Customize the Header for Student Profiles

You can customize the header for Student Profiles to access student information that you need to view regularly. For example, you can add the property for the student: 

  • Status
  • Campus
  • Enrollment status
  • Billing method

You can also include additional student information so that you do not have to navigate to other pages across multiple tiles, such as: 

  • Credits attempted and earned
  • SPE start
  • Career Services advisor
  • SAP status

For example, you can add the: 

  • Career Services Advisor property to show the Career Services advisor assigned to a student without having to navigate to Career Services > Advisor & Preferences tile

  • SAP property to check the SAP Status without having to navigate to Financial Aid > SAP Summary tile

The header also contains indicators. For example, Anthology Student displays: 

  • The Shows the F (FERPA) icon in the header of the Student Profile. for students who have the FERPA Indicator selected  

  • The Shows the star that indicates a veteran. for students who are veterans

Anthology Student displays some of the indicators:

  • By default and they cannot be removed (such as the Shows the F (FERPA) icon in the header of the Student Profile. )

  • Only if you select the property (such as the Shows the star that indicates a veteran. for the Veteran property) 

Prerequisites

You must have:

  • Common - Student - View authorization

  • Core - Configurable Student Header - Edit authorization

To customize the header, you must have the following general permission.

Enable User ToolbarClosed Select the check box if you want staff members to be able to customize their toolbar.

Your institution configures whether the full, the last 4 digits, or none of the Social Security Number (SSN) is displayed on the Student Profile and whether or not the SSN can be edited. (The last 4 digits are read-only.)

If you are responsible for managing security or the visibility of SSNs, refer to Manage Security > Control Access to Data in Fields in the Administration and Configuration Help for the version of the product at help.anthology.com .

Access Method

Select the Students tile > select the name in the Students list.

Procedure to Customize Header Properties

  1. Select the New Student or New Alumnus button or the name of the student. Anthology Student displays the Student Profile in the working area.
  2. Select the customize header icon Settings icon. Anthology Student displays the Customize Header Properties dialog box.

  3. If you want to: 

    • Add a property, drag and drop the property from Available PropertiesClosed Displays the list of student properties that you can add. to Selected PropertiesClosed The list of student properties that you have selected to display., or select a property in Available Properties and select the arrow TRansfer To icon

    • Add all the properties to Selected Properties, select the double arrow icon pointing towards right From arrow icon

    Options Available Description
    Indicators

    If you want the: 

    • Athletic indicator (Athletic Indicator), select Athletic. Anthology Student displays the indicator when a records is added using Student Services > Athletics from the Student Profile and a record is added with an Athletic Status is selected that is configured with Yes for Consider as Active Athlete.

    • Veteran's indicator (Shows the star that indicates a veteran.), select Veteran. Anthology Student displays the indicator when you select the Add as Veteran button displayed when you access Student Services > Veteran from the Student Profile, select the Veteran property

    • International indicator (Shows the International indicator. ), select Non-Immigrant Student. Anthology Student displays the indicator when the Non-Immigrant Student check box is selected on the Student Profile.

    Properties

    A/R Balance Closed The Accounts Receivable Balance included in Anthology Finance & HCM.

    Academic Advisor Closed Name of the student's academic advisor.

    Account StatusClosed The account statuses that apply to the student.

    Admissions AdvisorClosed Name of the student's admission advisor.

    Admissions RepresentativeClosed The Admissions Representative for the student. If a staff member is removed from an Admissions Representative group after having been assigned to a student, Anthology Student retains the name of the former representative on the student record.

    Admissions Representative (Code)Closed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    Agency SponsorClosed The agency or sponsor that the student is associated with. If you want to add additional agencies or specify specific branches of the agencies, use the Agency Affiliations tile (Select the Students tile > select the student name in the list > expand Contact Manager).

    Alumni AdvisorClosed Name of the student's alumni advisor.

    Areas of StudyClosed The various areas such as Major, Minor, or Concentration that the students have taken to complete their degree. The areas of study are configured by your institution.

    Areas of Study (Code)Closed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    Automated Process AdvisorClosed Name of the automated process advisor for the student.

    Billing MethodClosed The method used to bill for the student. For example, monthly, term, course, and so on. They are configured by your institution.

    Book Store AdvisorClosed Name of the student's book store advisor.

