking is set to Yes, the dialog message is:

      For the selected assignments, the Load Validation Status will be reset to Not Validated, Banked Loads will be removed from the bank, Pay Generation status will reset to Not Generated, Overall Status will reset to Draft; Assigned Load Values, Policy Results, Earning Code, Rate Association and the associated Earning Lines will be cleared. Do you want to reset?

      Further conditions for the reset action when load banking is enabled:

      1. When an original assignment is validated and has created a banked load, the assignment status can be reset. This removes the load from the bank as the assignment is no longer validated. Bank balances reflect this change.

        If pay has been generated on the original assignment that has a banked load, it can still be reset, and the pay generation will be reset as well.

      2. When the banked load is confirmed or exported, you can no longer reset the assignment. The system displays the message:

        You are attempting to reset an assignment with banked loads where pay has been confirmed or exported. You must address confirmed or exported pay within the bank before resetting the assignment here."

      3. When an assignment is created from the bank, reset is not allowed. The system displays the message:

        "Assignments created from banked loads cannot be reset."

        You can delete the assignment and return the load to the bank to address any issues in the amount that needs to be edited for the new assignment and re-validate the assignment from that process.

  3. In the dialog, select the Reset button.

    Anthology Student changes the value for Overall StatusClosed Indicates the overall status of the assignment. The values are Draft and Finalized. For example, if your institution requires the load validated and earning lines to be exported, Finalized indicates the assignment is final. to Draft and the values for: 

    • Load Validation Status to Not Validated

    • Pay Generation to Not Generated

  4. Anthology Student also clears any values that were a result of load validation or pay generation (such as deleting the earning lines).

Implications of Selecting Reset Assignment Statuses

If you select an assignment record that has earning lines with Success Status and then choose Reset Assignment Statuses, Anthology Student communicates to the external payroll system to cancel the earning lines. Based on the acknowledgment received from the external payroll system, it updates the Integration Status in the Outbound Payroll Integration Log under Processes Faculty WorkloadOutbound Payroll Integration Log.

If you reset assignment statuses for records with banked loads, the banked loads will be removed from the bank.

Reset is not allowed if an assignment is created from the bank. You can delete the assignment and return the load to the bank to address any issues in the amount that needs to be edited.
