Add an Institution and Institution Course

You can use the Transfer Credits page to add a new institution, such as a college/high school, and a new institution course that can be selected for both basic or advanced transfer credits.

Prerequisites

You must have Common - Student - View authorization

To add and edit records, you must have Academics - Student Transfer Credit - New and Edit authorization.

To add items to institution and course lists, you must have Admissions - Configuration - Manage authorization.

Based on your institution setting for Allow Advanced Transfer CreditsClosed Select Yes to use the new feature in 21.2 that lets you configure Advanced Transfer Credits. When selected, you can configure more complex Transfer Types such as one-to-one, one-to-many, many-to-one, and many-to-many transfers. Select No if you only want to use the existing options of transfer credits. (Select the Settings tile > expand System > select Advanced Features.), Anthology Student displays the configuration to add a new institution and new institution course.

Access Method

Select the Students tile > select the name in the Students list > expand Academic Records > select the Transfer Credits tile.

Procedure to Add an Institution

  1. If you want to: 

    • Add a basic transfer credit, select the + icon next to Institution. Anthology Student displays the dialog box to based on the value selected for Transfer TypeClosed The type of transfer credit. The types of transfer credits are configured by your institution..

    • Add an advanced transfer credit, select the New Institution button. Anthology Student displays the dialog based on the value selected for Institute TypeClosed The type of the institution. The options are college or high school. .

  2. Take the appropriate action depending on the type of institution:

    For a College:

    1. Specify the following values.

      ActiveClosed Specifies whether the associated record is active.

      CityClosed The name of the city.

      CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

      CountryClosed The country of residence. If you are specifying a country, it defaults to the country for the campus. The country also determines the format of phone numbers. If you change the country, the phone numbers are automatically reformatted to the format for that country.

      Fax NumberClosed The number where a facsimile (fax) can be received.

      NameClosed The descriptive name of the item.

      NoteClosed Area that displays, or that you can use, to specify comments or additional information.

      Phone NumberClosed The phone number. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

      StateClosed If within the United States, the name of the state.

      Street AddressClosed The street address. For student addresses, if an address has more than 40 characters, the additional characters in the address line will not be extracted to be sent to COD but will be truncated.

      ZIP Code/Postal CodeClosed The postal code for the address. If you are specifying an address, you must specify a value for City or State. If you specify a city or state or both, the list contains the valid ZIP codes.

    2. In Transcript Office, specify the Transcript Office ContactClosed The name of the contact within the institution. If you are selecting a contact in a list, it contains the contacts configured for your institution. and Transcript FeeClosed The fee charged by the institution to process a transcript request..

    3. Take the appropriate action. If you want to: 

      • Use the same address as the college, select Copy College Address and specify the Transcript Office Phone NumberClosed The phone number. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens). and Transcript Office Fax NumberClosed The number where a facsimile (fax) can be received..

      • Specify a different address, specify or change these values.

        Transcript FeeClosed The fee charged by the institution to process a transcript request.

        Transcript Office CityClosed The name of the city.

        Transcript Office ContactClosed The name of the contact within the institution. If you are selecting a contact in a list, it contains the contacts configured for your institution.

        Transcript Office CountryClosed The country of residence. If you are specifying a country, it defaults to the country for the campus. The country also determines the format of phone numbers. If you change the country, the phone numbers are automatically reformatted to the format for that country.

        Transcript Office Fax NumberClosed The number where a facsimile (fax) can be received.

        Transcript Office Phone NumberClosed The phone number. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

        Transcript Office State Closed If within the United States, the name of the state.

        Transcript Office Street Address Closed The street address. For student addresses, if an address has more than 40 characters, the additional characters in the address line will not be extracted to be sent to COD but will be truncated.

        Transcript Office ZIP Code/Postal Code Closed The postal code for the address. If you are specifying an address, you must specify a value for City or State. If you specify a city or state or both, the list contains the valid ZIP codes.

    4. Select the Save button.

    For a High School:

    1. Specify the following values.

      Academic Year EndClosed The month in which the academic year for the institution ends.

      ActiveClosed Specifies whether the associated record is active.

      Campus GroupClosed The group you specified for the campus. Your institution configures the groups for campuses.

      CityClosed The name of the city.

      CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

      CountryClosed The country of residence. If you are specifying a country, it defaults to the country for the campus. The country also determines the format of phone numbers. If you change the country, the phone numbers are automatically reformatted to the format for that country.

      CountyClosed The county for the address.

      Driving DirectionsClosed The directions a driver would follow to get to the institution.

      Email AddressClosed The email address.

      Fax NumberClosed The number where a facsimile (fax) can be received.

      High School AdvisorClosed The advisor at your institution. The list contains staff members at your institution who are in a staff group with an advisor type code of ORGLSN (Organization Liaison).

      NameClosed The descriptive name of the item.

      NoteClosed Area that displays, or that you can use, to specify comments or additional information.

      Phone NumberClosed The phone number. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

      StateClosed If within the United States, the name of the state.

      Street AddressClosed The street address. For student addresses, if an address has more than 40 characters, the additional characters in the address line will not be extracted to be sent to COD but will be truncated.

      URLClosed The web address for the person or institution.

      ZIP Code/Postal CodeClosed The postal code for the address. If you are specifying an address, you must specify a value for City or State. If you specify a city or state or both, the list contains the valid ZIP codes.

    2. Expand Transcript Office and specify or change the values.

      CityClosed The name of the city.

      Copy High School AddressClosed The high school address is automatically used to populate the address values. Use this option if the address information for the transcript office or the contact is the same as the school.

      Contact NameClosed The descriptive name of the item.

      CountryClosed The county for the address.

      Fax NumberClosed The number where a facsimile (fax) can be received.

      Phone NumberClosed The phone number. The format depends on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

      StateClosed If within the United States, the name of the state.

    3. Select the Save button.

Procedure to Add an Institution Course

  1. If you want to:

    • Add an advanced transfer credit, select the New Institution Course button. Anthology Student displays the dialog based on the value selected for Institute TypeClosed The type of the institution. The options are college or high school. .

  2. Take the appropriate action depending on the type of institution:

    For a College:

    1. Specify the following values.

      ActiveClosed Specifies whether the associated record is active.

      CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

      Converted Credit TypeClosed When you select Do Not Convert (default), uses the same value as Credit Hours when the course is added to the Transfer Credit lists for a student. When you select Quarter Credits, multiplies the value for Credit Hours by 1.5 and uses the result when the course is added to the Transfer Credits list for a student. When you select Semester credits, multiplies the value for Credit hours by .67 and uses the result when the course is added to the Transfer Credits list for a student. The results are also displayed in the Converted Credits field.

      Converted CreditsClosed If you select Quarter Credits or Semester Credits in the Convert Credit Type list, it displays the result of the calculation.

      CreditsClosed The credits that the student achieved in the course.

      End DateClosed If your institution has a range of dates that a transfer course is valid, the end date of the range.

      HoursClosed The number of hours.

      InstitutionClosed The name of the institution. If you are specifying the value, it displays a dialog so that you can search for the institution. The list contains all of the colleges or high schools configured by your organization.

      Minimum Grade RequiredClosed The minimum grade required for the course to transfer to your institution.

      NameClosed The descriptive name of the item.

      Start DateClosed If your institution has a range of dates that a transfer course is valid, the start date of the range.

    2. Select the Save button.

    For a High School:

    1. Specify the following values.

      ActiveClosed Specifies whether the associated record is active.

      CodeClosed The alphanumeric code assigned to the item by your institution. In most cases, codes must be unique.

      Clock HoursClosed The clock hours earned for the course.

      Credit HoursClosed Area you can use to specify comments or additional information. For international students, notes or comments is a required field if you select either F-1 or M-1 with Trans Status set to R or D and Action is "Other". The phone number. The format will depend on how your institution configured phone numbers (such as whether phone numbers use parentheses and hyphens).

      End DateClosed If your institution has a range of dates that a transfer course is valid, the end date of the range.

      InstitutionClosed The name of the institution. If you are specifying the value, it displays a dialog so that you can search for the institution. The list contains all of the colleges or high schools configured by your organization.

      Minimum Grade RequiredClosed The minimum grade required for the course to transfer to your institution.

      NameClosed The name of the course at another institution being transferred to your institution.

      Start DateClosed If your institution has a range of dates that a transfer course is valid, the start date of the range.

    2. Select the Save button.