    CampusClosed The campus or campuses to which a person or item is assigned. It is filtered to display the campuses to which you have access. In some cases, it is also used to filter a list to only those items for the campus. In some lists, you can select more than one campus or select All. In lists that display columns, if the column contains more than one campus, you cannot sort or filter on that column.

    Campus(Code)Closed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    Career Services AdvisorClosed First and then last of the Career Services Advisor for the student. By default the list is sorted by first name.

    Collection Status Closed The collections status. More than one statuses can be selected.

    College Grad YearClosed The year that the student graduated.

    Contact Manager AdvisorClosed Name of the contact manager advisor.

    Credits AttemptedClosed The total credits the student attempted on the transcript from the previous institution.

    Current LDAClosed The student's last date of attendance.

    Date of BirthClosed The date of birth (DOB) in the format MM/DD/YYYY.

    Determination DateClosed The date when the student dropped the enrollment.

    DisabledClosed Disability status of the student. When you are adding the Student Profile, Unspecified is the default.

    Enrollment Cumulative GPAClosed The cumulative grade point average (GPA) for the benchmark. The cumulated GPA for an enrollment is calculated from the time the student entered the institution under that enrollment. The Cumulative GPA column includes all courses taken that are selected to be included in the GPA calculation. In the case of a cumulative GPA displayed on a term, it consists of all the courses taken up to and within the terms that are also selected to be included in the GPA calculation. The current GPA is made up of only the courses that occurred in that term.

    Enrollment DateClosed The actual date when the student enrolled in the program version.

    Enrollment Expected Start DateClosed The date the student is expected to start the enrollment at your institution. This date will automatically be updated when a change is made to the student’s enrollment Expected Start Date or a new enrollment record is added to the student’s record. If the student has multiple enrollments, it is the date the student is expected to start the most current enrollment with the status in the highest status category in the hierarchy.

    Enrollment StatusClosed The enrollment status included in the student's Enrollment record. For example, Full Time or Half Time. If a student is a lead or an applicant, it is blank.

    Expected Graduation Date Closed The expected graduation date for the student at your institution.

    Externship Start DateClosed The start date of the training or externship.

    FA Enrollment StatusClosed The FA Enrollment Status is based on the FA Credits Per Term and the Full Time Minimum, Half Time Minimum, 3/4 Time Minimum, and Less Than Half Time Minimum configured on the program version. This item is displayed only if the Advanced Feature "Enable FA Credits for Enrollment Status and Enrollment Intensity" is enabled.

    Financial Aid AdvisorClosed The last and then first name of the Financial Aid Advisor. Your institution can configure Anthology Student so that a Financial Aid Advisor is selected during enrollment. To edit this field, you must be in a staff group that is allowed to edit advisors for Contact Manager.

    High School Grad YearClosed The years must be shown in ascending order by name within the High School Graduation Year field.

    Hours Earned Closed The total hours earned by the student for the course.

    Housing AdvisorClosed Name of the student's housing advisor.

    In-School Placement StatusClosed The in-school placement status of the student.

    International AdvisorClosed The advisor assigned to the international student. This value is enabled only if the student is enrolled in a program version.

    Last Four Social Security NumberClosed The last four digits of the Social Security Number (SSN). You must be authorized to work with SSNs.

    NicknameClosed If the student has a substitute for their proper name, the name.

    Organization Liaison AdvisorClosed Name of the student's organization liaison advisor.

    Original Student Expected Start Date Closed This is the original student expected start date at the time of enrollment. The date is determined at the time of the student's first enrollment. This date is frozen.

    Packaging StatusClosed The packaging status. The statuses are configured by your institution.

    Placement StatusClosed The placement status of the student.

    Preferred NameClosed The preferred name of the student, prospect, or alumnus. The preferred name is stored in the SyStudent table in the database. The Advanced Search tool provides the option to search by preferred name if the staff member has the specialized permission “Allow User to Customize Search Form". The header of the student, prospect, or alumnus profiles can be customized to display the Preferred Name. The Preferred Name option can also be selected in the Student Name field of the Class Roster by Course and Class Roster by Instructor reports under Academic Records.

    Program VersionClosed The program version associated with the student or item.

    Program Version (Code)Closed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    PronounsClosed The pronouns associated with the student.

    Prospect DateClosed The date when the prospective student contacted the institution.

