Import Test Scores

You can use the Import Test Scores page to create a batch to import test score files to Anthology Student. The test file must be a flat file with the current file layout provided by the official testing centers. Once the test files are imported to Anthology Student, the system will archive the file name by renaming the file with a ".imp" file extension.

Anthology does not support yearly updates for the admissions test, including SAT, ACT, CAAP. The ability to modify current file layouts for yearly updates is no longer supported. Institutions are responsible for tracking changes to these tests and updating them in the Anthology Student database.

Use the Process tab to create and queue a batch to import test files. Anthology Student tries to match test scores in the file to students and add the test scores during the process.

Anthology Student can also create Student Profiles for students that do not match the Anthology Student database. For this, your institution must have configured the required prerequisites.

Use the History tab to review the status of all the batches, review the results of specific batches, and manage the batches.

Prerequisites

You must have:

  • Common - Processes - View authorization

  • Admissions - Processes - Import Test Scores - Queue authorization

To view the Student Profile and scores in the Test list, you must have:

  • Common - Student - View authorization
  • Admissions - Test Scores - View authorization

Your institution must have configured:

  • Layout for the type of test score file you are importing (Select the Configuration tile > locate Admissions > select Test File Layouts > select the New button and specify the general information or select an existing test file layout in the list > select Layout Type tab.)
  • Test File Matching Criteria settings (Select the Settings tile > locate Admissions > select Test File Matching Criteria.)

For Anthology Student to automatically create a Student Profile and add the scores to the Test list:

  • Your institution must have selected Yes for Tests - Create Prospect from TestClosed If you select Yes, the Import Test Scores process creates new prospects for unmatched records. If you select No (default), the unmatched records will be left unmatched. in General page (Select the Settings tile > expand System > select General.).
  • You must have Common - Student - New authorization.

  • If Anthology Student is integrated with CampusNexus CRM, your institution must have selected to allow a new student entry from Anthology Student.

Your institution must have configured the following default values for the campus group to create the Student Profile.

  • Campus
  • Prospect source
  • Prospect type
  • Admissions representative

For example, if the prospect source is not configured for the campus, Anthology Student does not create the Student Profile.

Access Method

Select the Processes tile > locate Admissions > select Import Test Scores.

Procedure to Create and Queue the Batch

  1. Select the Process tab.

  2. Specify the values under Selection Criteria to filter the list.

    Layout TypeClosed Specifies the type of test file to import. File To ImportClosed Select the test file from the drive location.
  3. Select the Queue Import button.

  4. In the Queue Batch dialog, review or change the name of the batch and select the Queue button.

Anthology Student processes the batch and

  • Matches test scores to students

  • Adds the matched test scores to the Tests list for a student displayed when you select All Program Versions for their program version in the header of the Student Profile. (Select the Students tile > select the name in the Students list > expand Admissions > select the Test Scores tile.)

Anthology Student creates test scores on the Student Profile that match the configured test file matching criteria.

You can review matched and unmatched tests scores and resolve the unmatched test scores on the Match Test Scores page. Refer to Match Test Scores

When the batch completes, Anthology Student displays the results on the History tab so that you can review the results and verify that the test scores were imported.

Procedure to Review Results

  1. Select the History tab.

    Batches on this tab are available for 28 days by default. Anthology Student removes them after 28 days. If you need to keep the information for a batch, use the Export (Export button) button on the toolbar.

  2. Review the status and values for the batches in the list.

    Batch TypeClosed When displayed, the Batch Type contains the internal name of the process used by the background system to process the job.

    CanceledClosed Shows the date and time when the batch was canceled. Blank if the batch was not canceled.

    Date AddedClosed The date when the item or person was added or the status change was entered.

    DurationClosed The amount of time it took to process the job or batch.

    Last RetryClosed The date and time a try was done to process the batch job.

    NameClosed The descriptive name of the item.

    StartedClosed The date and time when the first job within the batch started executing.

    StatusClosed A status of Preparing indicates that the jobs in the batch are still being created or are waiting on the system resources required to create them. Started indicates that the batch has been started. (At least one job in the batch is Enqueued, Processing, Succeeded, or Deleted.) Succeeded indicates all jobs in the batch have been executed and ALL job states are Succeeded. Completed indicates all jobs in the batch have been executed and some jobs may be in Succeeded state, but at least one of the jobs is in Deleted state. Awaiting indicates the batch is awaiting the completion of a dependent job or batch. Deleted indicates that the batch has been canceled.

    Submitted ByClosed The name of the staff member who submitted the batch for processing.

  3. Select the name of the batch in the list. Anthology Student displays the details for the job in the Job Results list.

  4. Review the values in the list.

    Job Created Closed The date and time when the job was added to the background job queue.

    Job Started Closed The date and time when the job was pulled from the queue and started executing. The start time for a job will be the same time or later than the start time for the batch.

    Job Status Closed The status of the job. Enqueued indicates the job is in the queue waiting to be executed. Scheduled indicates the job is scheduled to run at a future time. Processing indicates the job is running. Succeeded indicates the job was completed with no errors. Deleted indicates the job was completed with errors.

    ResultClosed Indicates the result of the processing for the student or item in the job. If they were successfully processed, it displays Matched. Otherwise, it displays the reason why it was not processed.

    StudentClosed The last and first name of the student. In some lists, the name of the student is highlighted. If it is highlighted, you can select the link and it will display the Student Profile or a page available from the profile (such as their Documents list in Contact Manager). To display the Student Profile, you must have Common - Student - View authorization. If the link takes you to a page available from the profile, you must have authorization for that page. For example, if it displays the Documents list, you must have Contact Manager - Student Document - View authorization.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.