    Prospect SourceClosed The source of the prospect specified on the Student Profile or inquiry. The values are configured by your institution and they indicate how a student heard about your institution. If you are specifying the value, the program displays a dialog that you can use to select more than one prospect source, vendor, or sub vendors.

    Prospect Source (Code)Closed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    Prospect Type Closed The type of prospect. The values are configured by your institution. They are categories that classify your prospects according to any grouping your institution might find useful. For example, you can classify prospect sources into groups to analyze market effectiveness and determine the category of prospect sources that generates most prospects.

    Prospect Type (Code)Closed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    Remaining Credits for GraduationClosed The number of credits that still must be completed for the student to graduate from the program version.

    SAPClosed The student's academic progress. If it is a check box and it is selected, indicates that a student meets SAP. If the check box is not selected, it indicates that the student was not evaluated or that they do not meet SAP. If you have permission and you want to change the status, select the check box.

    ShiftClosed The shift during which the student will attend classes (such as days or evenings). Shifts are configured by your institution.

    Shift (Code)Closed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    Social Security NumberClosed The person's Social Security Number (SSN). You must be authorized to work with SSNs.

    SPE Progression Credits/HoursClosed Indicates that the Course is included in the student pace evaluation process. Values that will be displayed are Yes (Y) or No (N). This column is applicable only for non-term programs (Academic Calendars 5 and 6) and is displayed when Enabled is configured for the Allow courses to be exempt from progression setting.

    SPE Reduction Credits/HoursClosed Indicates the transfer credits that are accepted prior to the version start date.

    SPE StartClosed The Program Version start date. If its blank then it is set by the Expected Program Version Start date.

    Student Accounts AdvisorClosed Name of the student's account advisor.

    Student NumberClosed If your institution assigns student numbers, the number your institution uses to identify the student. How the number is assigned is specified by your institution. For example, Anthology Student can be configured to assign the number, or your institution can use another method to assign it.

    Student Services AdvisorClosed Name of the student's services advisor.

    Student StatusClosed Displays the status of the prospect or student at your institution. Statuses vary by institution. They are configured by your institution. If you want to view the school status of the student, you can use this Student Status in the Customize Header Properties.

    Student Status (Code)Closed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

    System AdvisorClosed Name of the student's system advisor.

    Time Zone Closed A region that observes a uniform standard time for legal, commercial, and social purposes.

    Total Attended HoursClosed The total number of hours attended by the student.

    Total Scheduled HoursClosed The total number of hours scheduled to be attended by the student.

    Transfer CreditsClosed The number of approved transfer credits applied to the program version.

    Version Start Date (Transaction Adjustment)Closed The start date of the program version for the campus that the student is enrolling in.

    ZoneClosed If zones are configured for your institution, the zone. Zones are calculated using the direct line distance between the ZIP code of each campus and the ZIP code of the student's address. Your institution can also configure options specific to a foreign country (outside of the ZIP code system).

  1. Select Save to save the changes.

Anthology Student moves the properties back to Available Properties and appends them to the end of the list. Once you save and access the dialog again , Anthology Student alphabetizes the list so that the properties are back in alphabetical order.

Reset the Selected Properties list to the default properties Select the Reset button.

Details About How Anthology Student Determines the Expected Start Date to Use

The expected start date for the highest status, most current enrollment. If the student has:

  • Only one enrollment, Anthology Student displays the date from the one enrollment.

  • Multiple enrollments with different dates, Anthology Student displays the date for the enrollment with the status in the highest status category in the hierarchy. For example, if two enrollments have the same date and one enrollment has a status in the status category Attending and the other enrollment has a status in the status category Future Start, Anthology Student displays the date for Attending.

  • Multiple enrollments with the same status, Anthology Student displays the date for the most current enrollment. For example, if the student has two enrollments with a status in the status category of Attending, Anthology Studentdisplays the date for the most current enrollment.

Details About Total Scheduled Hours

Total Scheduled Hours displays the total number of hours scheduled to be attended by the student. It includes both scheduled and current courses.

For example, the student is registered in the 2022 Fall term for 5 credits and 50 hours. Anthology Student uses the following calculation.

Total Scheduled Hours in the Header of the Student Profile

56.66 hours (56 hours and 40 minutes) 

When a student is enrolled and registered, the system calculates the total scheduled hours based on the scheduled period for the registered courses. If the student attends and completes those courses but doesn’t register for an upcoming term, the total scheduled hours do not update until the student registers for an upcoming term.
